Do you find manual invoice management cumbersome?
Let's integrate TOKIUM with Microsoft Excel and implement automation to reflect invoice information registered in TOKIUM into Microsoft Excel.
This automation eliminates the need for manual transcription, reducing effort and time.
Additionally, it prevents human errors, allowing you to register data accurately.
Streamline your invoice management and proceed with your tasks smoothly.

Recommended for

  • Those who use TOKIUM and Microsoft Excel to manage invoice data and want to reduce the hassle of transcription work
  • Those who want to centrally manage invoice data in Microsoft Excel
  • Those who want to save invoice data accurately

Benefits and Examples of Integrating TOKIUM and Microsoft Excel

Benefit 1: Reduce the burden of transcription work

By automatically adding TOKIUM's invoice data to Microsoft Excel, you may reduce the workload.
For example, when you register an invoice in TOKIUM, you can automatically add the invoice data to Microsoft Excel, eliminating the need for manual transcription.
This allows you to allocate the time spent on manual invoice creation to other tasks.
In this way, you can not only reduce the workload of the person in charge but also save working time.

Benefit 2: Centrally manage invoice data

By centrally managing TOKIUM's invoice information in Microsoft Excel, it will be easier to check invoices.
For example, checking past invoice information by launching TOKIUM and searching takes time and effort.
However, if you centrally manage it in Microsoft Excel at the time TOKIUM's invoice is registered, you can check the invoice data at a glance, which is very convenient.
This automation is especially recommended during the accounting period when invoice data is frequently checked.

Benefit 3: Accurately save invoice data

It is important to record invoice data accurately and without errors.
For example, if you are manually adding TOKIUM's invoice information to Microsoft Excel, registration errors or omissions of invoice data are likely to occur.
However, by utilizing automation that reflects the invoice in Microsoft Excel when it is registered in TOKIUM, you can register the data accurately.
Furthermore, by organizing it in Microsoft Excel by item, you can save the data in an easy-to-understand manner.

Now, let's explain how to use the no-code tool Yoom to "add to Microsoft Excel when an invoice is registered in TOKIUM."

[About Yoom]

How to Create a TOKIUM and Microsoft Excel Integration Flow

You can achieve automation by receiving invoice information registered in TOKIUM via API and adding invoice data through Microsoft Excel's API.
Generally, programming knowledge is required to achieve this, but by using the no-code tool Yoom, you can easily achieve it without programming knowledge.

The integration flow is broadly created through the following processes.

  • Register TOKIUM and Microsoft Excel as My Apps
  • Copy the template
  • Set the trigger for TOKIUM, which serves as the starting point of the flow, and the subsequent operation settings for Microsoft Excel
  • Turn on the trigger button and check the integration operation between TOKIUM and Microsoft Excel

If you are not using Yoom, please register for free from here.
If you are already using Yoom, please log in.

Step 1: Register TOKIUM and Microsoft Excel as My Apps

Please register TOKIUM and Microsoft Excel as My Apps to connect them to Yoom.
By completing the My Apps registration first, you can proceed with the automation settings smoothly.

First, register TOKIUM as a My App.
Click "My Apps" → "New Connection" on the left side of the Yoom screen.

When the following screen appears, search for TOKIUM in the search bar or find it from the app list.

When the following screen appears, set the "Account Name" and "Access Token".

Next, register Microsoft Excel as a My App.
Just like before, find Microsoft Excel from the list or search for it.
When the following screen appears, sign in to Microsoft Excel.

Once both My Apps registrations are complete, TOKIUM and Microsoft Excel will appear in the list.

Step 2: Copy the Template

To set up automation, click "Try it" on the banner below.

Read the following screen display and click "OK".

The following screen will be displayed, so please check the "Title" and "Description".
If changes are necessary, click on the relevant section to make changes.
First, click "When an invoice is registered" to set up TOKIUM.

Step 3: Set the TOKIUM trigger as the starting point of the flow and the subsequent Microsoft Excel operation settings

When the following screen is displayed, check the settings.

  • "Title" → Can be changed as desired
  • "Account information linked with TOKIUM" → Check for any errors in the account
  • "Trigger action" → When an invoice is registered

The following screen will be displayed, so set the "Trigger activation interval".
Select from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
* The trigger activation interval varies depending on the plan, so please be careful.
Once set, click "Test" → "Test successful" → "Save".

Next, to set up Microsoft Excel, click "Add record".
* Microsoft365 (formerly Office365) has a home plan and a general business plan (Microsoft365 Business), and if you are not subscribed to the general business plan, authentication may fail.

When the following screen is displayed, check the settings.

  • "Title" → Can be changed as desired
  • "Account information linked with Microsoft Excel" → Check for any errors in the account
  • "Execution action" → Add record

Set the invoice item names in Microsoft Excel for testing.

Return to the Yoom screen and set up "Database integration".

  • "File storage location" → Set as desired
  • "Drive ID" → Select from the options
The options will be displayed by clicking within the frame.
    Set the relevant ID.

Set up other items as well.

The item names set in Microsoft Excel earlier will be displayed in "Values of records to be added".
Use the output from TOKIUM to set up.
Click the arrow within the red frame to display the output.

Set all items and click "Test" → "Test successful" → "Save".

Step 4: Turn on the trigger button and verify the integration operation between TOKIUM and Microsoft Excel

Finally, click "Turn on trigger" to complete the automation setup.
Check if the flow bot is operating correctly.

Here is the template used this time.

I've been working as a writer since my job in child welfare, and I'm currently writing a blog on Yoom. While being surprised by the work efficiency improvements that can be made with Yoom, I would like to share that excitement with everyone and contribute to society. I'll tell you about application integration and automation that even I, who has zero programming knowledge, can do.
