Let's Create a Flow to Integrate Box and Forms

Let's get started with creating a flow to integrate Box and forms!
We will proceed with the setup using Yoom, a no-code platform. If you don't have a Yoom account yet, please issue one from this registration form.

[What is Yoom]

This time, we will introduce the steps to create a flow bot that "creates a PDF based on the content submitted through a form and saves it to Box"!

Flow Bot Setup Process

  • Integrate Box and Google Sheets with My Apps
  • Copy the template
  • Set up the form trigger and configure actions for Box and Google Sheets
  • Set the trigger to ON and complete the preparation for flow operation

Step 1: Set Up My App Integration

Here, you will configure the settings to register the app information to be integrated with Yoom. After logging into your Yoom workspace, click "+ Add" on the My Apps screen.

A list of apps available in Yoom will be displayed. Search for the app you want to integrate using the search box and proceed with registering it to My Apps.

Box

Clicking on the app name from the search results will switch to the Box integration confirmation screen.

Click "Allow Access to Box" to complete the My App integration.

Google Sheets

Clicking on the app name from the search results will switch to the Google Sheets integration screen.
When the following screen appears, please confirm that there is no mistake with the account and click "Continue".


This completes the My App integration with Google Sheets.

Step 2: Copy the Template

Once the My App integration is complete, proceed to set up the Flowbot template. Please proceed to copy the template from the banner below.

When the popup below appears, click "OK" to start the setup!

The copied template will be added to My Projects. You can access My Projects from the left menu bar.

Step 3: App Trigger

Click the first step of the template and set the trigger (starting point) for the Flowbot. The light blue lamp indicates that it is already set, but let's open it and check the contents. In this step, you will create a Yoom form and set it so that the flow is triggered when there is a response to the form.

How to set up a form trigger

(1/2) Create a Form

Let's create the questions in the form.

The content of the form created with the default settings can be edited or deleted. To add a new item, scroll to the bottom.

Click the add question button to add an item and select the type of response method.

Once you've finished adding items, you can check the display from the preview button in the upper right corner.

After confirming the content in the preview, return to the edit screen and scroll down.

You can change the comment displayed on the completion page (the page after submitting the response) in this box.

Once editing is complete, click Next to proceed.

(2/2) Create a Form

This is the screen to send test responses to the created form.

Enter test content for each item.

After entering, click the Save button at the bottom.

Once saved, the response content can be referenced in later operations.

In Yoom, the acquired values are defined as "Output".

Step 4: Issue a Document "Issue a Document"

Click the second template. In this step, you will use Google Sheets to replace the values in the template document with the form responses and set up Google Drive.

Linking Template Document

This time, we will proceed with the goal of issuing a receipt like the one above. The template for this receipt is as follows.

The unique values enclosed in { } will be replaced with the values obtained from the form. We will introduce the rules later, so let's return to the Yoom screen for now.

  • Spreadsheet File ID
    • Select the sheet to link (enter the file ID of the template document) from the dropdown menu that appears when you click the edit field, and the ID will be referenced.

After entering the template document ID, scroll down.

Issued Document
  • Google Drive Folder ID for Storage
    • Before storing in Box, temporarily store the PDF in Google Drive. Specify the folder of your choice. When you click the edit field, candidates will be displayed in a dropdown menu.

  • Output File Name
    • Specify the file name. This time, we specified the company name as a dynamic value. There is no need to insert the extension (.pdf) at the end.

After entering the output file name, click the Next button.

(2/2) Set Replacement Conditions

Please insert a unique value for the { } values introduced at the beginning. (The same value will cause an error, so please be careful.)

After placing the unique values before replacement in the specified spreadsheet, scroll down.

When you scroll, the items from the spreadsheet loaded in the previous operation will be displayed. After re-editing the values, click the "Retrieve Replacement Conditions" button in the upper right corner to update the items.

Link the replacement string to the replacement target string.

When you click the edit field for the replacement string, the values obtained from the form will be displayed in a dropdown menu.

Embed the appropriate item/value for the replacement target value. Embedding is just a selection.

After embedding everything, click the Test button. If successful, you can obtain the issued document and related information.

Click Save.

Step 5: Integrate with the App "Upload File"

Click the third template. In this operation, you will set up to upload the file created in the previous operation to a specified folder in Box.

(1/2) Select Linked Account and Action

The following items are already set on this screen.

  • Title
  • App
  • Account information linked to Google Sheets
  • Action

Click the Next button.

(2/2) API Connection Settings

  • File Name
    • The reference code for the value obtained in the previous operation is embedded in the preset. The extension is included in this reference code, so no additional settings are required. By the way, this reference code is stored in the dropdown menu that appears when you click the edit field.
  • Content ID of the Storage Folder
    • Display the folder specified in Box and check its URL. The sequence of numbers after /folder/ corresponds to the ID.
  • File Attachment Method
    • The preset is fine as it is.

Click the Test button. If successful, the issued document will be uploaded to the specified Box folder.

Click the Save button.

Step 6 (Final): Turn ON the App Trigger

When all steps are set, a completion screen will be displayed.

Turn on the trigger to activate the Flowbot.

You can toggle the trigger ON/OFF from the toggle in the upper left corner. The Flowbot setup was easily completed without programming. When the trigger is ON, the copy button for the form link in the upper right becomes active, allowing you to obtain the link.

Other Automation Examples Using Box

In addition to the form integration introduced this time, it is also possible to notify when a file is uploaded to Box or to store certificates in Box.
