Benefits of Integrating Garoon and kintone

Let's quickly introduce the benefits of integrating Garoon and kintone!

First, you can achieve centralized data management.
By managing data that is handled across multiple platforms in one place, you can prevent information duplication and discrepancies, allowing you to make decisions based on accurate and up-to-date data.

You no longer need to switch between the two apps to update data, which prevents double data entry due to human error and improves operational efficiency.

Furthermore, it enables smooth communication among team members.
Integration allows for real-time information sharing, making it easier to grasp the progress of projects.

For example, you can use Garoon's bulletin board and messaging features to discuss projects or tasks managed in kintone.
This makes information sharing easier, allowing everyone to collaborate towards the same goal.

Additionally, automation of business processes is possible!

Business processes that were previously done manually can be automated, improving operational efficiency and reducing human errors.
For example, you can set up a flow to automatically send notifications in Garoon when new data is added to kintone.

Examples of Business Automation Possible with Garoon and kintone Integration

So, what kind of tasks can actually be automated?

First, automatic task notifications.
You can set up automatic notifications to be sent to kintone when tasks created in Garoon are updated.
This allows the entire team to be aware of the latest task status, preventing any oversights in work.

For example, when a task created in Garoon is updated, an automatic notification is sent to kintone, preventing task omissions or delays, and making it easier to manage the team's overall progress.

Additionally, automatic data synchronization is possible.
Data entered in Garoon can be automatically synchronized with kintone's database, enabling centralized information management.

For example, if you set it up so that Garoon's schedule information is automatically reflected in kintone's database, you can check both the company-wide schedule and each department's schedule together.
Centralized data management prevents oversight and schedule conflicts.

Moreover, automation of progress reporting is also possible.

You can automatically report the progress of projects to kintone on a regular basis.
This eliminates the need for manual reporting, preventing any reporting omissions.
For example, you won't forget to report this week's progress, allowing for consistent confirmation work across the team.

How to Create an Integration Flow between Garoon and kintone

Now, let's actually set up the integration between Garoon and kintone!
This time, we will use Yoom for integration.

Yoom is a visually intuitive tool, so you can easily set up integrations without any specialized knowledge.
If you don't have a Yoom account, please obtain one from the Yoom Account Issuance Page.
You can start right away!

For basic operations of Yoom, please refer to Getting Started with Yoom.

Once you can log in to your Yoom account,
1. Click "Register My App" and select "Create New".

2. Select the app you want to register (this time Garoon and kintone) and log in with the account you will use.
Once Garoon is registered, click "Create New" again to register kintone.

3. Once registered, an icon will appear in My Apps.
Check if the icons for Garoon and kintone are registered.

Now, let's set up the integration for the two apps!

Create a flow where information is added to kintone when a schedule is registered in Garoon.

1. Click "Create New" from "My Projects" and select "Create from Scratch".

2. Enter a clear title and flow content, select "When a specific app event occurs", and choose Garoon.

3. Select "If a schedule is registered" for the trigger action and click "Next".

4. Select the trigger activation interval.

The "●●●●●●●" part in the Garoon URL "https://●●●●●●●.cybozu.com/" is the subdomain.

Click "Test", and if the test is successful, click "Save".

5. Click the "+" on the saved flow in Garoon integration, select "Operate the database" from the operation type selection, and click kintone.

6. Select "Add a record" for the execution action, enter the app ID, and click "Next".

If the app is registered, you can select the app ID from the suggestions.

7. You can use the output information obtained from the previously linked Garoon for the values of the record to be added, so select and enter from the output.

Click "Test", and if the test is successful, click "Save".

This completes the flow of [When a schedule is registered in Garoon, add that information to kintone].

10. Finally, switch the trigger to "ON" to activate it.

Advanced Integration Flow of Garoon and kintone

Next, we will introduce a slightly different flow.

First, this is a flow where information in kintone, when updated or modified, is registered or modified in Garoon's schedule. This allows schedule changes in kintone to be reflected in Garoon, avoiding time discrepancies and overlaps.

The procedure for creating a template does not change significantly, but this time, the procedure is to set kintone first and then set Garoon.

Please refer to the following template.

The other is a flow where a record is stored in kintone once a workflow is approved in Garoon.

This allows you to automate the process, reducing the need to manually check approval statuses and share information.
For example, if you have submitted an approval request to your boss in Garoon, you can save the hassle of repeatedly checking Garoon because you want to act immediately once the request is approved.

Please make use of it.

Summary

By integrating Garoon and kintone, business processes have been significantly streamlined!

Centralizing data, automating task notifications, and automating progress reports not only enhance the overall productivity of the team but also prevent human errors such as forgetting to report or duplicate entries.

With Yoom, integration can be done easily without any code! It's visually intuitive, so even beginners can quickly manage efficient business operations!

Yoom supports many other apps besides the ones introduced this time, so be sure to utilize it for various business tasks!

I came across Yoom when I was searching for ways to improve work efficiency on a daily basis at a small and medium-sized enterprise in a region where human resources are limited. I was casually thinking that it would be nice if this were the case, and by introducing Yoom, we can make it so much more efficient! I'm moved. Even though I have no knowledge or experience with systems or programming, my work has changed drastically, so I'm writing that I hope I can share it with many people who feel the same way.

What is Yoom hyperautomation?
Conventional RPA can only automate simple repetitive tasks, and the setup process was very complicated.
With “hyperautomation,” which combines various technologies such as AI, API, RPA, and OCR, it is possible to automate many tasks that could not be realized until now more easily than before.
Don't Just Connect Apps—Automate Everything
Most tools simply connect one app to another, leaving the complex tasks to you. Yoom goes much further: From document creation and browser automation to OCR and generative AI, Yoom handles it all seamlessly in one platform.

Why settle for basic integrations? Streamline your entire workflow with Yoom’s powerful hyperautomation.
