How to Create NDAs Using HRMOS Information and Send Them with GMO Sign

It is possible to achieve this by receiving the creation of NDAs using HRMOS information via HRMOS API, utilizing Google Docs API to automatically create contracts based on that content, and sending that content with GMO Sign using the API provided by GMO Sign.
Generally, programming knowledge is required to achieve this, but with the no-code tool Yoom, it can be easily achieved without programming knowledge.

The work until the flow is completed proceeds as follows:

  • Integration of HRMOS, Google Docs, and GMO Sign My Apps
  • Copying the template
  • Setting the HRMOS Chrome extension trigger and linking with Google Docs, followed by setting each operation of GMO Sign
  • Turning the trigger ON

・Linking HRMOS, Google Docs, and GMO Sign with My Apps

(1) First, connect HRMOS to My Apps.
After logging into your Yoom account, click "My Apps" on the left panel and search for HRMOS from "New Connection".

(2) Search for the HRMOS app icon and click on it.

(3) Enter the "Account Name" and "Access Token" for the HRMOS you want to link, and click [Add].
The first HRMOS is now connected.

(4) Next, search for the Google Docs app icon and click on it.

(5) Click "Sign in with Google" to proceed to the account selection screen, and choose the account you want to link from the management accounts on the right.
After selection, proceed to the sign-in screen and complete the authentication.
This completes the connection of the second Google Docs.

(6) Next, perform the app linking for GMO Sign.
Select GMO Sign using the same procedure as before.

(5) Enter 【GMO】 in the "Account Name" and "Access Token", and click [Add].
After clicking, you will move to the My Apps screen of the Yoom account with the three apps added.
Now, the three apps are connected to the Yoom account.

・Copying Templates

After confirming that the new connection of the target app to the Yoom account is complete, click the icon for "Try this template" in the template below.

The template will be copied, so click the "OK" button.

Please move to the "My Projects" screen of your Yoom account and check the template content.

There are 5 setup flows.

・Setting up the HRMOS Chrome Extension Trigger

(1) First, set up the HRMOS Chrome Extension Trigger.

From "My Projects" on the left side of your Yoom account screen, click "【Copy】Create NDA using HRMOS information and send with GMO Sign".

After clicking, the template content will be displayed as shown in the screen below.

(2) Click "Launch from Employee Detail Page" on the Chrome extension icon, which is the first action.

(3) The red part in the above image states "Install the Chrome extension from here".
To use the Chrome extension trigger, please check this page.
If you haven't installed the Chrome extension, please install it from here.

(4) After completing the Chrome extension setup, enter the account information to link with HRMOS and click [Next].

(5) On the next screen, launch the flow bot from the employee detail page and obtain basic business information.
Enter the HRMOS URL to test in the "Sample URL of Launch Page".
After entering, click [Test] and if there are no issues, click [Save].

In this step, it is possible to obtain information pre-stored in HRMOS as output.
The output information can be quoted and utilized in the subsequent steps, as noted in "This value can be used in other operations."

※ The extension can also be installed from the top right of the template.

・Setting up Google Documents

(1) Next, click the second action "Issue Document".

(2) Enter the account information to link and click [Next].

(3) In the "Template Document Linkage" section, click the input bar to expand the contents obtained from the account as 'candidates', and select the relevant information from these.

(4) Enter information in the "Issued Document" section and click [Next].

(5) To use "Issue Document", it is necessary to create a template document in advance using "Google Docs" or "Google Sheets".

Create the template document according to this setup method.
If you cannot execute the document issuance operation, please refer to this page to try to resolve the issue.

(6) Once the template document is created, click "Get Replacement Conditions".
In this case, specify the "Replacement Target String" as [Contract Conclusion Date] and set it to be replaced with today's date.
If you want to specify the date information of 'today' when the flow bot is launched in the input field, click the input bar as shown in the image below and set it in the desired format by expanding the information 'Date' → 'Today's Arrow'.

(7) Once the replacement conditions are obtained without any issues and the settings are made according to the operation, click [Test] and then click [Save].

・Setting up GMO Sign

(1) Next, click the third action "Generate Access Token".
Please check here for how to request a signature with GMO Sign.

(2) Enter the account information to link and click [Next].

(3) In the next screen, enter the information for "Secret Key" and "Customer ID" obtained from the GMO Sign side.

(4) After entering the information, click [Test] and if there are no issues, click [Save].

(5) Next, click the fourth action "Register Document for Envelope".

(6) Confirm that the account information to link is entered and click [Next].
On the next screen, enter information in the fields such as "Secret Key" and "Customer ID".
The "Access Token" can be quoted from the output obtained in the previous step by clicking the input bar.

(7) In this flow, the "File Attachment Method" is set to use the output for the issued document.

(8) After entering the information, click [Test] and if there are no issues, click [Save].

(9) Finally, click the fifth action "Request Signature for Envelope".

(10) Confirm that the account information to link is entered and click [Next].
On the next screen, enter information in the fields such as "Secret Key" and "Customer ID".
"Signature Completion Notification Email" and "Use of Webhook" can be selected from the dropdown.

(11) Outputs obtained from the previous step can also be utilized in each field.
The image below shows the "Document Code" field quoting the output [Document Code] obtained from the previous step.

(12) After entering the necessary information, click [Test] and if there are no issues, click [Save].
This completes the setup.

・Turn on the Trigger

Click the red frame part "Turn on Trigger" in the screen below to automatically start the flow bot.

By launching the Chrome extension trigger from the HRMOS employee details page, you can automate the process from creating an NDA to sending it via CloudSign.
