The automation settings will be configured in the following flow.
There are six steps, but don't worry, each setting is simple.
If you are not using Yoom, please register for free from here. If you are already using Yoom, please log in.
How to connect kickflow and CloudSign with Yoom
Now, let's register my apps to link kickflow and CloudSign with Yoom. Once you have registered my apps, you can easily set up automation.
First, let's start with registering my apps for kickflow. Click "My Apps" → "New Connection" on the left side of the screen. When the list of apps is displayed, look for kickflow or search from "Search by App Name".
Once you move to the following screen, proceed with the settings.
"Account Name" → Set a name of your choice, e.g., Administrator Account
"Access Token" → Log in to kickflow, select "Access Token" from the person icon at the top right of the screen, and set the issued access token
* Please note that "Service Account" issued from "Management Center" cannot be used.
Next, let's register my apps for Google Docs, which is necessary for document creation. Select Google Docs as before. You will move to the following screen, so please log in.
Next, we will register my apps for CloudSign, but please refer to the help page on Yoom for instructions.
Once all registrations are complete, check your my apps section, and if they are displayed, you are done.
How to create documents and send them via CloudSign once approved in kickflow
To set up automation, click "Try it" on the banner below.
You will transition to the following screen, so let's check the "Title" and "Description". If you want to make changes, you can do so from the screen below. First, we will start with the kickflow settings, so please click "When Webhook is received".
Once you transition to the following screen, let's check the settings.
"App Trigger Title" → Set as desired
"Account Information to Link with kickflow" → Check the account
"Trigger Action" → When Webhook is received
Once you transition to the following screen, click the red frame to copy the Webhook URL. Move to kickflow and proceed to "Management Center > External Integration > Webhook > Create New", and set the values as follows.
"Name" → Any name, e.g., for Yoom integration
"Request URL" → Yoom's Webhook URL
"Secret" → Leave blank
"Target for Sending" → Select any item
"Event to Send" → Select any event ※ For details of each event, click here
Send the Webhook event or execute the trigger event, and click "Test" → "Test Successful" → "Save".
Next, we will set up document creation in Google Docs, so click "Create Document". Once you transition to the following screen, let's check the settings.
"Title" → Set as desired
"Account Information to Link with Google Docs" → Check the account
Template Document Integration
"Document File ID" → The ● part in the URL "/d/●●●●"
Issued Document
"Google Drive Folder ID for Storage" → The ● part in the URL "/folders/●●●●"
"Output File Name" → Set as desired
The following screen will be displayed, but first, prepare the template document for the contract. Please create the template document according to the setup method here.
The strings enclosed in {} in the template document will be automatically retrieved as "strings to be replaced". For each target, enter the "string after replacement". ※ Select from the output included in the kickflow items. Insert the string to be replaced from the values obtained by the kickflow trigger like this {{〇〇}}. For items set as a list, set the string after replacement in list format (comma-separated). If you update the content of the document, please press the "Re-acquire Replacement Conditions" button.
Click "Test" → "Test Successful" → "Save".
Next, we will set up document creation in CloudSign, so please click "Register Document". For the entire flow of document sending in CloudSign, it is smooth to watch the video here first. Check the following settings.
"Title" → Set as desired
"Account Information to Link with CloudSign" → Check the account
"Action" → Create Document
When the following screen is displayed, set the "Document Title" as desired. If there are other necessary items, please set them. Click "Test" → "Test Successful" → "Save".
We will set up adding a recipient in CloudSign, so please click "Add Recipient". When the following screen is displayed, let's check the settings.
"Title" → Set as desired
"Account Information to Link with CloudSign" → Check the account
"Action" → Add Recipient
Once you transition to the following screen, please set it up.
"Document ID" → {{Document ID}}
"Email Address" → Specify the email address of the recipient's contact person
"Recipient's Name" → Specify the recipient's name
If there are other necessary items, please set them. Click "Test" → "Test Successful" → "Save".
We will set up attaching a file to the document in CloudSign, so please click "Attach File to Document". Once you transition to the following screen, let's check the settings.
"Title" → Set as desired
"Account Information to Link with CloudSign" → Check the account
"Action" → Attach File to Document
Once you transition to the following screen, please check if the "Document ID" is {{Document ID}}. If there are other necessary items, please register them. ※ If you are attaching multiple PDFs, please set this action multiple times. Click "Test" → "Test Successful" → "Save".
We will set up sending the document, so please click "Send Document". Please check the following settings.
"Title" → Set as desired
"Account Information to Link with CloudSign" → Check the account
"Action" → Send/Remind Document
Once you transition to the following screen, please check if the "Document ID" is {{Document ID}}. Click "Test" → "Test Successful" → "Save".
Finally, by turning the app trigger "ON", the setup is complete.
