How to integrate kickflow with Google Sheets to add information to Google Sheets when approved in kickflow

r.suzuki

In recent business scenes, the presence of applications has become indispensable.
Many companies are likely using apps to manage tasks and approval requests when advancing projects internally.
But don't you sometimes wish the apps could share information a bit more seamlessly?
This time, we will introduce a method to automatically add approval information to a sheet by integrating kickflow with Google Sheets.
By automating, we aim to significantly improve work efficiency by eliminating the hassle of manual data entry!!
This blog will explain in detail the specific setup methods and their benefits.
Please take a look for reference!

Benefits of Integrating kickflow with Google Sheets

Benefit 1: Improved Work Efficiency through Automated Data Entry

By integrating kickflow with Google Sheets, approval information can be automatically added to the sheet.
Manual data entry is time-consuming and prone to errors such as duplication or omissions, but automation can greatly improve work efficiency.
For example, if you need to manage multiple approval processes, checking and transcribing the status of each process every time is a very labor-intensive task.
Moreover, the time taken for data entry can vary greatly depending on the ability and workload of the staff.
However, with automation, accurate information can be automatically reflected in the data regardless of the situation.

Benefit 2: Real-Time Data Sharing and Visualization

By integrating apps, approval information is updated in real-time, allowing all stakeholders to share the latest information.
This is especially important for companies conducting remote work or operations across multiple locations, as everyone can check the latest information equally.
For example, with automatic updates, there is no delay in information updates, reducing the likelihood of members being stuck with outdated progress information.
Additionally, being able to visualize the current situation allows for quick responses and decision-making tailored to the situation.

Integrate kickflow and Google Sheets with Yoom

But don't you feel that app integration is a bit of a hurdle?
Typically, integrating two apps like kickflow and Google Sheets requires initial setup and system familiarity.
However, by using Yoom, you can easily integrate apps without any coding!
What are the benefits of Yoom that differ from traditional integrations?

Simple Setup

Yoom is designed to be intuitive, allowing easy setup without programming knowledge.
Therefore, even non-engineers can easily challenge app integration.

Flexible Customization

Yoom offers a variety of templates.
By copying a template, you don't have to create it from scratch, making it easy for beginners to create flows.
Additionally, flows can be flexibly customized to meet user needs.
With many apps available for integration, you can create the optimal app integration for your business flow!

How to Create a Workflow Integrating kickflow and Google Sheets

Step 1: Register/Login to Yoom and Register the App

First, access the official Yoom website and create an account.
You can start with a free plan.
If you already have an account, please log in.
Yoom Account Registration Page
※Please refer to this for basic Yoom operations.
Getting Started with Yoom

‍Once you are logged into your Yoom account, register the app you will use.
1) Click "Register My App" and select "Create New".
2) Select the app you want to register (in this case, kickflow and Google Sheets) and log in with the account you will use.

Once kickflow is registered, click "Create New" again to register Google Sheets.

3) Once registered, an icon will appear in My Apps.
Check if the icons for kickflow and Google Sheets are displayed.

Step 2: Select a Template

This time, we are creating a flow called [Add Information to Google Sheets When Approved in kickflow].
When approved in kickflow, information is automatically retrieved and aggregated in Google Sheets.
If you can manage it in one Google Sheet, anyone who wants to check the approval details or status can do so immediately, eliminating the need to ask someone else to check the status and wait.

Step 3: Setting up Integration between kickflow and Google Spreadsheet

0) Please prepare a spreadsheet in advance to accumulate data.
In this flow, information is automatically retrieved and aggregated into a Google Spreadsheet once approved in kickflow, so it is necessary to prepare a spreadsheet to compile the information beforehand.
Please prepare a spreadsheet that can store the necessary information.
The information that can be extracted through kickflow integration is as follows:
・Ticket ID
・Ticket Number
・Title
・Status
・Creation Date
・Update Date

・Application Date

・Close Date
・Completion Date
・Archive Date

・Applicant's User ID
・Applicant's Email Address

・Applicant's Name
・Applicant's Team ID
・Applicant's Team Name
・Workflow ID

・Workflow Name
・Form Input Items
・Attached File Name
・Attached File URL

1)
Copy the template and open it from My Projects.
Click on the icon of the template introduced earlier to make a copy.
By copying the template, you don't need to build it from scratch, making it easy to create a flow.

2) Click "Edit" in the upper right corner.
The title is filled in to make the flow content easy to understand.
Details can also be modified.
Please change it to make it easier to use.

3) Click "App Trigger: When approved in kickflow".

4) Select "Receive Webhook" as the trigger action and click "Next".

5) Copy the Webhook URL and configure it in the management screen of the target app.
Send a webhook event or execute a trigger event, click "Test", and if the test is successful, click "Save".

6)
Return to the flow and click the icon "Operate Database: Add Record".

7) Select "Add Record" as the execution action and fill in the "Database Integration" fields.
If the app is registered, you can select the Spreadsheet ID and tab name from the options.
Please select the spreadsheet you created earlier.
Specify the range of the target spreadsheet for the table range.
Once entered, click "Next".

8)
You can select the output information from the previously integrated kickflow from the options.
Embed while entering and click "Save".

9) This completes the flow of 【Adding information to Google Spreadsheet when approved in kickflow】.

Step 4: Testing and Verification

10) Finally, switch the trigger to "ON", activate the flow bot, and check if it operates correctly once.

This completes the flow!
We also have flow templates available below, so if you're interested, please feel free to copy them from here!

Summary

By integrating kickflow with Google Sheets, automation of approval information can be achieved, leading to a significant improvement in operational efficiency!
Automation also reduces the likelihood of duplication and omissions due to human processes, potentially enhancing the accuracy of information.

With Yoom, you can easily set up app integrations without any programming knowledge.
As introduced in this blog, even beginners can create flows by copying templates, making it very easy to try app integration!
In addition to integrating kickflow with Google Sheets, we encourage everyone to challenge themselves with app integrations that suit their business needs and promote efficiency in various operations!

I came across Yoom when I was searching for ways to improve work efficiency on a daily basis at a small and medium-sized enterprise in a region where human resources are limited. I was casually thinking that it would be nice if this were the case, and by introducing Yoom, we can make it so much more efficient! I'm moved. Even though I have no knowledge or experience with systems or programming, my work has changed drastically, so I'm writing that I hope I can share it with many people who feel the same way.

What is Yoom hyperautomation?
Conventional RPA can only automate simple repetitive tasks, and the setup process was very complicated.
With “hyperautomation,” which combines various technologies such as AI, API, RPA, and OCR, it is possible to automate many tasks that could not be realized until now more easily than before.
Don't Just Connect Apps—Automate Everything
Most tools simply connect one app to another, leaving the complex tasks to you. Yoom goes much further: From document creation and browser automation to OCR and generative AI, Yoom handles it all seamlessly in one platform.

Why settle for basic integrations? Streamline your entire workflow with Yoom’s powerful hyperautomation.
