First, use Slack's API to receive the sent messages.
Then, it is possible to summarize the message content with AI and add the summary result to Google Docs using the API provided by Google Docs. This enables automation.
Generally, programming knowledge is required to achieve this, but it can be easily implemented without programming knowledge by using the no-code tool Yoom.

This time, we will create it in the following major processes.

  • Integrate Slack and Google Docs with My Apps
  • Copy the template
  • Read the messages sent on Slack, summarize them with AI, and add them to Google Docs
  • Set the trigger to ON and complete the preparation for flow operation

If you are already registered with Yoom, please log in. If you are not registered, please proceed with the setup after registering for free.

Step 1: Integrate Slack and Google Docs with My Apps

First, integrate Sansan and Notion with My Apps.
After logging into Yoom, click on "My Apps" on the left side of the screen and search for Slack from "+ New Connection".

If you are already signed in to Slack, a page like the one in the image will be displayed. If not signed in, please sign in on the "Sign in to your workspace" screen.
If you want to use a different workspace, click "Add another workspace" at the top right of the screen to change the settings.
After signing in, select the channel for notifications from "Search for channels" at the bottom of the screen and click "Allow" to complete the integration of Slack with My Apps.

Next, search for Google Docs from "+ New Connection".

Click "Sign in with Google" to sign in.

After signing in, a message saying "Yoom is requesting access to your Google account" will be displayed, so press "Continue" to complete the integration.

Next, proceed with the setup using the Flowbot template.
Log in to Yoom and click "Try it" on the banner below.

"Template has been copied!" will be displayed, so click "OK" to complete the copy.

Step 2: Load Messages Sent on Slack

Next, set up to load messages sent on Slack.
Click "When a new message is posted to a channel".

On the next page, check the "Account information to integrate with Slack".
The title can be edited, but do not change the trigger action and click "Next".

Set up the API connection.
The "Trigger interval" can be selected from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
*Please note that the shortest trigger interval varies depending on the plan.
For "Channel ID", click the input field and select the channel from the displayed options.
Once the setup is complete, click "Test".

In the output, confirm that the message information posted in the channel has been retrieved, and click "Save".

Step 3: Summarize the Message Content with AI

Next, set up to summarize the message content with AI.
Click "Summarize".
*AI operations are available only in the Team Plan and Success Plan. In the Free Plan and Mini Plan, the operation of the flowbot set will result in an error, so please be careful.
*Paid plans such as Team Plan and Success Plan offer a 2-week free trial. During the free trial, you can use restricted apps and AI features (operations).

On the next page, set up the action.
The "Title" can be edited as desired.
In "Action", select the Chat GPT model.
Note that the tasks in parentheses indicate the amount of tasks consumed.
Once the setup is complete, click "Next".

On the next page, set the details of the summary.
For "Text to be summarized", click the field and select the Slack message body.
The "Number of characters" can be set as desired. Note that, as per the annotation, the summary may not fit within the specified number of characters, so please be careful.
If there are detailed prompts for "Summary conditions", set them.
Once the setup is complete, click "Test".

Check the summary result displayed in the output, and if there are no issues, click "Save".

Step 4: Add the Summary Result to Google Docs

Next, set up to add the summary result to Google Docs.
Click "Add text to the end of the document".

Edit the title as desired and check the account information, then click "Next".

Set up the API connection.
For "Document ID", refer to the annotation and quote the relevant part from the URL of the Google Doc where the summary result will be saved.
For "Text to be added", click the field and select the summary result from the displayed options.
Once the setup is complete, click "Test".

After the test, if you can confirm that the summary result has been added to Google Docs, click "Save".

Finally, click "Turn on Trigger" to complete the flow setup.
Now, when a message is sent on Slack, the post content will be automatically added to Google Docs.

Other Automation Examples Using Slack and Google Docs

There are many other examples of automation using Slack and Google Docs in Yoom, so here are a few.

1. Issue an Employment Contract and Notify on Slack When a Form is Submitted

Based on the form responses, an employment contract is created in Google Docs and automatically sent, followed by a notification on Slack. This automates the process from contract issuance to sending and notification, reducing the workload.

2. Issue the Employment Contract and Send via CloudSign Once the Request Form is Submitted

Based on the contents of the request form, an employment contract is created in Google Docs and sent via CloudSign, followed by a notification on Slack. This integration helps save time and effort, supporting the streamlining of the contract process.

3. Issue a Certificate of Employment with SmartHR Information and Notify via Slack

Based on the information registered in SmartHR, a certificate of employment is issued using Google Docs, and a notification is sent via Slack along with the document. This automation eliminates the need for manual verification, supporting easy issuance of certificates.

Benefits and Examples of Integrating Slack with Google Docs

Benefit 1: Streamlining Work Efficiency and Accelerating Information Sharing

By implementing this integration, information sharing within the team via Slack and Google Docs may become smoother.
Not only does AI automate the summarization tasks that were previously done manually, but it also automates the storage into Google Docs.
This eliminates the need for manual transcription and reduces the effort required to comprehend and summarize the content.
As a result, it is expected that time will be saved, allowing for better focus on other tasks.
Additionally, since detailed message histories, such as who posted what, can be easily checked, misunderstandings and overlooked information may decrease.

Benefit 2: Improving the Accuracy of Project Progress Management

By automatically recording the content reported on Slack about project progress and task updates into Google Docs, it is anticipated that managers will find it easier to smoothly verify information.
This automation increases the transparency of progress, making it easier to plan the next actions in tasks involving multiple parallel activities, such as in software development teams.
This can lead to a reduced risk of task delays and smoother project progression.

Benefit 3: Enhancing Meeting Efficiency

If notes and discussion content from meetings are shared on Slack, they can be saved directly as minutes in Google Docs.
This eliminates the need for post-meeting minutes creation, allowing participants to easily review the meeting content immediately.
Furthermore, by leveraging AI, even lengthy notes can be summarized and recorded in Google Docs.
This system is particularly beneficial in remote work environments where online meetings are predominant, contributing to increased productivity in meetings and work.
