How to Create a Flow to Notify Airtable When a Message is Received on Google Business Profile

Things to Prepare in Advance

We have listed the items needed for the integration work.

Google Business Profile

  • Login information (email address and password)
  • Account ID to retrieve reviews
  • Location ID
    • Similarly, click the edit field to select from the candidates, or select the business profile settings from the three-dot icon of "Your business listed on Google."

  • You can obtain the profile ID by proceeding to the detailed settings.
  • The business profile ID at the top becomes the location ID. Copy it and paste the sequence of numbers after locations/ to complete the location ID input.

Airtable (OAuth)

  • Airtable login information
  • Database to accumulate reviews
    • Headers were created from the items obtainable from Google Business Profile. The item names are arbitrary. Setting them with unique values is key.

Step 1: Setting Up My App Integration

Here, we will set up the app information to be registered with Yoom. Log in to Yoom's workspace and click + New Connection within the My Apps screen.

A list of apps that can be connected with Yoom will be displayed. Select the app to connect from the search window and proceed with My App registration.

Google Business Profile

Click the app name that hit in the search results.

Click Sign in with Google and select the Google account to integrate or proceed to log in. Enter the email address and password for integration on the next screen.

Once logged in, proceed to grant permissions.

The screen will switch to allow access from Yoom. Click Select pages and choose the pages to allow access (the page containing the database used for integration is required), then click the Allow button. This completes the My App registration for Google Business Profile.

Airtable

Select Airtable from the search results.

Click Allow access to complete the My App registration for Airtable.

Step 2: Copy Yoom's Flowbot Template to My Project

Click this banner.

The template will be copied to My Project. You can access My Project from the left menu bar.

Step 3: App Trigger "When a Review is Posted"

Click on the first step of the template.

Extract items that can be obtained from Google Business Profile.

(1/2) Select Linked Account and Action

The items displayed here are pre-configured.

  • App Trigger Title

  • Account Information Linked with Google Business Profile
  • Trigger Action

→ Click Next

(2/2) API Connection Settings for App Trigger

  • Trigger Activation Interval
    • You can select from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
  • Account ID
    • Click the edit field to open a dropdown. The ID corresponding to the business account will be picked up from the linked accounts. Selecting the relevant account will quote the ID.
  • Location ID
    • Similarly, click the edit field to display candidates.
    • Alternatively, the sequence of numbers from the pre-obtained business profile ID becomes the location ID. Enter the sequence after locations/ to complete the setup.

→ Click Test → Success. In addition to the review content, you can also obtain the reviewer's name and star rating.

→ Click Save

Step 4: "Register Record" to Link with App

Next, click on the second step of the template.

In this step, you will configure the settings to add to the Airtable app.

→ Click Next.

(2/2) Detailed Settings for Database Operations

Enter values in the following edit fields. All can be obtained from the URL.

  • Base ID
  • Table ID or Name
Record Information

Link the output obtained from Google Business Profile to each item in the Airtable app.

  • Field Name
    • Enter the table item name. In the sample table, it would be something like creation date.
  • Value
    • Click the edit field to display the output obtained from Google Business Profile. Link the appropriate value to the field from the output.
  • In the default display, only one box for entering values is shown, but click "Add Record Information" to increase the boxes according to the number of items and link the output to all items. This time, the item names are matched to the output content, so there will be a total of 8 boxes.

→ Click Test. → Success

→ Click Save. This completes the setup of this flow bot.

Step: Turn ON the App Trigger

Once all steps are configured, a complete screen will be displayed.

Turn ON the Trigger to activate the flow bot. Please toggle the switch located at the top left of the template.
