Step 1: Register kintone, CloudSign, and Google Docs as My Apps
Let's register kintone, CloudSign, and Google Docs as My Apps connected to Yoom. Registering My Apps first will make the automation setup smoother.
First, please register kintone as My App. Check the Yoom Help Page and register My App.
Next, register CloudSign as My App. There is also a Help Page, so please set it up similarly.
Since Google Docs will be used for document issuance, register Google Docs as My App. Click "My Apps" → "New Connection" on the left side of the Yoom screen. Search for Google Docs from "Search by App Name" or find it from the app list.
When the following screen is displayed, please log in to Google Docs.
Once all My App registrations are complete, kintone, CloudSign, and Google Docs will be displayed.
Step 2: Open the Template
To set up automation, click "Try it" on the banner below.
Read the following screen display and click "OK".
When the following screen is displayed, check the "Title" and "Description". If changes are needed, modify the screen below. Since the setting is launched from the record detail page, click "Launch from Record Detail Page". *If the number of operations excluding triggers is 5 or more, the free plan cannot actually launch it. By using the trial system, the restrictions will be lifted for a certain period, so please use it as needed.
Step 3: Set Triggers and Actions
The following screen will be displayed, so check the setting method. To set a trigger with the Chrome extension, check the details from here. Since the Chrome extension is used, install it from here.
Scroll and check the following settings.
"Title" → Can be freely changed
"Account information linked with kintone" → Check for discrepancies
"Action when launched from the extension" → Launch from record detail page
When the following screen is displayed, check the setting method.
Scroll and set the "Sample URL for Launch Page". Once set, click "Test" → "Test Success" → "Save".
Next, set to retrieve records, so click "Retrieve Records". When the following screen is displayed, check the settings.
"Title" → Can be freely changed
"Account information linked with kintone" → Check for discrepancies
"Execute Action" → Retrieve Records
Scroll and set "Database Integration".
When the following screen is displayed, set the "Conditions for Retrieved Records". Use the output of "Launch from Record Detail Page" and set as follows. Click the arrow in the red frame to display the output. Once set, click "Test" → "Test Success" → "Save".
Next, set to retrieve rows from a subtable of a specific record, so click "Retrieve Rows from Subtable of Specific Record". When the following screen is displayed, check the settings.
"Title" → Can be freely changed
"Account information linked with kintone" → Check for discrepancies
"Execute Action" → Retrieve Rows from Subtable of Specific Record
Scroll and set "Database Integration".
When the following screen is displayed, click "Conditions for Target Record". Set as follows.
Scroll and set "Conditions for Rows of Subtable to Retrieve". Set as follows.
Next, set to issue a document with Google Docs, so click "Issue Document". When the following screen is displayed, check the settings.
"Title" → Can be freely changed
"Account information linked with Google Docs" → Check for discrepancies
Scroll and set "Template Document Integration".
When the following screen is displayed, check the setting method. For the template document setting method, check here.
The "String to be Replaced" set in the template document will be displayed, so set the "String After Replacement". Use the output of kintone's "Retrieve Records" and "Retrieve Rows from Subtable of Specific Record" to set.
For date settings, click "Date" and set the relevant item. Once set, click "Test" → "Test Success" → "Save".
Next, set up CloudSign, so click "Create Document". When the following screen is displayed, check the settings.
"Title" → Can be freely changed
"Account information linked with CloudSign" → Check for discrepancies
"Action" → Create Document
When the following screen is displayed, check the precautions. Check the flow of document sending from here.
Scroll and set the "Document Title". Using the output as follows, you can set the document title. If there are other setting items, set them. Once set, click "Test" → "Test Success" → "Save".
Next, set to attach a file to the document, so click "Attach File to Document". When the following screen is displayed, check the settings.
"Title" → Can be freely changed
"Account information linked with CloudSign" → Check for discrepancies
"Action" → Attach File to Document
When the following screen is displayed, check the precautions.
Scroll and use the output of "Create Document" to set the "Document ID". Set other items as well, and click "Test" → "Test Success" → "Save".
Next, set to add a recipient, so click "Add Recipient". When the following screen is displayed, check the settings.
"Title" → Can be freely changed
"Account information linked with CloudSign" → Check for discrepancies
"Action" → Add Recipient
When the following screen is displayed, use the output of "Create Document" to set the "Document ID".
Scroll and set the following required items. Use the output of "Retrieve Records". If there are other necessary items, set them. Once set, click "Test" → "Test Success" → "Save".
Next, set to send the document, so click "Send Document/Reminder". When the following screen is displayed, check the settings.

"Account information linked with CloudSign" → Check for discrepancies
"Action" → Send Document/Reminder
When the following screen is displayed, check the precautions.
Scroll and use the output of "Create Document" to set the "Document ID". Once set, click "Test" → "Test Success" → "Save".
Step 4: Verify the Automation between kintone and CloudSign
Finally, click "Turn ON Trigger" to complete the automation settings. Check if the flow bot starts correctly.
Other Examples of Automation Using kintone and CloudSign
1. This flow creates a document in CloudSign and automatically sends an email when the status is updated in kintone. This eliminates the need to constantly check if the status in kintone has been updated, reducing the burden on the person in charge.
2. This is a flow where the status of kintone is automatically updated once the document signing is completed with CloudSign. Since the status of kintone is automatically updated, there is no need for manual updates.
3. This is a flow where once a contract is concluded with CloudSign, the AI reads the content and automatically updates the status in kintone. By using AI to read the contents of the contract, the status can be updated accurately.
