When hiring employees, many tasks arise. Among them, entering and registering employee information into the tools used for work is a time-consuming and labor-intensive task that burdens the person in charge. This article explains how to synchronize employee information registered in Google Workspace with AKASHI automatically. By utilizing this automation, you can eliminate the hassle of manual data entry and improve work efficiency. As a result, it may streamline the company's HR operations. Be sure to check out how this method works until the end. Recommended for: The following people are encouraged to use the integration introduced this time: - Those utilizing both Google Workspace and AKASHI - HR personnel considering streamlining the onboarding process for new employees - Business owners or HR personnel considering implementing an attendance management system - Those in companies considering telework implementation and wanting to streamline employee attendance management Benefits and Examples of Integrating Google Workspace and AKASHI Benefit 1: Streamlining the Onboarding Process for New Employees By integrating Google Workspace and AKASHI, employee information is automatically registered in AKASHI once a new employee account is created, reducing the time for account issuance and initial setup. This allows HR personnel to eliminate the hassle of manual data entry and focus on core tasks. Additionally, the quick start of work for new employees can streamline the entire onboarding process. This effect may be particularly noticeable in large organizations or companies that frequently hire. Benefit 2: Quick Response through Real-Time Data Integration When information is added to Google Workspace, it is quickly added to AKASHI. This eliminates the need for HR personnel to switch between multiple systems to confirm employees' departments. For example, in companies where employees join every month, smooth employee registration in AKASHI ensures that attendance data is registered smoothly and accurately, reducing the risk of missing information during the month of joining or payroll calculations. Benefit 3: Prevention of Human Error and Data Consistency By linking data between Google Workspace and AKASHI, manual input by personnel is unnecessary, preventing human errors during data entry. For instance, it can reduce mistakes such as incorrectly entering an employee's name or date of birth. It also prevents duplicate registrations, maintaining data integrity. Synchronizing data between both systems can maintain data consistency and reduce management workload. Now, let's explain how to use the no-code tool Yoom to synchronize employees registered in Google Workspace with AKASHI. [About Yoom] How to Register Employees in AKASHI When Registered in Google Workspace This can be achieved by receiving the record registered in the Google Workspace database using Google Workspace's API and registering the information in AKASHI using its API. Generally, programming knowledge is required to achieve this, but with the no-code tool Yoom, it can be easily accomplished without programming knowledge. The integration flow is broadly divided into the following processes: - Register Google Workspace and AKASHI as My Apps - Copy the template - Set up the Google Workspace trigger as the starting point of the flow, followed by the AKASHI operation settings - Turn on the trigger button and verify the integration operation between Google Workspace and AKASHI If you are not using Yoom, please register for free from [here](https://yoom.fun/members/sign_up?_gl=1*g14lzx*_gcl_au*MTc4NTI3NDA0MC4xNzMyNDk0NjA4*_ga*MTAwMzEzNjkyNC4xNzMyNDk0NjA5*_ga_663H387CXM*MTczMjQ5OTA5NC4yLjEuMTczMjQ5OTA5NS41OS4wLjIwNDg0MzE4NDY.). If you are already using Yoom, please log in.

Step 2: Set the Google Workspace "When a user is registered" trigger

Now, let's proceed with the automation settings!

Click "Try it" on the banner below to copy the flow bot.

Click to display an image like the one below, then press OK. When the following screen appears, check the "Title" and "Description". If changes are needed, click the relevant section to modify it. To begin setting up Google Workspace, click "When a user is registered". When the following screen appears, make the following settings. "Title" → Can be changed as needed "Google Workspace account information" → Confirm if the account is correct "Trigger Action" → When a user is registered Once the settings are complete, click "Next". Run "Test" to see if the trigger is activated by the webhook. If successful, click "Next". Register a user in Google Workspace to actually trigger it, and run "Test" on the following screen. If successful, click "Save" to complete. Step 3: Set actions for Google Workspace "Search Users", extract data, and AKASHI "Add Employee" Next, set up an action to retrieve user information registered in Google Workspace. By including this "Search Users" action, you can obtain detailed information used when registering in AKASHI. Click "Search Users" in Google Workspace and proceed with the settings. "Title" → Can be changed as needed "Google Workspace account information" → Confirm if the account is correct "Action" → Search Users Once the settings are complete, click "Next". Let's proceed with detailed settings. In this action, you can search by "Name" or "Email Address" of the registration. Since the output of "Email Address" is obtained during the trigger action, let's use this. By using the output, you can add values according to the content each time the flow is activated! For more details about the output, please see here. "Search Item" → Select Email Address "Keyword" → Click the input field and select the output of "User's Email Address" from the suggestions below After setting, run "Test", and if successful, click "Save". The name obtained in Google Workspace is combined as a single name, but AKASHI requires separate registration for the last name and first name. Therefore, use an operation to separate the last name and first name using AI. Since we are using a template this time, there is no specific setting required, but let's confirm the content! Note: AI operations are available only in the Team Plan and Success Plan. Paid plans such as the Team Plan and Success Plan offer a 2-week free trial. Click "Extract data from text" to display the following screen, then click "Next". The output of "Name" is added to the target text, so run "Test", and if successful, click "Save" to complete. Next, register with AKASHI. "Title" → Can be changed as needed "AKASHI account information" → Confirm if the account is correct "Action" → Add Employee Once the settings are complete, click "Next". Let's proceed with detailed settings. "API Token" → Obtain from AKASHI's My Page and set it "Company ID" → Enter the company ID used for login Proceed to the screen and add the outputs of "Last Name" and "First Name" separated by AI earlier. Although not mandatory, "Email Address" and "Phone Number" can also be set using the output. The "Organization" section used the output of "Department". Once everything is set, run "Test", and if successful, click "Save" to complete. Step 4: Verify the automation operation of Google Workspace and AKASHI Finally, click "Turn ON Trigger" to complete the automation settings. Check if the flowbot is activated correctly. Thank you for setting up!‍

Other Automation Examples Using AKASHI

There are many other examples of automation using AKASHI on Yoom, so here are a few to introduce.

1. Register employee information in AKASHI when it is registered in kintone

The first example is a flow bot integrated with kintone. If you are centrally managing employee information in kintone, registration in AKASHI can be streamlined.

2. Update AKASHI information when employee information is updated in kintone

The flow bot introduced next is an updated version of the first flow introduced. For example, it eliminates the manual effort of reflecting updates in kintone, such as address changes or name changes, in AKASHI, which helps maintain the accuracy of the information.

3. Detect missed clock-ins from the previous day in AKASHI and notify on Slack

The last flow to introduce is one that automatically notifies you if there was a missed clock-in the previous day. By automatically notifying missed clock-ins, not only can you manage attendance with accurate information, but you can also avoid errors during payroll calculations!

Summary

The integration of Google Workspace and AKASHI has the potential to significantly streamline HR operations for companies. It not only reduces the manual time previously required for data entry but also helps maintain data consistency by registering information based on cited sources. Additionally, incorporating Yoom into operations may help prevent human errors while maintaining data consistency. This allows personnel to allocate resources to more critical tasks.

We encourage you to implement the integration using Yoom in your actual operations and experience how much efficiency can be improved.

I experienced jewelry sales as a new graduate, got married and gave birth, and worked at a social insurance labor consultant office for about 6 years. I experienced a variety of office work in both industries, including inventory management and customer management. Especially when I work at a company labor office, I often end the day with a huge amount of input work and paperwork. When I learned about Yoom, my first voice was “Why couldn't we meet sooner...” I try to write easy-to-understand sentences so that I can bring the convenience of Yoom to everyone!
