How to integrate Sansan with Airtable to automatically update Airtable based on Sansan data

Sansan, which allows for digital management of business card data, is extremely convenient for positions that need to manage a large number of business cards on a daily basis. Since business card data becomes clear at a glance, it also becomes easy to share it within a team.
Additionally, by transcribing Sansan's information into a database like Airtable, it becomes easier for positions such as accounting personnel who create invoices or executives who want to understand the relationships between companies to check the information.

However, the problem here is that when you change data in Sansan, you must also update the data in Airtable simultaneously. If you don't update them at the same time, you won't know which data is the most recent.

How to Create a Sansan and Airtable Integration Flow

Step 1: Integrate Sansan and Airtable with My Apps

The template will be copied, and the screen will appear as shown above.
Since you have transitioned to the Yoom page called "My Projects", please select "My Apps" from the menu on the left side of the screen.

First, integrate Yoom with each tool. Click "New Connection" at the top right.

Integration of Sansan and Yoom

1. Search
Click on the Sansan icon.

2. Enter Required Fields

Follow the instructions to obtain the API key from the Sansan management screen.

3. Add
Once the required fields are entered, click Add at the bottom right.

If the above display appears, the integration is complete.

Integration of Airtable and Yoom

1. Prepare Airtable
Prepare the Airtable you will use at this stage.

This time, it was created as shown in the image. It doesn't have to be exactly like this. Prepare your preferred fields.

2. Search
Once Airtable is ready, enter Airtable in the search box and click on the Airtable icon.

3. Sign In

The Airtable sign-in screen will appear. Sign in with the account you want to integrate with Sansan.

4. Add Base

After signing in, you will transition to the screen above.

Click "Add Base" in the red frame and select the base you want to reflect Sansan updates on.

5. Grant Access

Once the base is added, press "Grant Access".

Return to the Yoom screen, and if the above display appears, the integration is complete.

Next, copy the template to My Projects and create a flow bot.
If you haven't copied it yet, please copy the flow bot template from below.

1. Hover over the banner and click "View Details"
2. Click "Try this template" on the redirected page
3. Register with Yoom

Step 2: Setting to Retrieve Information from Sansan

1. Open My Project


Open "My Project" from the menu on the left side of the screen.

2. Open the Copied Template
Click on "【Copy】Add to Airtable when business card information is updated in Sansan".

3. Select App Trigger
Select "When business card information is updated" from the Sansan icon.
Press Next.

4. Set Trigger Activation Interval

Set the activation interval from the dropdown. You can select trigger activation intervals of 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.

Please note that the shortest activation interval varies depending on the plan.

5. Update Business Card Information
Open Sansan in another tab and update a test business card.

6. Execute Test
Return to Yoom and press the test button.
If "Test Successful" is displayed, the trigger setting is complete. Save it.

Step 3: Setting to Add to Airtable

1. Connect with App
Select "Create Record" from the Airtable icon.
Press Next.

2. Enter ID

Follow the supplement at the bottom of the box and copy & paste from the Airtable URL.

3. Enter Field Information

Next, set the field name.


For example, in the above case, "Value=Full Name".


In Airtable, "Full Name=Name", so enter "Name" as the field name.

Enter the "Airtable field name" that corresponds with the "Value".

4. Add Field Information
Since you are creating a flowbot using a template, some fields are prepared, but if there are other fields you want to add, you can expand them.


Click on the red frame part.

An empty field information will be added.
Click the value box.


Select the Sansan item.


Since Sansan's business card data will be displayed in a list, click and insert the information you want to update in Airtable.


Once the value is entered, enter the corresponding Airtable field name.

5. Execute Test
Once the settings are complete, press the test button at the bottom.
If "Test Successful" is displayed in blue, the settings are complete. Press Save.

6. Turn ON the Trigger

Once the flowbot creation is complete, the above display will appear.
The trigger is initially set to OFF, so turn it ON.
