Integrate Outlook with Gmail so that when an email arrives in Outlook, the email body is sent to Gmail.

In companies, there may be a need to use multiple email accounts. Checking the large volume of emails that arrive here and there instantly is a simple task, but surprisingly challenging... While the time to check each one is short, when it becomes a daily routine, the total time adds up significantly.
For those of you who are wondering if there's a way to consolidate emails, this time we will introduce a dream-like method of automatically forwarding emails by linking Outlook and Gmail, "When an email arrives in Outlook, send the email body to Gmail."

By checking only one email, you can complete your tasks without having to check both Outlook and Gmail, which is expected to save a significant amount of time. You will also no longer need to switch between cumbersome apps!

What becomes possible & benefits of linking Outlook and Gmail

First, Outlook has the advantage of automatically managing emails and being easy to customize. It has a plethora of features that cater to your needs, such as automatically registering meeting invitations to your schedule when sent.

On the other hand, Gmail is attractive for its simplicity and intuitive operation. Since it is also linked with Google Drive and Google Docs, if you use it for business, its convenience is outstanding!
It also has a robust security system that automatically encrypts emails, so you can send important emails with peace of mind.

What you can do when linked

1. Automatic email forwarding
Even if the email accounts are different, you can check both emails with one tool.
Just eliminating the hassle of switching between different tools saves time, making it one of the flows you would be happy to automate!

2. Email history storage
Linking Outlook and Gmail makes it easy to back up emails.
Even if the log of one email tool is lost, you can rest assured if the email log remains in the other email through automatic forwarding.
You can also choose to forward only emails with specific content, ensuring you don't miss important communications!

3. Centralized schedule management
If you consolidate emails to one side through automatic email forwarding, it becomes easier to organize meeting schedules in Google Calendar or Outlook Calendar.
Additionally, it is possible to automate the flow of notifying Gmail when an event is registered in the calendar via Outlook!

How to link Outlook and Gmail without coding

Now, let's create a flow bot that "sends the email body to Gmail when an email arrives in Outlook."
We will use the domestic no-code tool Yoom, so even those without programming knowledge can easily automate the flow!

Register for Yoom here. You can register easily in 30 seconds!

Official documents about Yoom are here. Please take a look!

This time, instead of creating a flow bot from scratch, we will use a template with a pre-arranged flow. Yoom has various templates, so you can create your desired flow bot without coding immediately!

Once you have completed the registration for Yoom, please click the banner below to proceed.

Next, let's integrate Yoom with each app.
This is called "My App Integration". Integrating My Apps with Outlook and Gmail is very easy!

My App Settings

Click on the template banner, and you'll find a "Try this template" button at the bottom of the screen. Click it.
This will take you to a page called "My Projects", where you can select "My Apps" from the menu on the left side of the screen!

     ↓

Click on Create New at the top right! Enter "Gmail" in the search box, and the Gmail icon will appear, so click on it.

On the Select Account page, click on the Google account of the Gmail address you want to integrate with Yoom!
Next, you'll be taken to the Log in to Yoom page, so click Next.
Finally, if a page appears saying Yoom is requesting additional access to your Google account, just click Continue!

The integration of Gmail with Yoom is complete, so let's proceed to integrate Outlook with Yoom.
This is even easier.

The My App integration for Outlook is completed instantly if you are logged into Microsoft 365, so make sure to log into Microsoft 365 in advance.

     ↓

Just like with Gmail, search for "Outlook" from My Apps.
The Outlook icon will appear, so click on it. The screen will switch... or rather, the integration will be completed in a few seconds. It's really fast!

With these two apps integrated with Yoom, let's move on to creating a Flowbot!

Outlook Trigger Settings

Click on "My Projects" on the left side of the screen and select "[Copy] When an email arrives in Outlook, send the email body to Gmail". Then, click on the edit button at the top right.

     ↓

Click on the Outlook icon labeled "When an email is received". Since the necessary fields are pre-filled due to the use of a template, simply click Next!

     ↓

Specify the ID of the email folder. Only emails arriving in the folder selected here can be forwarded to Gmail.

Click inside the box to display a list of folders, and simply select one. Thanks to the integration with My Apps, setting this up is incredibly easy. Isn't it amazing!

     ↓

After selecting the email folder ID, press the test button just below. If the blue "Success" is displayed, press save and proceed to the next step.

Gmail Settings

Finally, let's set up Gmail. Click on the Gmail icon labeled "Send Email". You will be taken to the email settings page, but since you are creating a flowbot using a template, there is no need for additional settings.

If you want to add any content, place the cursor inside the body box and click. Then, as shown above, click on the Outlook icon labeled "When an email is received" and select the content you want to add to the body.

You can add email information such as importance and attachments, so feel free to customize!

     ↓

Once the email settings are complete, proceed to the test page. If there are no issues with the displayed content, press the test button just below. If the blue "Success" is displayed, press save to finish!

This completes the creation of the flowbot to integrate Outlook and Gmail. Well done!

Outlook and Gmail Integration Flow [Advanced]

This time, I have automated the flow of "When an email arrives in Outlook, send the email body to Gmail." This eliminates the need to switch between different apps and makes email management easier!
Yoom also offers flow bot templates for integrating Outlook and Gmail with other apps.

For example, how about automating the flow of "When an interview appointment is made in Gmail, add the information to a Google Spreadsheet and schedule it in Google Calendar"?

If you want to manage your schedule using Outlook, there is even a flow bot that "automatically sends an email to Outlook at a specified time"!

If you look for them, there should be many small flows that can be automated and flows that clearly seem to lead to time savings.
While thinking about whether there are any flows in your daily tasks that could be automated, please take a look at our template gallery!

After working as a general store manager, I started working from home as an SEO writer. Later, an outsourcing agreement was signed with a marketing startup for about 5 years. Surrounded by students at the University of Tokyo, I held a computer and spent my days studying various business terms and how to use SaaS tools. When I was a general store manager, time was taken over and over again by office work such as sales and inventory management, human resource management, and ordering, etc., and I was unable to serve customers and often missed sales times. Even when outsourcing, there are many detailed tasks such as input, etc., and “can't such monotonous tasks be automated?” I thought so, and I really sympathize with Yoom's vision!
