How to integrate Airtable with HRMOS to add employee information to HRMOS when it is registered in Airtable.

Some back-office staff may manually add employee information to HRMOS every time a new employee joins.
In companies where new employees frequently join, the task of adding information can be quite challenging.
Especially when using multiple applications, it can feel burdensome to add the same information to each app.
To solve this issue, I have created a flow that automatically adds employee information registered in Airtable to HRMOS!

Benefits of Integrating Airtable and HRMOS

Benefit 1. Halve the Input Work

For those managing information using both Airtable and HRMOS, you might be using them in the following way:

① Register the information of newly joined employees in Airtable
② Add the same information to HRMOS to register employee information

Managing the same information in different apps like this results in transcription work and double effort.
By utilizing the integration in this article, task ② becomes unnecessary, and employee information is automatically registered in HRMOS with just the input to Airtable.
This may shorten the work time for back-office staff responsible for input tasks, allowing them to focus on other duties.

Benefit 2. Reduce the Risk of Human Error

Manually transcribing employee information from Airtable to HRMOS each time involves the risk of human error.
For example, "registering an employee's name incorrectly due to a kanji conversion mistake" or "an address being registered with a missing character."
Such mistakes lead to unnecessary tasks like verifying and correcting information, reducing work efficiency.
By using the automatic integration introduced here, information is automatically reflected from Airtable to HRMOS, leading to a reduction in the risk of human error.
This is expected to promote smooth work progress without unnecessary time and effort.

Integration Flow of Airtable and HRMOS

Now, let me introduce how to actually integrate Airtable and HRMOS.
The flow introduced here is "Add to HRMOS when employee information is registered in Airtable."
The specific integration steps are as follows:

  1. Set up an app trigger in Airtable
  2. Register employees in HRMOS
  3. Update the record in Airtable

Yoom provides the above three steps as a template.
You can create a flow bot more easily than creating from scratch, so first click the "Try it" button on the banner below to copy the template!
Once the copy is complete, you can operate it from "My Projects" in the sidebar.

Integration of Airtable and HRMOS with My Apps

After copying the template, register Airtable and HRMOS in Yoom's My Apps as a preliminary step.
※ If you have already registered, please proceed to "Step 1. Set Up App Trigger".

<Procedure>

1. After logging into Yoom, click "My Apps" → "+ New Connection"

2. Search for Airtable and HRMOS in the search window and enter the necessary information for registration

If Airtable and HRMOS are displayed in the My Apps list, preparation is complete!
Let's proceed to the detailed settings!

Step 1. Set Up App Trigger

First, click the app trigger "When a record is registered".

On the first page, the pre-linked Airtable account information will be displayed, so check it and if there are no issues, click "Next".

On the next page, set up the API connection.
Enter "Base ID", "Table ID", and "Field Name of Created Time", and click "Test".
※ Note that the "Trigger Activation Interval" varies depending on your subscription plan, so please be careful. For details,
see here.

If the "Test" is successful, the Airtable items will be reflected in the output field.
From the "+ Add Value to Retrieve" button, add the necessary information as appropriate.
For detailed instructions, refer to "How to Add Retrieved Values: Output".

It is recommended to add items such as address and employee number as shown below.

If there are no issues up to this point, the trigger setup is complete by clicking "Save".

Step 2. Register Employees

Next, click "Register Employees".

On the first page, as in Step 1, account information will be displayed, so if there are no issues, click "Next".
On the second page, set up the registration for employees.
"Last Name", "First Name", and "Date of Joining" are mandatory fields, so use the information output from Airtable to fill them in as shown in the image below.

If you want to use Airtable values here to also fill in optional fields such as "Address" or "Employee Code", you need to retrieve the values in advance in Step 1.

Once everything is entered, click "Test" → "Save" to proceed to the next step.

Step 3. Update Records

Now, click the final step "Update Records".

On the first page, account information will be displayed, so confirm it and proceed to the next page.
On the second page, set up the update for records.
"Base ID", "Table ID or Name", "Record ID", and "Field Information" are mandatory fields, so be sure to enter them.
Use the output information for the values of "Record ID" and "Field Information".

Click "Test" and if no errors occur, click "Save".
If a popup like the one below appears, all settings are complete.
When you turn on the trigger, the flow will execute.

Other Automation Examples Using HRMOS

Yoom offers numerous automation examples using HRMOS.
It is possible to integrate with various apps, so please refer to the following representative examples.

1. When a new employee is registered in SmartHR, also register in HRMOS

In this case, information was automatically added from Airtable to HRMOS, but this integration automatically reflects information from SmartHR to HRMOS.
It is recommended for those managing employee information in SmartHR instead of Airtable.

2. Register employees in HRMOS when they are registered in freee HR

This integration is recommended for those using freee HR.
Similar to the automated integration introduced this time, employee information can be automatically reflected in HRMOS, reducing the effort of manual data entry.

3. Once new employee information is entered into the input form, register it in HRMOS and notify Slack of the details

For those using Slack as a communication tool, the following template is recommended.
Not only can you register employees in HRMOS, but you can also notify Slack of the registered information.
