Let's Create a Flow to Integrate Gmail and OneDrive

Let's get started by creating a flow that integrates Gmail and OneDrive!

This time, we will use Yoom to proceed with the integration of Gmail and OneDrive without any coding. If you do not have a Yoom account yet, please create one using the registration form here.

[What is Yoom]

This time, we will create a flow to "store files received in Gmail to OneDrive".
The creation process is broadly divided as follows:

  • Integrate Gmail and OneDrive with My Apps
  • Copy the template
  • Set up Gmail triggers and OneDrive actions
  • Turn on the trigger and check the operation

Step 1: Connect Gmail and OneDrive to My Apps

First, connect Gmail and OneDrive to My Apps.
By registering My Apps in advance and linking it with Yoom, you can smoothly set up the following flow.

After logging into Yoom, click on "My Apps" in the left menu and then click "+ Add" displayed on the right.

[Register Gmail to My Apps]

1. Search for Gmail in the search box and select it from the list of apps.

2. On the next screen, click "Sign in with Google".

3. Enter the Gmail email address and password you want to link with Yoom, and click "Next".

4. In the "Select the information Yoom can access" section, check "Select all" and click "Continue".

This completes the registration of Gmail to My Apps.

[Register OneDrive to My Apps]

1. Similarly, search for OneDrive in the search box and select it from the list of app candidates.

2. You will be prompted to sign in with your Microsoft account, so enter the email address of the account you want to link with Yoom.

3. Next, enter the account password.

Once signed in, the connection with Yoom will be automatically completed. This completes the registration of OneDrive to My Apps.

* "Microsoft 365 (formerly Office 365)" has personal and business plans (Microsoft 365 Business). If you do not have a business plan, authentication with Yoom may not work properly, so please be careful.

Step 2: Copy the Template

Once My Apps connection is complete, let's set up the flow bot immediately.

Click "Try it" on the banner below to copy the template.

When clicked, the template will automatically be copied to your Yoom management screen. The next screen will appear, so please press "OK".

Step 3: Setting Up Gmail Trigger

(1) First, set up a trigger to automatically start the Flowbot.
Click on "When an email with a specific label is received" at the top of the template.

(2) In "Account information to link with Gmail", select the Gmail account you want to use for the flow operation and click "Next".

(3) Select the trigger activation interval from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
It is generally recommended to set the shortest time.
※ The shortest activation interval varies depending on the plan, so please be careful.

(4) Set the label you want to receive in the "Label" field.
Clicking the input field will display candidates from the linked account. Select the label you want to use for the flow operation from the candidates.

※ In Gmail, received emails can be automatically sorted into specified labels using the filter function. For more details, refer to the official site and make sure to label when creating filters!

(5) Send a test email with an attachment to the Gmail address that is the target of the flow activation.
After sending, click "Test" and confirm that the content and file of the sent email are extracted in the "Output". After confirmation, click "Save" to complete the setup.

※ About Output
Output refers to the values obtained when executing "Test" during trigger or operation settings.
The obtained output can be used as a value in subsequent operation settings, and it will be a fluctuating value each time the Flowbot is activated. For more details, please refer to here.

Step 4: Setting Up OneDrive Action

(1) Next, set up to automatically store files in OneDrive.
Click on "Upload File" in the template.

(2) In "Account information to link with OneDrive", select the OneDrive account where you want to save the file and click "Next".

(3) Enter the drive ID where the file will be stored in "Drive ID".
Clicking the input field will display a list of drive IDs from the linked account. By selecting the drive name for operation, the drive ID will be automatically entered.

(4) Set the folder name in "Destination Folder Name" to search for candidates for the "Destination Folder Item ID" to be set next. ※ It is okay if not set.

(5) Set the "Destination Folder Item ID".
A list of folders within the specified drive will be displayed in "Candidates", so select the folder for operation.
If "Destination Folder Name" is set, it will be narrowed down to folders containing the keyword set in "Destination Folder Name" and displayed as candidates. You can also enter keywords in the blue-framed search window to search.

(6) Set the file name when storing in "File Name".
You can automatically quote the attachment file name at the time of email reception from "Attachment File 1" of "When receiving an email with a specific label" in "Output".
※ If there are multiple attachments, select the corresponding attachment file such as "Attachment File 2" or "Attachment File 3".

(7) Select "Use Output" for "File Attachment Method" and select "Attachment File 1" for "File".
※ If there are multiple attachments, select the corresponding attachment file such as "Attachment File 2" or "Attachment File 3".

(8) Click "Test" and if the test is successful, the storage information of the file will be extracted in "Output". Make sure the file is correctly stored in OneDrive.

After confirmation, click "Save" to complete the setup!

Step 6: Turn On the Trigger and Check Operation

With this, all settings are complete.
After completing the setup, a popup like the one below will be displayed, so Turn on the trigger. Check to see if the flow is operating normally!
