This flow is recommended for those who manage tasks in Trello and consolidate schedules in Google Calendar.
It saves you the trouble of adding events manually.
By utilizing this flow, you can manage task deadlines and other schedules in Google Calendar, making it possible to visualize your plans and improve work efficiency.
Let's get started by creating a flow that integrates Trello with Google Calendar!
We will use the no-code tool Yoom to proceed with the integration of Trello and Google Calendar.
If you don't have a Yoom account yet, you can create one using this registration form.
[What is Yoom]
This time, we will create a flow bot that "registers an event in Google Calendar when a Trello card is moved to a specific list"!
The creation process is broadly divided into the following steps.
Before setting up Flowbot, you need to link each app to Yoom.
Once logged into Yoom, select My Apps and click on Add.
In the app list, use the search box and click on Trello.
Set the account name, access token, and API key, then click Add.
Now you have registered Trello as a My App.
For detailed instructions on registering Trello as a My App, check here.
Next, register Google Calendar as a My App.
As before, click My Apps → Add.
Click on Google Calendar in the app list.
Click "Sign in with Google".
Select the account you want to link.
Click Continue.
Select Continue.
Now you have completed the registration of Google Calendar as a My App.
While you can create a Flowbot from scratch in Yoom, here we will introduce a procedure to create one using a template for easier setup.
Click the banner below.
Select "Try this template".
Click "OK".
Now you have a copy of the template.
The copied template is saved in My Projects on Yoom.
Once you're ready, proceed to set up the Flowbot.
Click on "When card information is updated (Webhook)" in the copied template.
The title is pre-entered but can be changed.
Check the account information linked with Trello, as it is associated with the account registered in My Apps.
Ensure the trigger action is set to "When card information is updated" and click Next.
Enter the username.
Select the board ID from the options.
After setting, run the test, and if it shows success, click Next.
Create a new card in Trello and run the test to obtain Trello information as retrieved value.
Refer to this for more on the retrieved value.
Once done, save it.
Next, click on "Command Operation".
※Branching is a feature available in plans above the Mini Plan. If you are on the Free Plan, the Flowbot you set up will result in an error, so please be careful. Paid plans offer a 2-week free trial during which you can use the branching feature.
The title "Command Operation" can be changed.
Set the operation of the branch target values as "When card information is updated", and the retrieved value as "List Name".
This indicates using the "List Name" retrieved in the trigger settings as a branching condition.
For the branch condition, select "Equals to" and set the list name to match the specified value (e.g., To Do by Tomorrow) to register it in Google Calendar.
With this setting, only items containing the word "in progress" in the "List Name" will be subject to branching and proceed to the next flow.
Once set, click "Save" to complete the branching setup.
Next, click on "Retrieve Card Information".
The title can be changed.
Check the account information linked with Trello.
Ensure the action is set to "Get Card Information" and click Next.
Set the board ID according to the annotation.
Select the card ID from the retrieved value.
After setting, run the test and save if Trello information is obtained.
Next, click on "Date and Time Format Conversion".
The title can be changed.
Select "Due Date" from the retrieved value of "Retrieve Card Information" as the target date & time.
Set the source date & time format and the target date & time format as shown in the attached image.
Once set, click Test.
Once the converted value is obtained, save it.
Finally, the last setup step!
Click "Create Event" to complete the setup.
The title can be changed.
Check the account information linked with Google Calendar.
Ensure the action is set to "Create Event" and click Next.
Set the calendar ID.
For the event title, select "Card Name" from the retrieved value of "Retrieve Card Information".
Set the start and end times for the event.
For the event end date, select the value obtained from "Date and Time Format Conversion" from the retrieved value.
Once set, click Test.
Once the event is registered in Google Calendar, save it.
After saving, turn on the trigger and check the operation.
The Flowbot setup is now complete.
This time, we introduced how to link data from Trello to Google Calendar, but it is also possible to link data from Google Calendar to Trello.
Please also use the template below.
This flow is recommended for those who manually add events registered in Google Calendar to Trello.
