How to Create a Notion and Kaonavi Integration Flow

This time, we will introduce the setup method for the following template: "Register in Kaonavi when employee information is registered in Notion."
Using this template is convenient as it eliminates the need to set up automation from scratch.

The integration flow is broadly created through the following processes.

  • Register Notion and Kaonavi as My Apps
  • Copy the template
  • Set up the Notion trigger as the starting point of the flow and configure the subsequent Kaonavi operations
  • Turn on the trigger button and verify the integration between Notion and Kaonavi

If you are already using Yoom, please log in.

Step 1: Register Notion and Kaonavi as My Apps

Please register Notion and Kaonavi as My Apps to connect them to Yoom.
Registering as My Apps first makes automation settings easy.

Let's register Notion as My App.
Click "My Apps" → "New Connection" on the left side of the Yoom screen.

An app list will be displayed, so search for Notion from there or use "Search by App Name".

The following screen will be displayed, so click the red-framed "Select Page".

When the following screen is displayed, check the pages you want to allow access to as shown below, and click "Allow Access".

Next, let's register Kaonavi as My App.
Search for Kaonavi or find it from the list in the same way as before.

If Notion and Kaonavi are displayed in My Apps, the registration is complete.

Step 2: Copy the Template

To set up automation, click "Try it" on the banner below.

Read the following screen display and click "OK".

The following screen will be displayed, so check the "Title" and "Description".
If you want to make changes, you can do so from the screen below.
Since it is done from Notion's settings, click "When a specific database page is created or updated".

Step 3: Setting the Notion trigger that starts the flow and the subsequent Kaonavi operation settings

When the following screen is displayed, check the settings.

  • "Title" → Can be changed by yourself
  • "Account information linked with Notion" → Check if there are any mistakes in the account
  • "Trigger action" → When a specific database page is created or updated

The following screen will be displayed, so please make the settings.

  • "Trigger activation interval" → Select from 5 minutes, 10 minutes, 15 minutes, 30 minutes, 60 minutes
    ※ It varies depending on the plan, so be careful.
  • "Database ID" → Set as described

Once set, click "Test" → "Test successful" → "Save".

Next, we will set up to retrieve records in Notion, so please click "Retrieve records (ID search)".
When the following screen is displayed, check the settings.

  • "Title" → Can be changed by yourself
  • "Account information linked with Notion" → Check if there are any mistakes in the account
  • "Execution action" → Retrieve records (ID search)

Move to the Notion screen and set the employee information for testing.
※ Be sure to use the table view.
Register dates such as the date of joining and date of birth in the format "2024-11-08".
Set it as follows as an example, and set it as you like.

Return to the Yoom screen and set the Notion database ID.

The following screen will be displayed, so set the "Conditions for the record you want to retrieve".
Since you will use the output of "When a specific database page is created or updated", click the arrow in the red frame.
When the output is displayed, set it as follows.
Once set, click "Test" → "Test successful" → "Save".

When the following screen is displayed, check the settings.

  • "Title" → Can be changed by yourself
  • "Account information linked with Kaonavi" → Check if there are any mistakes in the account
  • "Action" → Register member

When the following screen is displayed, set each item.
Use the output of "Retrieve records (ID search)" to set the matching output.

Set other items using the output as before.
If you set "Last Name" and "First Name" separately in Notion, you can display them as a full name by setting the output as follows.
Once set, click "Test" → "Test successful" → "Save".

Step 4: Turn on the trigger button and check the linkage operation between Notion and Kaonavi

Finally, click "Turn on trigger" to complete the automation settings.
Check if the flowbot starts normally.

Other Examples of Automation Using Notion and Kaonavi

1. This is a flow where when an employee is registered in Kaonavi, they are automatically registered in the Notion employee management table.
