Let's Create a Salesforce and Zoom Integration Flow

Let's get started by creating a flow that integrates Salesforce and Zoom!

This time, we will proceed with the integration of Salesforce and Zoom using Yoom without any coding. If you do not have a Yoom account yet, please create one using the registration form here.

[What is Yoom]

This time, we will create a flow bot that creates a meeting in Zoom and sends a notification email when a lead is registered in Salesforce!

The creation process can be broadly divided as follows:

  • Integration of Salesforce and Zoom My Apps
  • Copy the template
  • Set the Salesforce trigger and Zoom action
  • Turn on the trigger and complete the preparation for flow operation

Step 1: Connect My App with Salesforce and Zoom

Click "Add" from "My Apps" in the left menu of the Yoom screen.

Enter the name of the app to connect in the search box.

How to Connect Salesforce with Yoom

When you search for Salesforce, the login page will appear.
After logging in and granting access, the connection is complete!

Salesforce is an app for users of the Team Plan and Success Plan. Please note that using it with the Free Plan or Mini Plan will result in errors in Flowbot operations and data connection.

How to Connect Zoom with Yoom

When you search for Zoom (OAuth), the new registration screen will appear.
Enter the "Client ID" and "Client secret" to complete the connection!

Step 2: Copy the Template

Next, copy the template to be used this time.

  1. Press "Try it" on the banner below.
  2. Press "Try this template" on the migrated page.
  3. If you haven't registered with Yoom yet, please register.
    If you have already completed registration, please log in.

When the template is copied to "My Project", a screen like this will be displayed.

Step 3: Set Schedule Trigger

  1. Open the copied template

Open the copied template from "My Project" in the menu on the left.
(※ If you set it immediately after copying the template, you do not need to open the template. If you interrupt the setting, open it from "My Project" and resume!)

  1. Open the app trigger (Salesforce app)

Click "When a new record is registered in the lead object".

  1. Select the linked account and action

Enter the necessary parts.
"Title": Can be changed as needed
"Account information connected to Salesforce": Check if it is correct
"Trigger action": Select "When a new record is registered in the lead object"

  1. Set the API connection for the app trigger

Select the "Trigger interval" from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
If you want to create a meeting on Zoom quickly, set it at a shorter interval!
※ Please note that the selection content of the trigger interval differs depending on the plan.

Enter "My Domain URL".
Check the annotation in the red frame and make the settings.
After entering, press "Test".

If the test is successful, the retrieved value will be displayed.
It will be the necessary information for the linkage setting, so check it and click "Save".
(Actually, specific values are displayed next to the items.)

Step 4: Retrieve Salesforce Record Information

  1. Open the Salesforce app

Click "Operate Database".

  1. Integrate the database

Enter the necessary parts.
"Title": Can be changed as needed
"Account information linked with Salesforce": Check if it is correct
"Action": Select "Retrieve Record"

Enter "My Domain URL" and "Object API Name".
※ If you do not know the object API name, please check here.

  1. Make detailed settings for the database

Enter "Search Conditions".
Select using the dropdown and retrieved value.
【How to use the retrieved value】
① Click the input field to display the retrieved value
② Click "When a new record is registered in the lead object"
③ Select "Lead ID"

After entering, press "Test", and if the test is successful, the retrieved value will be displayed.
(Actually, specific values are displayed next to the items, so check them.)

Step 5: Create a Meeting in Zoom

  1. Open the Zoom app

Click "Create Meeting".

  1. Select the linked account and action

Enter the necessary parts.
"Title": Can be changed as needed
"Linked Account": Check if it is correct
"Action": Select "Create Meeting"

  1. Set the API connection

First, enter "Email Address", "Topic", and "Password".
It is recommended to set the topic using the retrieved values!

The "Meeting Description" can also be easily set using the retrieved values, just like the topic.

The "Start Date and Time" can be selected from the date field.
On the template, it is set to "12:00 the next day", but you can also choose options like "End of this month" or "Beginning of next month", so change it as needed.

Finally, after entering "Time Zone" and "Meeting Duration", press "Test".
(※ The time zone is an optional field, so you don't have to enter it!)

If the test is successful, the retrieved data will be displayed.
After checking the displayed content, click "Save".
Just a little more to complete the setup!

Step 6: Send an Email

  1. Open the email app

Click "Send Email".

  1. Set up the email

Set up the "Email Content" to be sent.
For the recipient (To), in this case set as below.

The "Subject" and "Body" can also be easily entered using the retrieved values!

Press "Next" to display the email sending content.
Check the content, and if there are no issues, press "Test".
If the "Test" is successful, click "Save".

Step 7: Turn on the Trigger and Check Operation

Finally, click "Turn on Trigger" to complete the automation settings.
Check if the flow bot is operating correctly.
