Before You Begin
1. Please create a bot in the LINE WORKS Developer Console and obtain the bot ID.
2. Create a talk room (with bot participation) that will be the notification destination for LINE WORKS. ※ After registering and linking Yoom, you can create it with the "Create a talk room including the bot" action.
※ If the app integration is complete, proceed directly to Step 2.
Step 1: Integrate Dropbox and LINE WORKS with My Apps
1. After logging into Yoom, select "My Apps" from the left menu and click "+ New Connection" on the right side of the screen.
2. From the list of new connections in My Apps, select Dropbox and LINE WORKS respectively and integrate the apps. ※ For registering LINE WORKS (API2.0) in My Apps, please refer to here. If registration does not go smoothly, please check the checkpoints.
Step 2: Create a form to register invoice information and use it as a trigger for activation
1. Open the copied template. * You can change the title to anything you like by modifying the red box area in the image below.
2. Click on "Form Trigger Invoice Information Registration Form" from the Flowbot.
3. Create the form. Modify the question items to match the information needed for invoice management, such as verifying invoice contents. * The default items are: Company Name, Payment Amount, Invoice File, Expense Date, and Payment Due Date. * The image below shows part of the creation screen.
4. Once the form content is ready, click "Next".
5. Confirm the form display and perform detailed settings. After checking the display content of the response page and completion page, and setting sample values for each item when referencing the output, click "Save". * The image below is an example of input.
Step 3: Set an action to verify the content of files stored in Dropbox
* This setting is for the person in charge to verify if there are any issues with the uploaded files.
1. Click on "Request Approval Verify Invoice Content" from the Flowbot.
2. Enter and select each item on the approval detail settings screen. * The image below is an example of input and selection. * Use the output information obtained in Step 2 for input in the "Approval Content Details" field.
3. Click "Save".
Step 4: Set an action to upload invoice files to Dropbox
1. Click on "Integrate with Apps Store Invoice Files in Dropbox" from the Flowbot.
2. Set "Select Integration Account and Action". Change the title as needed and click "Next".
3. Set up the API connection. Refer to the notes at the bottom of each field for input and selection. * You can refer to the output information for file names and attachment methods. * The image below is an example of input.
4. Conduct a test, and if successful, click "Save".
Step 5: Set an action to notify the upload of files to LINE WORKS
1. Click on "Integrate with Apps Notify LINE WORKS" from the Flowbot.
2. Set "Select Integration Account and Action". Change the title as needed and click "Next".
3. Set up the API connection. Enter the Bot ID and Talk Room ID by referring to the notes and annotations below the input fields. Message: Use the output information obtained so far for input.
4. Conduct a test, and if successful, click "Save".
Finally, switch the trigger of the saved flow to "ON" to activate it.
This completes the flow of notifying LINE WORKS when invoice files are stored in Dropbox.
