Automatically add information to kintone by reading receipt images with OCR!
c.yamada
For accountants and sole proprietors, financial statements and tax returns can be a hassle every year. Wouldn't it be a great help if most of the tasks could be automated? With Yoom, you can take a picture of a receipt and upload it to a form, and use OCR to automatically extract text without programming.
In this article, we will introduce the benefits of automation using OCR and how to implement it without programming using a template that "reads receipt data received in a form, verifies the content, and adds it to the kintone database."
Three Benefits of Automating the Process of Reading and Converting Receipt Images to Text Using OCR
What advantages can be gained from the automated flow of "reading receipt data received in a form, verifying the content, and adding it to the kintone database" that we introduce this time? Let's consider.
Benefit 1: Streamlining Data Entry
OCR technology can accurately digitize receipt text. It reduces the hassle of manual entry and minimizes input errors.
Benefit 2: Simplifying Expense Management
Automation can simplify the previously complicated accounting management. It automatically stores data in the database, and significant improvements can be expected in aggregation tasks.
Benefit 3: Preventing Document Loss
Since documents can be managed digitally, the trouble of losing the original receipts is reduced. Human errors occur, but digital coverage allows you to focus on your work with peace of mind.
With Yoom, You Can Achieve This Without Programming
We introduced the benefits of digitizing expense claims. Implementing the above automation requires programming skills and knowledge. If you've never touched programming at all, the hurdle to getting started can be high. Even if you have resources in-house, do you have concerns about having to request every time?
Yoom is developing a service that allows you to implement AI-driven automation without code.
In the next section, we will introduce how to create a flow bot that "reads receipt data received in a form, verifies the content, and adds it to the kintone database" using Yoom's template.

Click this banner to copy it to "My Project" in Yoom's workspace.
This flow assumes that the expense applicant will apply using a form. Once each process is set up, use the "Receipt Registration Form" displayed on the screen to start the flow bot. No operation is required until the setup is complete. This flow bot only requires the kintone process to be completed, but this article will introduce all the processes in order.
Click "Edit" in the upper right to proceed with the settings for each process.
Step 2 Set Form Trigger "Receipt Registration Form"
Click the top process button.
(1/2) Select Linked Account and Action
Let's create a form for application right away. The following items are set by default. These can be customized.
Name
Address
Expense Type
Receipt Image
You can check the display by clicking the button in the upper right of the form edit screen. ▼Preview screen
→Next
(2/2) API Connection Settings for App Trigger
The items of the created form are reflected. Please enter each item in the test and upload the receipt image. Select the upload by clicking the "Browse" button.
→Save
Step 3 Read Text from Image/ODF "Read Receipt Image"
Click the second process from the top.
(1/2) Set Action
Title→Read Text from Image/PDF Action→Read Qualified Invoice (5 Tasks)
→Next
(2/2) Set Details
This is the process of reading text from images/PD using AI. How to obtain the file→Use the obtained value・Receipt Image→No operation required Additional items to extract→Inspection Date →Click Test →Success
The output is displayed. This content will be used in the subsequent settings.
→Save
Step 4 "Request Action from Person in Charge"
Click the third process of the flow bot!
(1/2) Describe Action Details
Set up a request for confirmation of the content read by OCR for the expense applicant. Title→Request Action from Person in Charge Person in Charge→Member who started the flow bot Details of the content to request action→Quote the text read by OCR. By default, this is the content.
Create an input form for the person in charge. You can set required fields.
→Next
(2/2) Set Sample Values for Input Form
Test the form you just created. Please enter the required fields.
→Save
Step 5 Operate Database "Transfer Read Receipt Content to kintone"
(1/2) Database Integration
Title→Transfer Read Receipt Content to kintone Database App→kintone Account Information for kintone Integration→Click "+Add Linked Account". A pop-up will appear with the edit screen required for integration. Enter each item and link with Yoom.
Execute Action→Add Record Database Information→Click the edit field to display candidate apps. This time, we will use the app "OCR Reading Result-test (0730)".
→Next
(2/2) Detailed Settings for Database Operation
Link the output content to the specified items in the kintone app.
Value of the record to be added→You can select items that can be quoted by clicking each edit field. Once all are selected, test it.
→Test
→Success
It was also reflected in kintone.
Turn the trigger switch at the top of the process to [ON]. Enter each item in the form, upload the receipt image, and click the start button! Please enter your own email address. The flow bot has started. It stopped at "Request Action from Person in Charge". When you check the email...
A confirmation request has arrived. When you open the URL, a confirmation form is displayed.
Fill in the required fields and click "Complete Action". The flow bot starts moving again, and the extracted content is stored in kintone.
More Convenient! Advanced Templates
When you submit invoice data through the form, AI automatically reads the desired information. After requesting confirmation of the read information, it is stored in Google Sheets and notified in Google Chat. This is a template for the flow. It's convenient because it automates manual tasks. Give it a try!
Summary
How was it? This time, we introduced a method to read receipts using OCR technology and store the extracted text data in kintone without the need for programming. For those who are busy with sales activities every day, application tasks tend to be postponed. I've seen situations where receipts and invoices pile up unnoticed, causing trouble for accounting staff. If you can upload images, you can work even while on the move, and it seems that such troublesome application tasks will be reduced. Accounting staff can also feel at ease.

I have zero programming knowledge, but I succeeded in reducing the time required to zero by automating report creation with Yoom, which used to take about 1 hour every day.
Conventional RPA can only automate simple repetitive tasks, and the setup process was very complicated. With “hyperautomation,” which combines various technologies such as AI, API, RPA, and OCR, it is possible to automate many tasks that could not be realized until now more easily than before.
Most tools simply connect one app to another, leaving the complex tasks to you. Yoom goes much further: From document creation and browser automation to OCR and generative AI, Yoom handles it all seamlessly in one platform.
Why settle for basic integrations? Streamline your entire workflow with Yoom’s powerful hyperautomation.
