■Overview
Do you manage documents such as application forms and contracts in Box, but still manually enter the information into your customer management system? This manual process is not only time-consuming but can also lead to human errors such as data entry mistakes. With this workflow, whenever a file is uploaded to Box, Yoom's OCR feature automatically reads its contents and creates a new customer in Paddle. This automates the entire process and streamlines your operations.
■Who should use this template
- Anyone who uses Box and Paddle and manually registers customer information
- Anyone who wants to automate the process of transferring information from documents such as application forms and contracts to a customer management system
- Anyone looking to improve operational efficiency by automating data entry with OCR
■Benefits of using this template
- From storing a file in Box to reading it with OCR and registering the customer in Paddle, the entire process is automated, reducing the time spent on manual data entry.
- By eliminating manual data entry, this workflow helps prevent human errors such as transcription mistakes and missed registrations, improving data accuracy.
■Workflow steps
- First, connect Box and Paddle to Yoom.
- Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
- Then, set the Box operation to “Download a file” to retrieve the file detected by the trigger.
- Next, set the OCR operation to “Extract text from an image or PDF” to extract text information from the downloaded file.
- Finally, set the Paddle operation to “Create New Customer,” then map the information read by OCR to create the customer record.
※“Trigger”: An action that starts the workflow. “Operation”: An action that processes data within the workflow after the trigger runs.
■Customizing this workflow
- In the Box trigger settings, specify the path of the folder you want to monitor.
- For the OCR operation, you can customize which parts of the document to extract text from and choose the fields to extract.
- When creating customer information in Paddle, you can freely map the values obtained through OCR to fields such as name and email address.
■Notes
- Connect both Box and Paddle to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Please note that the shortest available trigger interval varies by plan.
- AI operations for OCR and audio transcription are available only on the Team and Success plans. On the Free and Mini plans, operations in configured workflows that use these features will result in an error.
- Paid plans such as the Team and Success plans include a two-week free trial. During the free trial, you can use apps and AI features (operations) that are otherwise subject to plan restrictions.
- Please note that OCR may not be able to read data containing more than 6,500 characters or text that is too small.
- The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file size limits supported by triggers and individual operations, see below.
