[Easy Setup] How to Automatically Link Google Spreadsheet Data to Slack

t.aizawa

"Huh, what was on today's schedule again?"

Have you gotten into the habit of opening Google Sheets every morning to check if someone has added a row without you noticing? When managing information as a team, it's easy to miss out on details. These small daily "chores" can accumulate and lead to significant time loss. Such issues can be resolved by integrating Google Sheets with Slack. For example, you can set up notifications in Slack every morning for data corresponding to "today" in Google Sheets, or automatically share information with the team whenever a new row is added.

In this article, we introduce what you can do by integrating Google Sheets and Slack! If you're interested in any integration flow, you can try it out immediately by clicking the "Try it" button. Why not automate those tedious checks?

For those who want to try it quickly

By using Yoom, you can easily integrate Google Sheets and Slack without any coding. Yoom provides templates for integrating Google Sheets and Slack, so you can achieve integration immediately just by signing up, even without API knowledge.

What You Can Do by Integrating Google Sheets and Slack

By integrating Google Sheets with Slack's API, you can automatically share data from Google Sheets to Slack!
For example, you can automate data sharing like the following without any manual intervention.

Notify Slack with records from Google Sheets that match today's date every day

This flow is perfect for those who manage schedules using Google Sheets!
By integrating with Slack, you can grasp the day's information recorded in Google Sheets without opening it.

Notify Slack When a Row is Added in Google Sheets

If your team uses Google Sheets, isn't it a hassle to constantly check if information has been added?
By using this flow, you'll automatically receive a notification in Slack whenever a row is added to Google Sheets. It will also help prevent any oversights in checking Google Sheets!

Let's Create a Google Sheets and Slack Integration Flow

Now, let's create a flow that integrates Google Sheets and Slack!
This time, we will use Yoom to proceed with the integration of Google Sheets and Slack without any coding. If you don't have a Yoom account yet, please create one using the registration form here.

[What is Yoom]

This time, we will create a flow that retrieves records from Google Sheets that match today's date and sends a notification to Slack every day!
The creation process is broadly divided into the following steps.

  • Integrate Google Sheets and Slack with My Apps
  • Copy the template
  • Set up a schedule trigger
  • Integrate with Google Sheets and retrieve records
  • Integrate with Slack and send a message to the channel
  • Set the trigger to ON and prepare the flow for operation

Step 1: Connect Google Sheets and Slack to My Apps

(1) After logging into Yoom, select "My Apps" from the left column and click "+ Add".
From the app list in My Apps, click on Google Sheets.

(2) From the Google Sheets login screen, click "Sign in with Google".

(3) Select your account.

(4) Click "Continue".

(5) Click "Continue".

(6) Next, connect Slack. Similarly, click Slack from the app list in Yoom.
A screen to sign in to your workspace will appear, so enter your workspace's Slack URL and click "Continue".
For detailed instructions on registering My Apps in Slack, please refer to the following site.

How to Register My Apps in Slack

Once the connection is complete, Google Sheets and Slack will be registered in My Apps in Yoom.

This completes the registration of My Apps.
Next, let's set up triggers using templates!

Step 2: Copy the Template

We will use the template introduced earlier.
Click "Try it" on the banner below to copy it.
Once copied, the template will be copied to your Yoom management screen as shown below, so press OK to proceed with the setup.

Step 3: Setting the Schedule Trigger

(1) Let's specify the date and time when the flow will be triggered using Yoom's schedule trigger!
Click on "When the specified schedule is reached" in the schedule trigger.

(2) Set the schedule from the "Specify Days of the Week" screen.
This time, we checked the days of the week for notification and set the time to 9 AM.

In addition to specifying days of the week, you can freely set the schedule using specify dates or Advanced (Cron)!

  • Specify Dates
  • Advansed (Cron)

With Cron settings, you can finely adjust the execution frequency!
In the image, it is set to execute at 5 PM.
For detailed Cron settings, please refer to the site below.

How to Set Cron Settings

Once the schedule trigger is set, click "Save" at the bottom.

Step 4: Integrate with Google Sheets and Retrieve Records

(1) Next, integrate with Google Sheets to retrieve multiple records.
Click on "Operate Database".

(2) From the "Database Integration" screen, check that there are no errors in the account information for integrating with Google Sheets, and keep the action as "Retrieve Multiple Records (up to 300)".

Scroll down and enter Spreadsheet ID, Worksheet tab name, and  table range.

  • Spreadsheet ID: Select from options
  • Worksheet Tab Name: Select from options
  • Table Range: Enter directly

Once the input is complete, click "Next".

(3) From the "Advanced Database Settings" screen, set the conditions for the records you want to retrieve.
Select "Date" and "Equal" from the dropdown, and enter one of the today's items as shown in the image below to automatically specify the current date.
Once the input is complete, try "Testing"!

If the information from Google Sheets is reflected in "Retrieved Values", the test is successful.
If you're wondering "What are Retrieved Values?", please refer to the site below!

About Retrieved Values

Click "Save" and proceed to the next step!

Step 5: Integrate with Slack and Send a Message to the Channel

(1) Next, integrate with Slack and send a message to the channel.
Click on "Send Message to Channel".

(2) From the "Select Linked Account and Action" screen in Slack, check that there are no errors in the account information for integrating with Slack, keep the action as "Send Message to Channel", and click "Next".

(3) From the "API Connection Settings" screen, check the red-framed notes and first install the Yoom app in the Slack channel!
For instructions on how to install the Yoom app, please check the site below.

How to Install the Yoom App in a Slack Channel

Once installed, select the destination channel ID from the options.

Scroll down and use the values you just retrieved to input the message.
By using "Retrieved Value" in the text, it will automatically update to the current day's content without needing to change it each time!
Once the input is complete, click "Test" at the bottom, and if no errors occur, click "Save".

Step 6: Set the Trigger to ON and Complete the Flow Setup

Well done! All settings are now complete.
Once the settings are complete, a menu like the one below will be displayed, so turn the trigger ON.
Try activating the flow bot and check if the contents of the Google Sheet are notified in Slack!

Other Automation Examples Using Google Sheets and Slack API

By utilizing the Google Sheets and Slack API, various automations can be achieved.

Automation Examples Using Google Sheets

You can automatically create folders in Google Drive or register records in Salesforce when a row is added. By integrating with Notion, Stripe, Gmail, etc., you can prevent duplicate information management and expect to speed up operations.

Examples of Automation Using Slack

It is possible to automatically send notifications to Slack when an event is created in Google Calendar or a file is uploaded to OneDrive. Additionally, after a Zoom meeting ends, you can transcribe and summarize the meeting to share it, or automatically share information with the team triggered by Zendesk ticket status or Google Form responses.

In Conclusion

How was it? By integrating Google Sheets with Slack, you can address challenges such as "not wanting to miss updates on Google Sheets," "wanting to share the latest information with the entire team immediately," and "wanting to reduce manual verification tasks." Automating notifications and data reflection can prevent communication errors and facilitate smoother team communication.
