How to integrate STORES Reservation with Outlook to automatically send an Outlook email to the reserver when a reservation is registered in STORES Reservation

This automation is expected to streamline customer service while reducing effort. After completing the My App registration, we will create a flowbot to "automatically send an Outlook email to the reserver when a reservation is registered in STORES reservations."

This time, we will follow the process below.
Let's set it up together!

  • Integrate STORES Reservation with Outlook in My Apps.
  • Copy the template.
  • Set up the trigger for STORES Reservation as the flow starting point and configure the subsequent Outlook operations.
  • Turn on the trigger button and verify the operation of the integration flow between STORES Reservation and Outlook.

Step 1: My Apps Integration

Integrating My Apps first will make the subsequent settings proceed smoothly.
First, let's integrate the STORES Reservation you are using with Yoom.
Select My Apps → New Connection from the left side of the Yoom page.

Search for STORES Reservation and set the required fields.

Next, integrate with Outlook.
When the sign-in screen appears, enter your email address and password.
Note: Microsoft 365 (formerly Office 365) has a home plan and a general business plan (Microsoft 365 Business), and there is a possibility of authentication failure if you are not subscribed to the general business plan.

Once STORES Reservation and Outlook are integrated into My Apps, you're all set.

Step 2: Set Triggers and Actions

We will proceed using this template.

Open the template page and click on "Try this template".
If you are using Yoom, please log in. If you are new, please register.
Proceed, and the template will be automatically copied to your workspace.
Change the template name as needed.
Click on My Projects on the left to see the copied template.
Click on the ellipsis (...) on the right and select Edit.
Now, let's set up the app trigger.
Select "When a reservation is registered".
Change the title as desired.
After confirming the account information to be linked, proceed to the next step.
  • Trigger activation interval: You can choose from intervals of 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
    * The selection of activation intervals varies depending on the plan.
Move to STORES Reservation and make a sample reservation as shown in the image. Once the reservation is complete, return to the Flowbot settings.
Test and save if the reservation details are successfully retrieved in the output. Next, click on "Send Email".
Check the account information to be linked.
Select the email address from the output as shown below. Embed the output in the email body as shown below. Once everything is set, it will look like this.
The red frame indicates where the output is used. Proceed to the next step and perform a pre-send check. If there are no issues, test it.
If successful, save it. Check the sent email. The content has been successfully reflected.

This is useful if you are using Square.
You can reduce the effort of creating them manually.
