Omissions in task registration or delays in information sharing can potentially hinder project progress.
Therefore, integrating Google Chat with Backlog to detect certain keywords and automatically add tasks might be a solution.
This can save the effort of manually adding tasks and reduce working time.
Furthermore, by prioritizing tasks according to urgency, smooth task processing can be achieved.
This article introduces the benefits of integrating Google Chat with Backlog and how to set up automation.

Recommended for

  • Those who use Google Chat and Backlog in their work and aim for efficient task management
  • Those who want to prevent human errors such as overlooking messages or missing task registrations
  • Those who want to prioritize and handle urgent tasks

Benefits and Examples of Integrating Google Chat and Backlog

Benefit 1: Reduce Human Errors

<span class="mark-yellow">Automation that detects messages containing specific keywords in Google Chat and registers them as issues in Backlog is effective in preventing the risk of oversight and task registration omissions.</span>
For example, when a message containing keywords like "deadline" is sent in Google Chat, an issue is registered in Backlog.
This prevents omissions and allows for smooth task processing.
Through notifications in Google Chat, the entire team can recognize the same issues, enabling speedy project progress.

Benefit 2: Save Time

By eliminating the manual effort of registering tasks and entrusting the workflow to automation, the burden on the person in charge can be reduced.
For instance, when the development team posts a message containing a modification request in Google Chat, an issue is automatically registered in Backlog, allowing the person in charge to respond smoothly.
This automation not only saves manual effort but also leads to significant time savings.<span class="mark-yellow"></span>
Furthermore, with tasks being automatically registered, tasks can be managed accurately.

Benefit 3: Adjust Task Priority

By integrating Google Chat and Backlog, when a message containing highly urgent keywords is posted, tasks can be automatically added to Backlog for prioritized processing.
For example, <span class="mark-yellow">if it includes keywords like "urgent response," it can be registered as a high-priority task.</span>
This allows tasks to be processed in the appropriate order during project progress.
As a result, priorities become clear, which may help improve response speed.

Now, let's explain how to use the no-code tool Yoom to "register an issue in Backlog when a specific message is posted in Google Chat."

[What is Yoom]

How to Create a Google Chat and Backlog Integration Flow

By receiving specific messages from Google Chat via API and registering issues through Backlog's API, automation can be achieved.
Generally, programming knowledge is required to achieve this, but with the no-code tool Yoom, it can be easily accomplished without programming knowledge.

The integration flow is broadly created through the following processes:

  • Register Google Chat and Backlog as My Apps
  • Copy the template
  • Set the trigger in Google Chat that serves as the starting point of the flow and the subsequent Backlog operation settings
  • Turn on the trigger button and verify the integration operation between Google Chat and Backlog

If you are not using Yoom, please register for free from here.
If you are already using Yoom, please log in.

Step 1: Register My Apps for Google Chat and Backlog

Please register your apps to connect Google Chat and Backlog to Yoom.
By completing the app registration in advance, you can proceed with the automation settings more easily.

First, let's register your app for Google Chat.
Click on "My Apps" → "New Connection" on the left side of the Yoom screen.

An app list and search bar will be displayed as shown below, so use either to select Google Chat (OAuth).

The following screen will be displayed, so please log in to Google Chat.

Next, register your app for Backlog.
Similarly, search for Backlog in the search bar or find it from the list.
Once the following screen is displayed, please set the "Domain".

If Google Chat and Backlog are displayed in My Apps, the registration is complete.

Step 2: Copy the Template

To set up automation, click "Try it" on the banner below.

Read the following screen display and click "OK".

The following screen will be displayed, so check the "Title" and "Description".
If you want to make changes, do so from the screen below.
To set up Google Chat initially, click "When a message is sent to the space".

Step 3: Set the Google Chat trigger that initiates the flow and the subsequent Backlog operation settings

When the following screen is displayed, check the settings.

  • "Title" → Can be changed by yourself
  • "Account information linked with Google Chat (OAuth)" → Check for correctness
  • "Trigger Action" → When a message is sent to the space

Please check the following settings method.

Scroll down and make the following settings.

  • "Trigger Interval" → Choose from 5 minutes, 10 minutes, 15 minutes, 30 minutes, 60 minutes
※ The trigger interval varies depending on the plan, so please be careful.
  • "Space Resource Name" → Set as desired

Once the settings are complete, click "Test" → "Test Successful" → "Save".

Next, to set up branching based on the presence of words that are the target of issue registration, click "Branch | Presence of words that are the target of issue registration".
※ Branching is a feature (operation) available in some paid plans.
In other plans, the operation being set will result in an error, so please be careful.
A 2-week free trial is available for paid plans.
During the free trial, you can use restricted apps and features (operations).

The following screen will be displayed, so check the settings.
This time, we will set up to detect messages containing the keyword "Task".
