Let's Create a Confluence and Form Integration Flow

Now, let's actually create an integration flow between Confluence and a form!

This time, we will proceed with the setup using Yoom, a no-code tool.

In this article, we will create the flow of "creating a page in Confluence based on the form content" that we introduced earlier!
The creation process is broadly divided as follows.

  • Confluence My Apps Integration
  • Copying the Template
  • Setting up the Trigger Form and the Page to be Created in Confluence
  • Preparing for Flow Operation (Setting the Trigger to ON)

In this article, we'll operate the flow by creating a Confluence page based on the suggestions submitted in a form.
This allows even non-Confluence users to create a page by simply filling out a simple form, and the created pages are formatted in a consistent way, allowing you to build content that is easy to read and find.

Step 1: Integrate Confluence with My Apps

First, register Confluence as My Apps and link it to Yoom.

1. After logging in to Yoom, select "My Apps" from the workspace sidebar.

2. Click "+ Add" on the right side of the My Apps screen.

3. When the "App List" is displayed, search for Confluence in the search bar at the top right and select it.

4. The Atlassian sign-in screen will appear.
Please sign in with any account you wish.

5. Check the access permissions for Atlassian from Yoom and click "Accept".

Return to the "My Apps" screen, and if Confluence is added, the integration is complete.

Step 2: Copy the template

Once you've completed the Confluence integration, copy the template you want to use.
Click "Try it" in the banner below.

This will copy the template to your Yoom workspace.
Click "OK" to proceed to the flow settings.

Step 3: Form Settings (Trigger)

Start by setting up the trigger action that initiates the flow.

  1. Click on "Form" for the form trigger.

  1. Default questions for creating a site in Confluence are set.
    You can freely customize the form title and questions.
    For more details, please refer to this help page.

  1. Once the settings are complete, click "Next" at the bottom of the page.

  1. Click "Preview Page" or "Completion Page" to display a preview of the created form or completion page.

  1. Set sample values for each "Retrieved Value" to be used in the Confluence page creation test.

  1. Click "Save".
    This completes the form settings.

Step 4: Page Settings for Creation

Next, let's set up the page to be created in Confluence.

  1. Click "Create Page" in Confluence.

  1. Check the linked account and action, then click "Next".

  1. Click the "Cloud ID" input field to display candidates from the linked Confluence account's cloud.
    Select the target cloud.

  1. Click the "Space ID" input field to display candidates from the selected cloud.
    Select the target space.

  1. Select any status from the "Page Status" dropdown.

  1. The default values for "Page Title" and "Page Content" are set with the values obtained in Step 3 (responses to the questions).
    If you have added or changed questions, select the desired item from "Form" in the menu displayed when clicking the input field.

  1. Set the ID of the parent content where the new page will be created in "Parent Content ID".
    * The content ID can also be confirmed in the target page URL of Confluence (pages/{{ID part}}).

  1. Once the settings are complete, click "Test" at the bottom of the page.
    The page set here will actually be added to the specified space in Confluence.

If "Test Successful" is displayed, confirm that the page has been created in Confluence as specified, and click "Save" at the bottom of the page.

Step 5: Preparing to Operate the Flow (Set Trigger to ON)

Return to the flow screen, and if "All settings are complete!" is displayed, the flow settings are complete.
If you want to operate the flow immediately, click "Turn on the trigger".

If you want to operate it later, you can turn the trigger ON by clicking the trigger switch on the flow screen.

When the trigger is turned ON, you will be able to copy the link to the created form.
Now, when a response is submitted to the form, the flow will automatically operate.
