s.miyamoto

Would you like to automate the addition of users to your talk room to ensure smooth business operations? By integrating Google Sheets with Direct, you can achieve greater efficiency and faster information sharing. This article explains how to automatically add users to a Direct group talk when a row is added in Google Sheets. This automation can reduce manual work and streamline the initial stages of a project. The app integration can be easily implemented without programming, so give it a try.

Recommended for

  • Project managers who use Google Sheets and Direct in their work and want to streamline information sharing
  • Team leaders who want to facilitate communication between teams through API integration automation
  • Sales representatives involved in projects with multiple departments or external stakeholders who want to prevent errors and strengthen collaboration

Benefits and Examples of Integrating Google Sheets with Direct

Benefit 1: Enhanced Team Collaboration

When a new row is added to Google Sheets, the system automatically adds relevant users to the Direct group talk, enabling quick information sharing. This process reduces the time spent by staff on communicating information via email or individual chats, supporting smooth task progression. For example, during the launch of a new project, it eliminates the hassle of manually inviting all stakeholders, creating an environment where tasks are quickly shared, thus improving initial efficiency.

Benefit 2: Prevention of Human Errors

Manually adding users to a Direct group talk can lead to human errors such as omissions or incorrect invitations. By implementing automation through the integration of Google Sheets and Direct, accurate group management according to set conditions becomes possible, preventing human errors. Accurate member management is particularly important in projects involving multiple departments or external stakeholders. For instance, during the project preparation stage, automation ensures that each member is appropriately added to the group, supporting smooth communication. This can help avoid issues caused by missing communications to necessary members.

Benefit 3: Improved Project Transparency

By automatically adding members to Direct group talks, all relevant members can quickly grasp the latest progress and information, enhancing project transparency. This is especially effective in cases where project responsibilities span multiple individuals or involve external collaborators. Sharing the overall project flow within the group clarifies the responsibilities among team members. For example, integrating Google Sheets with Direct allows external stakeholders, including suppliers, to be smoothly added to the development team, creating an environment where necessary information is shared with everyone, thus improving project visibility.

Now, let's explain how to use the no-code tool Yoom to automatically add users to a Direct group talk when a row is added in Google Sheets.

[What is Yoom]

How to Automate Content Added to Google Sheets in Direct

It is possible to achieve this by receiving the content added to Google Sheets via the Google Sheets API and automatically adding users to the specified talk room via the Direct API. Generally, programming knowledge is required to achieve this, but it can be easily accomplished without programming knowledge by using the no-code tool Yoom.

This time, we will create it through the following major processes.

  • Integrate Google Sheets and Direct with My Apps
  • Copy the template
  • Set a trigger in Google Sheets and set an action in Direct
  • Set the trigger to ON and complete the flow operation preparation

If you are registered with Yoom, please log in, and if you are not registered, please proceed with the settings after registering for free

Step 1: Connect Google Sheets and direct to My Apps

First, connect Google Sheets and direct to My Apps.
After logging into Yoom, click "My Apps" on the left side of the screen and select "+New Connection" to display the app search bar.

Search for and click Google Sheets.‍

Click "Sign in with Google" and sign in.

Once access is granted, the connection to My Apps is complete.

Search for and click direct.

Refer to the annotations to register the application in direct, issue the Client ID and Client Secret, and enter them in the respective fields.
Then click "Add" to complete the connection to My Apps.

Next, let's proceed with the setup using the template.
Log into Yoom and click "Try it" on the banner below.

"Template copied!" will be displayed, so click "OK" to complete the copy.

Step 2: Set the Trigger

Set the trigger for Google Sheets. Click "When a row is updated".

Check the "Account information to integrate with Google Sheets".
You can freely edit the title, but do not change the trigger action, and click "Next".

Set the connection details.
You can choose the "Trigger interval" from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
*Please note that the shortest trigger interval varies depending on the plan.
Select "Spreadsheet ID" and "Sheet ID" from the suggestions that appear when you click the field, or quote from the URL of the relevant sheet.
Set the table range and column settings while referring to the relevant spreadsheet.
Once everything is set, click "Test".

Confirm that the data retrieved from the spreadsheet is displayed in the output, and if there are no issues, click "Save".

Step 3: Set the Action

Next, set the direct action. Click "Add user to group talk".

As before, freely edit the title and check the account information, proceed by clicking "Next" without changing the action.

Select the appropriate data for each item from the output.
Then click "Test" and confirm that the specified user has been added to the direct talk room, and click "Save".

Click "Turn on Trigger" to complete the preparation for flow operation.
Now, when a row is added to Google Sheets, a user will be automatically added to the direct group talk.

Examples of Other Automations Using Google Sheets

There are many other examples of automations using Google Sheets in Yoom, so here are a few introductions.

1. Add Webinar Registrants to Zoom When a Row is Added in Google Sheets

When a row is added in Google Sheets, webinar registrants in Zoom are automatically added based on that information.
This ensures that the data in the spreadsheet is reflected in Zoom in a timely manner, eliminating the need for manual registration. This system is useful for managing webinars with a large number of registrations.

2. Notify LINE WORKS when a row is added in Google Sheets

When a row is added in Google Sheets, a notification is automatically sent to LINE WORKS based on that information.
This allows updates in the spreadsheet to be quickly shared with the team, preventing any information from being overlooked. It facilitates smooth collaboration among team members and is expected to speed up operations.

3. Notify Google Spreadsheet Information via Gmail on a Specific Schedule

Information from Google Spreadsheet is automatically sent via Gmail on a specified date. This allows pre-registered information to be shared at the necessary timing. It can be utilized for meeting reminders or regular report notifications.

Summary

The integration of Google Sheets and direct has enabled improved efficiency and faster information sharing in our operations.
This app integration reduces manual tasks and facilitates smooth project progression.
As a result, it is expected to strengthen team collaboration, prevent human errors, and enhance project transparency.

Yoom's app integration can be easily implemented without the need for programming. Take this opportunity to experience the efficiency improvements through automation.
