Recommended for

  • Team leaders who use Microsoft Dynamics365 Sales and Google Chat and want to streamline information sharing within the sales team
  • Sales representatives aiming to shorten the time from lead generation to initial action
  • Managers who want to create an environment where other members can smoothly take over lead handling during absences
  • Corporate personnel seeking accurate information sharing by preventing input errors and information leaks in lead management

Benefits and Examples of Integrating Microsoft Dynamics365 Sales and Google Chat

Benefit 1: Quick Response through Automatic Sharing of Lead Information

By implementing a system that automatically sends notifications to Google Chat when a lead is created in Microsoft Dynamics365 Sales, the entire sales team can quickly grasp new lead information.
This system supports shortening the time from lead generation to the first action. For example, if many leads are generated during a campaign period, it is expected that the person in charge can check the notification on Google Chat and immediately start contact via email or phone.
The improved response speed through this automation is expected to increase the possibility of deal conversion, as it allows for a quicker approach than competitors. This system is considered to have a significant effect, especially in industries or services where speed is crucial.

Benefit 2: Strengthened Collaboration through Team-wide Information Sharing

By automatically notifying Google Chat of lead generation, smooth information sharing within the sales team is expected.
Leads are usually assigned to individual representatives, but by creating an environment where everyone can check the same information through Google Chat, it becomes easier to understand the situation of the entire team.
For example, even if the person in charge is absent, the entire team can check the occurrence of new leads, allowing for smooth handover by other members.
Additionally, by sharing important points based on new lead information on Google Chat, communication becomes smoother, supporting the strengthening of team collaboration.

Benefit 3: Reduction of Manual Work and Improved Operational Efficiency

The integration of Microsoft Dynamics365 Sales and Google Chat allows for the automation of lead information management tasks.
This eliminates the need to manually transcribe information or share it via email or messages, significantly improving work efficiency.
For example, every time a new lead is created, it is automatically notified to Google Chat, allowing sales representatives to avoid the hassle of manual confirmation and reporting, making it easier to focus on their core tasks.
Furthermore, automation reduces the risk of information leaks and input errors, enabling more accurate data management.

Now, let's explain how to use the no-code tool Yoom to automatically notify Google Chat when a lead is created in Microsoft Dynamics365 Sales. [What is Yoom]

How to Automatically Notify Google Chat When a Lead is Created in Microsoft Dynamics365 Sales

It is possible to achieve this by receiving the registration of a lead in the Microsoft Dynamics365 Sales database using the Microsoft Dynamics365 Sales API and automatically notifying the specified space in Google Chat using the API provided by Google Chat.
Generally, programming knowledge is required to achieve this, but it can be easily accomplished without programming knowledge by using the no-code tool Yoom.

This time, we will create it in the following major processes.

  • Integrate Microsoft Dynamics365 Sales and Google Chat with My Apps
  • Copy the template
  • Set up Microsoft Dynamics365 Sales to start and set up notifications to Google Chat
  • Set the trigger to ON and complete the preparation for flow operation

If you are registered with Yoom, please log in, and if you are not registered, please proceed with the settings after registering for free.

Step 1: Integrate Microsoft Dynamics365 Sales and Google Chat with My Apps

First, integrate Microsoft Dynamics365 Sales and Google Chat with My Apps.
After logging into Yoom, click on "My Apps" on the left side of the screen and search for Microsoft Dynamics365 Sales from "+ New Connection".
※ Microsoft365 (formerly Office365) has plans for home use and general business use (Microsoft365 Business). If you are not subscribed to the general business plan, authentication may fail.

After entering the domain of Microsoft Dynamics 365 CRM, click "Add" to complete the integration with My Apps.

Next, search for and click on Google Chat.
※ Integration with Google Chat is only possible if you have a Google Workspace subscription. For details, please refer to here.
※ If two apps are displayed in the search results, click on Google Chat (OAuth).

Next, click "Sign in with Google".

※ The integration with Google Chat (OAuth) is explained here.
After entering the "Client ID" and "Client Secret", the registration of Google Chat with My Apps is complete.

Next, let's copy the Flowbot template.
Log into Yoom and click "Try it" on the banner below.

When the message "Template has been copied!" appears, click "OK" to complete the copy.

Step 2: Setting up Microsoft Dynamics365 Sales

Next, set up the trigger for Microsoft Dynamics365 Sales.
Click "When a lead is created".

Next, check the "Account information to integrate with Microsoft Dynamics365 Sales".
You can freely edit the title, but do not change the trigger action, and click "Next".

You can select the trigger activation interval from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
*Please note that the shortest activation interval varies depending on the plan.
Enter the domain of Dynamics 365 in "Domain" and click "Test".

Check the data displayed in the output, and if the information is obtained without any issues, click "Save".

Step 3: Setting up notifications to Google Chat

Next, set up the action for Google Chat.
Click "Notify Google Chat".

Edit the title as desired and check the account information, then click "Next".

For "Space resource name", click the field and select from the suggestions, or refer to the annotations to obtain the resource name from the URL of the target space or direct message.
For "Message", click the field and add the items you want to notify from the suggestions.
After setting, click "Test" to check if the message is sent to Google Chat.
If the message is sent, click "Save".

Click "Turn on trigger" to complete the setup for the flow operation.
Now, when a lead is created in Microsoft Dynamics365 Sales, it will automatically notify Google Chat.
