How to integrate Airtable with Google Calendar to automatically register schedules managed in Airtable to Google Calendar

If you are managing your schedule with Airtable, consider integrating it with Google Calendar.
For example, do you compile meeting dates and detailed information in Airtable and use Google Calendar for reminders? In this case, after entering the schedule in Airtable, you also need to input the same information into Google Calendar.

How to Create an Integration Flow between Airtable and Google Calendar

Step 1: Integrate Airtable and Google Calendar with My Apps

The template will be copied, and the screen will look like the above.
Since you have transitioned to the Yoom page called "My Projects", please select "My Apps" from the menu on the left side of the screen.

First, integrate Yoom with each tool. Click on "New Connection" at the top right.

Integration of Airtable and Yoom

1. Prepare Airtable
Prepare the Airtable you will use at this stage.

・Event Title

・Description

・Start Date

・Start Time

・End Date

・End Time

・Created Time

When creating an event in Google Calendar, you need to set the start and end date and time. Therefore, prepare the above fields.
Created Time is created to detect records created in Airtable by Yoom. It can be set from adding fields.

It is labeled as Created Time or Creation Time.


Set it as shown in the image and insert it into the field.

2. Search
Once Airtable is ready, enter Airtable in the search box and click on the Airtable icon.

3. Sign In

The Airtable sign-in screen will be displayed. Sign in with the account you want to integrate with Cloud Sign.

4. Add a Base

After signing in, you will transition to the above screen.

Click on "Add Base" in the red frame and select the base where you want to add Cloud Sign data.

5. Allow Access

Once the base is added, click "Allow Access".

Return to the Yoom screen, and if the above display appears, the integration is complete.

Integration of Google Calendar and Yoom

1. Search
Click on the Google Calendar icon.

2. Select Account
Press the Google account of the Gmail address you want to integrate with Yoom.

3. Log in to Yoom

You will transition to the page in the image, read the terms and click Next.

4. Yoom is requesting additional access to your Google Account
Press Continue.
When you transition to the authentication screen, select <span class="mark-yellow">Allow all permissions</span>.

5. Integration Complete

The screen will switch, and if the above display appears, the integration is complete.
Next, copy the template to My Projects and create a flow bot.
If you haven't copied it yet, please copy the flow bot template from below.

1. Hover over the banner and click "View Details"
2. Click "Try this template" on the redirected page
3. Register with Yoom
※ If you have already registered, the login screen will be displayed, so please log in.

Step 2: Setting to Retrieve Scheduled Events Registered in Airtable

1. Open My Project


Open "My Project" from the menu on the left side of the screen.

2. Open the Copied Template
Click "Register Events in Google Calendar with Information Registered in Airtable"

3. Select App Trigger
Click "When a record is registered" on the Airtable icon.
Since the title and other settings are complete, press next.

4. Set Trigger Activation Interval

Set the activation interval.
The trigger can be set to activate at intervals of 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
Please note that the shortest activation interval varies depending on the plan.

5. Enter ID

Follow the supplement at the bottom of the box and copy & paste from the Airtable URL.

6. Enter the Field Name for Created Time

Created Time is the Airtable field prepared earlier.
By setting this, schedule data will be sent to Google Calendar, so be sure to set it.

7. Run Test After completing the settings, press the test button at the bottom of the screen.
If "Test Successful" is displayed in blue, the Airtable settings are complete. Please press save.

Step 3: Setting to Add to Google Calendar

1. Integrate with App
Click "Create Event" on the Google Calendar icon.
Since the title and other settings are complete, press next.

2. Register Calendar ID

Please enter the Google Calendar ID.

3. Set Required Fields

Set the required fields and event description in the image.
Click the box.


Select the red frame.

The Airtable data sent in the previous test will be displayed.
Select the one that matches the box item name.

In the case of the image, the box is for "Event Title," so select the "Event" data from Airtable.


Set the other boxes in the same way.

4. Set Event Description

Similarly, insert data into the event description.

5. Run Test

Once the settings are complete, press the test button at the bottom.
If "Test Successful" is displayed in blue, the settings are complete. Please press save.

6. Turn ON the Trigger

Once the flowbot creation is complete, the above display will appear. The trigger is initially set to OFF, so turn it ON.
This completes the creation of a flowbot using Airtable and Google Calendar.
