How to Create a Project in Capsule CRM When a Row is Added in Google Sheets
This method detects the addition of a row using the Google Sheets API and automatically creates a project using the Capsule CRM API. Generally, programming knowledge is required to achieve this, but it can be easily realized without programming knowledge by using the no-code tool Yoom. We will create it through the following major processes:
- Register Google Sheets and Capsule CRM as My Apps
- Copy the template
- Set the trigger for Google Sheets as the starting point of the flow, register the project in Capsule CRM, and set the project registration in Google Sheets
- Turn on the trigger button and check the operation of the integration between Google Sheets and Capsule CRM

Step 1: Connect Google Sheets and Capsule CRM with My Apps
Register your My Apps to connect Google Sheets and Capsule CRM to Yoom. Completing the My Apps registration first will allow you to smoothly proceed with the automation settings. First, register Google Sheets with My Apps. 1. To begin, click on My Apps from the left menu on the Yoom page and press [New Connection] at the top right.
2. Next, enter Google Sheets in the search box and select "Google Sheets" from the displayed options. On the displayed screen, click [Sign in with Google].
3. You will be taken to the account selection screen, so choose the account you want to connect from the management accounts displayed on the right side of the screen. After selection, you will proceed to the sign-in screen, so complete the authentication. This completes the connection of Google Sheets!
4. For Capsule CRM app integration, select "Capsule CRM" just like the Google Sheets My Apps registration. On the displayed screen, enter the Capsule CRM Siteaddress and click the [Continue] button.
5. On the displayed screen, click the [Allow] button to complete the registration in My Apps. Move to the My Apps screen on the Yoom page, and you can confirm that the two apps have been added.
Step 2: Copy the Template
1. Once the new connection for the target app is complete, click the 'Try this template' icon for the template below.
2. The template will be copied, so click the [OK] button.
You will be taken to the "My Projects" screen of your Yoom account, so please check the template content.
Step 3: Set the trigger for the Google Spreadsheet that initiates the flow, register the project in Capsule CRM, and set up the project registration in Google Spreadsheet
Set up the trigger that initiates the automation. When new product information is registered in Google Spreadsheet, this flow will automatically start.
1. Set up the trigger for Google Spreadsheet. From "My Projects" on the left side of the Yoom account screen, click "Create a project in Capsule CRM when a row is added in Google Spreadsheet". 2. The template content will be displayed. Click the app trigger "When a row is added". Then, enter the account information to be linked and click the [Next] button.
3. On the next screen, enter the "Trigger Interval", "Spreadsheet ID", and "Sheet ID" information. Select any of the following for the trigger interval: 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes. Note that the trigger interval varies depending on the plan, so please be careful.
The "Spreadsheet ID" and "Sheet ID" fields can be expanded as "candidates" by clicking the input bar to retrieve information from the account. Use the necessary information from the candidates.
4. After entering the information, click [Test] and if there are no issues, click [Save]. The information on the screen below can be obtained as output. As noted, "This value can be used in other operations", please refer to and utilize it in the subsequent steps.
5. Next, set up the registration of project information in Capsule CRM based on the information obtained from Google Spreadsheet. Click "Create Project" to link with the second app. On the displayed screen, enter the account information and click the [Next] button.
6. On the next screen, enter information such as "Party ID" and "Name". Click the input bar to select the output. The following image is an example of quoting the information of [Party ID] within the output "When a row is added" obtained in step 4. Set "Name" and others in the same way as above. Note that the [Party ID] part changes depending on the action.
7. After entering the necessary information, click [Test] and if there are no issues, click [Save]. Note that if the test is successful, the Project ID related to the registered project will be output from Capsule CRM. This completes the trigger setup and project registration. 8. Finally, register the Project ID issued by Capsule CRM in Google Spreadsheet. On the screen where the template content is displayed, click "Update Record" to operate the database. On the displayed screen, check the account linked with Google Spreadsheet.
9. Register the Project ID obtained from Capsule CRM in Google Spreadsheet. Set the Spreadsheet ID, the tab name of the spreadsheet, and the table range, then click [Next]. Note that the Spreadsheet ID and the tab name of the spreadsheet can be set from the "candidates" displayed when you click the frame.
10. Set the conditions for the record you want to update. In the left frame, set the item of the column in Google Spreadsheet that has a unique value. In the right frame, select the corresponding item from the output "When a row is added". Based on the conditions set here, Yoom will search for the project registered in Google Spreadsheet. Note that it was set as shown in the image below.
11. Next, set the values for the updated record. Note that since the Project ID obtained from Capsule CRM will be updated, use the Capsule CRM output "Create Project" to set it.
12. Once the setup is complete, click [Test] and then click the [Save] button.
Step 4: Turn on the trigger button and check the linkage operation between Google Spreadsheet and Capsule CRM
Click the [Turn on Trigger] button on the screen below to automatically start the flow bot.
Once the trigger is turned on, every time a project is added to Google Spreadsheet, it will be automatically registered in Capsule CRM. The template used this time is as follows.
