This time, we will explain the setup method for the following template: "Add to TOKIUM when employee information is registered in Notion." Using this template is convenient as it eliminates the need to set up automation from scratch.
Broadly speaking, we will proceed with the following integration flow.
Register Notion and TOKIUM as My Apps
Copy the template
Set the trigger in Notion as the starting point of the flow and configure the subsequent operations in TOKIUM
Turn on the trigger button and verify the integration between Notion and TOKIUM
If you are not using Yoom, please register for free here. If you are already using Yoom, please log in.
Step 1: Register Notion and TOKIUM as My Apps
Register Notion and TOKIUM as My Apps connected to Yoom. If you need to make changes, click on the relevant section to modify it.
Let's register Notion as a My App. Click "My Apps" → "New Connection" on the left side of the Yoom screen.
Search for Notion from the list of apps or use "Search by App Name".
When the following screen appears, click "Select Page" at the bottom.
When the following screen appears, check the pages you want to allow and click "Allow Access".
Next, register TOKIUM as a My App. Similarly, search for TOKIUM from the list of apps or use "Search by App Name".
When the following screen appears, review the instructions and set the "Account Name" and "Access Token".
If Notion and TOKIUM are displayed in My Apps, the registration is complete.
Step 2: Copy the Template
To configure the automation, click "Try it" on the banner below.
Read the following screen display and click "OK".
The following screen will be displayed, so check the "Title" and "Description". If you want to make changes, you can do so from the page below. Since we will be setting up Notion, click "When a specific database page is created or updated".
Step 3: Setting the Notion Trigger that Starts the Flow and the Subsequent TOKIUM Operation Settings
When the following screen is displayed, proceed with the settings.
"Title" → Can be changed as desired
"Account Information Linked with Notion" → Check for accuracy
"Trigger Action" → When a specific database page is created or updated
When the following screen is displayed, configure the settings.
"Trigger Interval" → Choose from 5 minutes, 10 minutes, 15 minutes, 30 minutes, 60 minutes ※ The trigger interval varies depending on the plan, so please be careful.
"Database ID" → Select from a part of the URL
After setting, click "Test" → "Test Successful" → "Save".
Next, we will set up to retrieve records in Notion, so click "Retrieve Records (ID Search)". When the following screen is displayed, check the settings.
"Title" → Can be changed as desired
"Account Information Linked with Notion" → Check for accuracy
"Execution Action" → Retrieve Records (ID Search)
Move to Notion and set up employee information for testing. ※ Be sure to use the table view. It was set up as follows.
Move to the Yoom screen and select the "Database ID" from within the URL.
The following screen will be displayed, so set the "Conditions for the Record You Want to Retrieve". Use the output of "When a specific database page is created or updated" to set it as follows. You can select the output by clicking the arrow within the red frame. After setting, click "Test" → "Test Successful" → "Save".
Next, we will set up TOKIUM, so click "Register Employee". When the following screen is displayed, check the settings.
"Title" → Can be changed as desired
"Account Information Linked with TOKIUM" → Check for accuracy
"Action" → Register Employee
The following screen will be displayed, so register the "Employee Name". Select "Last Name" and "First Name" from the output of "Retrieve Records (ID Search)".
Scroll down and set the "Email Address" and "Employee Number". Use the output of "Retrieve Records (ID Search)" as before.
Finally, set the "Password". This time, we will set the date of birth as the password, so select "Date of Birth" from "Retrieve Records (ID Search)". Once other items are set, click "Test" → "Test Successful" → "Save".
Step 4: Turn ON the Trigger Button and Confirm the Integration Operation of Notion and TOKIUM
Finally, click "Turn ON Trigger" to complete the automation setup. Check if the flow bot starts up correctly.
