How to Create a HubSpot and Outlook Integration Flow

This time, we will introduce the setup method for the following template: "Sending template emails via Outlook to leads registered as contacts in HubSpot."
By using this template, you don't need to set up automation from scratch, which is convenient.

The integration flow is broadly divided into the following processes: - Register HubSpot and Outlook as My Apps - Copy the template - Set the trigger in HubSpot that initiates the flow and configure the subsequent operations in Outlook - Turn on the trigger button and verify the integration between HubSpot and Outlook If you are not using Yoom, please register for free from here. If you are already using Yoom, please log in. Step 1: Register HubSpot and Outlook as My Apps Please register HubSpot and Outlook as My Apps to connect them to Yoom. Pre-registering My Apps will facilitate smooth automation settings. First, register HubSpot as a My App. Click on "My Apps" → "New Connection" on the left side of the Yoom screen. Search for HubSpot in "Search by App Name" or find it from the app list. Once the following screen appears, sign in to HubSpot. Next, proceed to register Outlook as a My App. Similarly, search for Outlook or find it from the app list. Once the following screen appears, sign in to Outlook. If both apps are displayed in My Apps, the registration is complete. Step 2: Copy the Template To set up automation, click "Try it" on the banner below.

Read the following screen display and click "OK".

When the following screen is displayed, check the "Title" and "Description".
If you want to make changes, you can do so from the following page.
First, with the HubSpot web page open, set up to launch Yoom's Flowbot from the extension, and click "Launch from Contact Details Page".

Step 3: HubSpot Trigger Settings as the Starting Point of the Flow and Subsequent Outlook Operation Settings

The following screen will be displayed, so check the setup method.
Since we will use a Chrome extension, please install it from here.
Check the trigger setup method using the Chrome extension here.

Scroll and check the settings.

  • "Title" → Can be changed as desired
  • "Account Information to Integrate with HubSpot" → Check if the account is correct
  • "Action When Launching from Extension" → Launch from Contact Details Page

When the following screen is displayed, check the setup method.

Scroll and set the "Launch Page URL Sample".
Once set, click "Test" → "Test Successful" → "Save".

Next, set up Outlook by clicking "Send Email".
※ Microsoft365 (formerly Office365) has a home plan and a general business plan (Microsoft365 Business), and if you are not subscribed to the general business plan, authentication may fail.

When the following screen is displayed, check the settings.

  • "Title" → Can be changed as desired
  • "Account Information to Integrate with Outlook" → Check if the account is correct

Scroll and set the "Email Content".
Set "To" using HubSpot's output.
Set the email address from the output obtained earlier with the Chrome extension trigger.
You can select the output by clicking the arrow within the red frame.

Next, set the "Subject" as desired.
This time, we will create a template email for event announcements, so it was set as follows.

Scroll and move to the "Body" settings.
Utilize the output from "Launch from Contact Details Page" and set it as follows.
By setting the output as follows, you can directly use the lead's name registered in HubSpot's contact.
Once the setup is complete, click "Next".

When the following screen is displayed, check the email sending content.
If there are no issues, click "Test" → "Test Successful" → "Save".

Step 4: Turn ON the Trigger Button and Confirm the Integration Operation of HubSpot and Outlook

Finally, click "Turn ON Trigger" to complete the automation setup.
Check if the Flowbot is starting correctly.
