How to integrate Notion with Josis to automatically register employee information in Josis when employee information is registered in Notion

The integration flow is broadly divided into the following processes.

• Register Notion and Josys as My Apps
• Copy the template
• Set the Notion trigger as the starting point of the flow and configure the subsequent Josys operations
• Turn on the trigger button and verify the integration operation between Notion and Josys

Step 1: Register Notion and Josys as My Apps

Register Notion and Josys as My Apps to connect them to Yoom.
Completing the My Apps registration in advance will make the automation setup smoother.

Register Notion as a My App.
Click "My Apps" → "New Connection" on the left side of the Yoom screen.

Search for Notion in the search bar or find it from the list of apps.

When the following screen appears, click "Select Page".

When the following screen appears, check the page you want to allow access to and click "Allow Access".

Next, register Josys as a My App.
Similarly, click "My Apps" → "New Connection" on the left side of the Yoom screen and search for Josys from the list or search bar.
When the following screen appears, obtain the "API User Key" and "API Secret Key" from the Josys admin panel.
Once obtained, set them on the following page and click "Add".

If Notion and Josys are displayed in My Apps, the registration is complete.

Step 2: Copy the Template

To set up automation, click "Try it" on the banner below.

Please check the following screen display and click "OK".

When the following screen is displayed, please check the "Title" and "Description".
If you want to make changes, click on the relevant section to modify it.
Now, to proceed from the Notion settings, click "When a specific database page is created or updated".

Step 3: Notion Trigger Settings as the Starting Point of the Flow and Subsequent Operations Settings in Josis

When the following screen is displayed, please check the settings.

• "Title" → Can be changed as desired
• "Account Information Linked with Notion" → Confirm the account to be used
• "Trigger Action" → When a specific database page is created or updated
  

When the following screen is displayed, please make the settings.

• "Trigger Activation Interval" → Select from 5 minutes, 10 minutes, 15 minutes, 30 minutes, 60 minutes
  ※ Please note that the trigger activation interval varies depending on the plan.
• "Database ID" → Set according to the instructions

Once set, click "Test" → "Test Successful" → "Save".

Next, to set up retrieving records in Notion, click "Retrieve Records (ID Search)".
When the following screen is displayed, check the settings.

• "Title" → Can be changed as desired
• "Account Information Linked with Notion" → Confirm the account to be used
• "Execution Action" → Retrieve Records (ID Search)
  

Move to Notion and set up employee information for testing.
The following is an example, so set the data as desired.
※ Be sure to use the table view.

Return to the Yoom screen and set the "Database ID".
Set according to the instructions.

When the following screen is displayed, use the output to set the "Conditions for the Record You Want to Retrieve".
To use the output of "When a specific database page is created or updated", click the arrow within the red frame.
When the output is displayed, select "Object ID".
Once set, click "Test" → "Test Successful" → "Save".

Next, to set up Josis, click "Register Member".
When the following screen is displayed, check the settings.

• "Title" → Can be changed as desired
• "Account Information Linked with Josis" → Confirm the account to be used
• "Action" → Register Member
  

When the following screen is displayed, set the "Email Address".
Use the output of "Retrieve Records (ID Search)", so click it.
The value set in Notion earlier will be displayed as output.
Select "Email Address" from the output.

Similarly, use the output of "Retrieve Records (ID Search)" to set other items.
Once all items are set, click "Test" → "Test Successful" → "Save".

Next, to set up updating records in Notion, click "Update Records (ID Search)".
When the following screen is displayed, check the settings.

• "Title" → Can be changed as desired
• "Account Information Linked with Notion" → Confirm the account to be used
• "Execution Action" → Update Records (ID Search)
  

Scroll to set the "Database ID".

When the following screen is displayed, set the "Conditions for the Record to be Updated" as follows.

Scroll and set the "Values of the Record After Update".
Here, the item names set in Notion will be displayed.
To update the "Member ID" obtained from Josis, use the output from Josis and set it as follows.
Once set, click "Test" → "Test Successful" → "Save".

Step 4: Turn ON the Trigger Button and Check the Integration Operation between Notion and Josis

Finally, click "Turn ON Trigger" to complete the automation setup.
Check if the flow bot is activated.
