Let's Create a Microsoft Teams and Forms Integration Flow
Now, let's actually create an integration flow between Microsoft Teams and forms! This time, we'll proceed with the setup using Yoom without any coding, so if you don't have a Yoom account yet, please issue one from this registration form.
[What is Yoom]
This time, we will create a flow bot that notifies Microsoft Teams of the form responses!
The creation process is broadly divided into the following steps.
Integrate Microsoft Teams with My Apps
Copy the template
Set the trigger for Yoom forms and the action for Microsoft Teams
Turn on the trigger and check the operation
Step 1: Integrate Microsoft Teams with My Apps
(1) First, integrate Microsoft Teams with My Apps. After logging into Yoom, click "+ Add" from "My Apps" in the left menu.
(2) Search for "Microsoft Teams" and select Microsoft Teams from the list of apps.
(3) You will be prompted to sign in with your Microsoft account, so enter the email address of the account you want to link with Yoom
(4) Next, enter the password for the account. Once signed in, the integration with Yoom will be automatically completed. This completes the registration of Microsoft Teams in My Apps.
For the registration procedure and precautions for My Apps in the Microsoft 365 service group, please also refer to this page!
* "Microsoft 365 (formerly Office 365)" has both personal and business plans (Microsoft 365 Business). Please note that if you do not have a business plan, authentication with Yoom may not work properly.
Step 2: Copy the Template
Once the My Apps integration is complete, let's set up the template right away. Click "Try it" on the banner below to copy the template.
When the template is copied to Yoom, the following screen will be displayed, so press "OK".
Step 3: Yoom Form Trigger Settings
(1) First, set up the Yoom form that will trigger the flow bot! Click on "Form" at the top of the template.
(2) Set up the form.
①~③ Set as desired ④ Choose the response method from text format, dropdown, checkbox, etc. ⑤ Set whether the response is mandatory or optional ⑥ Copy the item with the left icon, delete the item with the right icon
(3) By scrolling down, you can also set the following. ① Add questions as desired (limited number) ② Set text above the submit button as desired (only for paid plans) ③ Set to hide the Yoom logo displayed at the bottom of the form page (only for paid plans)
(4) Only for paid plans, you can also set the completion page and access restrictions as desired. Once the form setup is complete, click "Next".
(5) You can display the preview screen of the form from the "Preview Page". Also, you can display the screen when the form is completed from the "Completion Page".
This time, we created a form assuming it is a contact form!
(6) Set a sample response for the obtained values and click "Save" to complete the setup. ※ The sample values entered here will not affect the flow operation. During flow operation, the actual response content will be extracted.
Step 4: Microsoft Teams Action Settings
(1) Finally, set up to notify data to Microsoft Teams. Click on "Send message to the channel" in the template.
(2) Select the Microsoft Teams account information linked in "Account Information to Link with Microsoft Teams".
(3) Click on the target team name from "Candidates" for "Team ID".
(4) "Channel ID" can also be selected in the same way.
(5) You can set the content of the message as desired. You can also quote the response content from "Form" in "Obtained Values".
※ "Obtained Values" refers to the values obtained by executing "Test" during trigger or operation settings. The obtained values can be used as values during subsequent operation settings, and the values change each time the flow bot is activated.
(6) Once the setup is complete, execute the test. Check if the message is actually delivered to Microsoft Teams. ※ The message will display the values obtained by the trigger.
If the message is sent successfully, click "Save" to complete the setup.
Step 5: Turn on the Trigger and Check Operation
With this, all settings are complete. After completing the settings, a pop-up like the one below will be displayed, so turn on the trigger. Check if the flow operates normally!
Other Automation Examples Using Microsoft Teams
Convenient Automation Examples Using Microsoft Teams
Besides the integration with the form introduced this time, it is also possible to forward messages posted on Microsoft Teams to chat apps or emails, or send lead information to Microsoft Teams.
In this way, you can automate various tasks using the Microsoft Teams API, so if you find something interesting, please give it a try!
Conclusion
By integrating Microsoft Teams with forms, you can take a step forward in streamlining your daily tasks. Automation allows form response data to be sent to Microsoft Teams without manual work, automatically sharing important information with the entire team. This ensures smooth and quick communication within the team, making the workflow more efficient. Additionally, you can easily integrate with any form tool, expanding your options for tool selection.
By reducing the time spent on data organization, you can focus on your core tasks, so be sure to take advantage of this automation.
Conventional RPA can only automate simple repetitive tasks, and the setup process was very complicated. With “hyperautomation,” which combines various technologies such as AI, API, RPA, and OCR, it is possible to automate many tasks that could not be realized until now more easily than before.
Most tools simply connect one app to another, leaving the complex tasks to you. Yoom goes much further: From document creation and browser automation to OCR and generative AI, Yoom handles it all seamlessly in one platform.
Why settle for basic integrations? Streamline your entire workflow with Yoom’s powerful hyperautomation.
