How to Notify Slack When a Schedule is Registered in TimeRex

Automation is possible by retrieving the schedule registered in TimeRex via API and sending notifications through Slack's API.

Generally, programming knowledge is required to achieve this, but by using the no-code tool Yoom, it can be easily accomplished without programming knowledge.

The integration flow is broadly created through the following processes.

  • Register TimeRex and Slack as My Apps
  • Copy the template
  • Set the trigger in TimeRex that serves as the starting point of the flow and the subsequent Slack operation settings
  • Turn on the trigger button and verify the integration operation between TimeRex and Slack

If you are not using Yoom, please register for free from here.
If you are already using Yoom, please log in.

Step 1: Register TimeRex and Slack as My Apps

Please register TimeRex and Slack as My Apps to connect them to Yoom.
By completing the My Apps registration in advance, you can proceed with the automation settings smoothly.

First, let's register TimeRex as a My App.
Click "My Apps" → "New Connection" on the left side of the Yoom screen.
Find TimeRex from the list of apps or use the search function to search for it.

The following screen will be displayed, so set the "Account Name" and "Access Token".

Next, proceed to register Slack as a My App.
Similarly, search for Slack using the search function or find it from the list.
Clicking on the app name will take you to the Slack sign-in screen.
Enter your workspace URL and click "Continue".

You will be taken to the Slack access permission request screen from Yoom.
Click "Allow" to complete the integration.

Step 2: Copy the Template

To set up automation, click "Try it" on the banner below.

Read the following screen display and click "OK".

When the following screen is displayed, check the "Title" and "Description".
If you want to make changes, click on the relevant section to edit.

Step 3: Set the TimeRex trigger that initiates the flow and the subsequent Slack operation settings

The following screen will be displayed, so check the settings.

  • "Title" → Can be freely changed
  • "App" → TimeRex
  • "Account information linked with TimeRex" → Check for any discrepancies in the account
  • "Trigger Action" → When a webhook is registered

When the following screen is displayed, set the Webhook URL in the TimeRex settings screen.
Once the setup is complete, register a schedule in TimeRex and execute "Test" in Yoom. If the test is successful, click "Save" to complete.
If successful, click "Save" to complete.

Execute "Test" at the bottom of the screen.
If the test is successful, save the settings.
This completes the app trigger setup.

Next, press "If the event type is not schedule confirmation" to set the branching conditions.

The TimeRex webhook set in Step 2 will trigger not only for schedule registration but also for cancellations.
In this step, set the condition to not proceed with the flow except for schedule registration.
Since the "Branching Target OutputBranching Condition" is already set, there is no need to change anything, but please check if the settings match the screen below.

Benefits and Examples of Integrating TimeRex with Slack

Benefit 1: Visualization of Tasks and Efficient Team Collaboration

By setting up a system where notifications are sent to Slack every time a schedule is registered in TimeRex, the entire team's schedule is shared in real-time. This prevents overlapping or missing schedules and allows for quick adjustments. For example, in a sales team, when a meeting with a client is registered, other members can grasp the progress through Slack notifications. This system enables necessary support to be provided at the right time, improving work efficiency.

Benefit 2: Speeding Up Meeting Preparation and Improving Quality

When meetings or appointments are scheduled in TimeRex, the information is automatically shared through Slack notifications. This allows for quick preparation of necessary materials and agendas, reducing unnecessary exchanges. For instance, by automating notifications for weekly progress meetings, you can start preparing materials, ensuring smooth meeting proceedings on the day. This also prevents double booking of schedules and forgetting to share schedule information, potentially enhancing work efficiency.

Benefit 3: Enhancing Immediate Responsiveness

Without integrating the apps, you must manually register schedules in each app. However, by integrating the apps, you no longer need to register schedules multiple times. Utilizing Slack notifications ensures that important schedule registrations are communicated to relevant parties, potentially improving speed in situations requiring immediate response. For example, when an urgent meeting request from a client is registered in TimeRex, the responsible person receives a notification immediately and can make necessary preparations and adjustments on the spot. This is expected to enhance business reliability.

Conclusion

By integrating TimeRex with Slack, schedule management and information sharing are automated, significantly improving the overall team's work efficiency. Utilizing automated notification functions enables quick responses and high-quality preparation, potentially enhancing business reliability. Automation may facilitate smooth information sharing and strengthen teamwork. Take this opportunity to use the template and achieve operational efficiency.
