In recruitment, it is extremely important to respond to emails from applicants quickly and reliably. Many companies use Gmail for external communication and interactions with applicants, and Slack for internal communication. By integrating Gmail and Slack, you can automatically notify Slack when you receive application emails from job boards, allowing the entire team to share information in real-time. This article explains the specific setup method.

Recommended for

  • Those who use Gmail and Slack
  • Those who feel challenged by managing and sharing job application information
  • Recruiters aiming to speed up and streamline applicant responses
  • Those using multiple job boards and wanting to manage application information centrally
  • Those who want to share application status in real-time within the team to prevent missed responses

Now, let's explain how to use the no-code tool Yoom to notify Slack when you receive application emails from job boards in Gmail.

[What is Yoom]

How to Notify Slack of Application Emails from Job Boards in Gmail

This can be achieved by receiving records registered in Gmail's database using Gmail's API and notifying the specified channel in Slack using Slack's API. Generally, programming knowledge is required, but with the no-code tool Yoom, it can be easily achieved without programming knowledge.

This flow proceeds in four main processes:
・Register Gmail and Slack as My Apps
・Copy the template
・Set the Gmail trigger as the starting point of the flow, followed by the Slack operation settings
・Turn on the trigger button and verify the integration operation between Gmail and Slack

If you are not using Yoom, please register for free from here.
If you are already using Yoom, please log in.

Step 1: Connect Gmail and Slack to My Apps

Let's register Gmail and Outlook to My Apps for this process.

By registering with My Apps in advance, future automation settings can be done smoothly.
Click on "My Apps" on the left side of the screen, then click "New Connection" on the right side of the screen.

Enter Gmail in the search box and click on the displayed suggestion.

The Yoom and Gmail connection screen will be displayed, click "Sign in with Google" in the red frame.

Select the account you want to connect this time and proceed with the connection between Yoom and Gmail.
* Allow all permissions to Gmail during authentication.

Gmail will be displayed in My Apps.

Next, register Slack to My Apps.
Similarly to the Slack My Apps connection, click "My Apps" on the left side of the screen,
and click "New Connection" on the right side of the screen.

Enter Slack in the search box and click on the displayed Slack suggestion.

A screen like the image below will be displayed, click "Allow" in the red frame.

Once you confirm that Gmail and Slack are displayed in My Apps, the My Apps registration is complete.

Step 2: Copy the Template

To set up automation, click "Try it" on the banner below.

Read the following screen display and click "OK".

Step 3: Set the Gmail trigger as the starting point of the flow and configure the subsequent Slack operations

We will operate the Flowbot.
When a screen like the image below is displayed, click the red-framed area.
On the screen for selecting the linked account and action, confirm that the Gmail account to be linked this time is correct, and click "Next".

A settings screen like the one below will be displayed.
Select the trigger activation time from "5 minutes, 10 minutes, 15 minutes, 30 minutes, 60 minutes".
Please note that the shortest activation interval varies depending on the plan.

When you click on the label item, the output obtained from the linked app will be displayed.
By using the output, you can easily input the necessary information.

Once you have entered the information, click "Test" → "Save".
Next, set up to receive notifications on Slack.

When a screen like the image below is displayed, enter the information accordingly.

Even on this screen, you can easily input the necessary information by using the output.
When you click on each input item, the output obtained from the linked app will be displayed.
In the screen below, we are entering information so that "Subject" and "Body" can be confirmed in Gmail.

Once the input is complete, click "Test" → "Save".

Step 4: Turn on the trigger and confirm the automation of the integration

Finally, when the following screen is displayed, turn on the trigger. The Flowbot will start automatically.

This completes the automation setup. The template used this time is as follows.

① Register the content of inquiry emails received in Gmail to kintone

This is a flow to register the content of inquiry emails received in Gmail to kintone. By using this integration, you can effectively utilize important insights gained from inquiries, which is expected to improve customer satisfaction.

② Add content posted in a specific Slack room to a Google Document

This is a flow to add content posted in a specific Slack room to a Google Document. It is recommended for those who conduct business communication via Slack and share information within the team using Google Documents.

③ After the Zoom meeting ends, transcribe and summarize the minutes, and notify via Slack

This flow involves transcribing and summarizing the minutes after a Zoom meeting ends and notifying via Slack. By utilizing this flow, the content of the Zoom meeting is transcribed and summarized by AI into minutes, which are then notified to Slack. This helps reduce the workload of the person responsible for creating the minutes.

Benefits and Examples of Integrating Gmail with Slack

Benefit 1: Prevent Missed Responses by Sharing Application Status in Real-Time

When you receive application emails from job boards in Gmail, an automatic notification is sent to Slack, allowing the entire team to instantly grasp the application status. This reduces the risk of delayed initial responses to applicants and enables efficient handling. Especially when there are multiple recruiters, sharing application information in real-time allows for quick decisions on who will respond, eliminating unnecessary confirmation tasks. Additionally, it enhances transparency within the team and helps prevent communication loss.

Benefit 2: Improve Work Efficiency by Reducing Manual Data Entry

Typically, application information needs to be manually transferred from emails to recruitment management tools or spreadsheets. With this automation, necessary information can be centrally managed through Slack notifications, eliminating the need for manual data entry. For example, you can check the applicant's name and contact details on Slack and proceed to the next step immediately. This allows recruiters to focus on more important tasks.

Benefit 3: Increase the Speed of Application Handling

By notifying application emails to Slack, you can reduce the waiting time until the responsible person checks the email. This is particularly effective in the early stages where quick communication is crucial. For instance, you can immediately arrange interview schedules or follow-up communications, enabling recruitment activities that prioritize speed. Additionally, by using Slack's reminder feature, you can prevent forgetting tasks that tend to be postponed.

Conclusion

Integrating Gmail with Slack can significantly enhance the sharing of job application email information and the speed of response. This automation not only improves the efficiency of the recruitment team's operations but also enhances the quality of responses to applicants. It can be easily set up without any coding, so be sure to incorporate Yoom into your actual operations and experience the efficiency improvements.
