Benefits and Examples of Integrating AKASHI and Discord

Benefit 1: Detect missed clock-ins from the previous day with AKASHI and notify Discord

By integrating AKASHI with Discord, you can automatically detect missed clock-ins from the previous day and notify a designated Discord channel. This system streamlines attendance management and allows for quick detection of missed clock-ins.

For example, if a missed clock-in is found during payroll calculation, it can be cumbersome to confirm and correct, but with notifications, you can address it in advance. Employees can also respond promptly upon receiving notifications, preventing issues and ensuring smooth operations.

This system significantly reduces the burden on attendance managers and is particularly effective in workplaces with a large number of employees or environments prone to missed clock-ins. Notifications are concise and easy to understand, allowing for immediate situation assessment and subsequent actions.

Benefit 2: Promote self-resolution of missed clock-ins for new staff through notifications

The system of receiving missed clock-in notifications from AKASHI on Discord makes it easier for new staff to notice attendance errors.

For instance, even if a new employee forgets to clock out, they can quickly respond by checking the notification. This reduces the need for managers to instruct confirmations each time, significantly easing the training burden.
Additionally, new employees are expected to reflect on their mistakes through notifications and quickly become accustomed to attendance management rules. This system is particularly effective in workplaces with many new employees where manual follow-up tends to be complicated.

Furthermore, utilizing notifications not only streamlines attendance education but also promotes early adaptation of new employees to their duties, potentially improving the overall operational efficiency of the organization.

Benefit 3: Oversee the entire team's attendance status with missed clock-in notifications

Sharing missed clock-in notifications on Discord allows you to oversee the entire team's attendance status.

For example, if a specific employee repeatedly forgets to clock in or if multiple people miss clock-ins at the same time, it helps in understanding overall attendance trends. This system enables quick follow-up and response based on attendance data, preventing prolonged attendance errors and work delays.
It is particularly effective in workplaces with a large number of employees or environments where it is difficult to grasp work conditions at a glance, such as remote work.

Moreover, this integration can facilitate smooth information sharing within the team, leading to enhanced work efficiency and strengthened collaboration.

During Bot setup, configure the actions allowed for Yoom, referring to the following link.

How to Integrate Discord Bot in My Apps

When you receive a notification like the above on Discord, the Bot setup is complete.
Similarly, Discord is also added to the list of My Apps integrations in Yoom.

Once you have confirmed AKASHI in the same way, the My Apps integration is complete.
Proceed with the setup by copying the template from the "Try it" banner below.

Step 2: Set the Schedule Trigger

First, set "When the specified schedule is reached".
Since you will be retrieving the previous day's attendance information, set the flow to run at a fixed time according to your business needs.

With the settings in the image above, the flow bot is set to start at 9 AM every weekday.
If you want to set up a Cron job, please refer to the link below.

How to Set Up Cron Settings

Once you've entered the information, click "Save" to complete the trigger setup.

Step 3: Settings for Retrieving Clock-in Information

Next, set "Retrieve clock-in information for specific employees".
On the first page, the AKASHI account information linked with My Apps is reflected.

You can change the title, so make it something easy to understand.
If there are no errors in the account information, click "Next".

Next, set up the employee information.

Please enter all required fields.
Ensure the start period for retrieval is within a one-day range in the specified format.

Once the output is obtained, click "Save" to complete the settings up to this point.

Step 4: Set Up Branching

Next, set up branching in "Command Operation".
This branching is based on the number of clock-ins.

The output of "Number of Clock-ins" obtained from the "Retrieve clock-in information for specific employees" setting is the condition for branching.
If the number of clock-ins is not 4 (clock-in, clock-out, break start, break end), it is considered a missed clock-in, and a notification is sent.

Once the settings are complete, click "Save" to finish the branching setup.

Step 5: Set Up Notifications to Discord

Finally, set up "Send Message".
On the first page, confirm the account information and modify the title as you did with AKASHI, then proceed to the next step.

On the next page, set the details for the Discord channel and message content to be notified.

Obtain the channel ID from the URL or app settings screen and enter it.
Enter the message content using the obtained output.

The parts where the output is reflected will change each time and be notified.
Once you've entered the information, click "Test" to check if the notification is sent to the specified Discord channel.

In practice, the value obtained will be reflected after "○○:" and notified to Discord.
If the test is successful, the output can be obtained simultaneously with the notification.

Once you've confirmed everything up to this point, click "Save" to complete all the settings.
Finally, turn on the trigger to start the flow.

The flow set up this time is as follows.
You are now closer to streamlining employee attendance management.
