■Overview
Do you manually convert TIFF files received from business partners to PDF one by one? As the number of files increases, this task can take up significant time and may put pressure on other important work.
With this workflow, simply uploading a file to Box triggers RPA to automatically convert the TIFF file to PDF and save it in a designated Dropbox folder. It reduces the effort required for manual conversion, prevents mistakes such as forgetting to save files, and improves operational efficiency.
■Recommended for
- Anyone who manually converts TIFF files uploaded to Box to PDF
- Anyone looking to automate file format conversion and storage in another service
- Anyone looking to reduce the time spent on routine file management and focus on core tasks
■Benefits of using this template
- Automate the entire process—from uploading a file to Box, converting it from TIFF to PDF, and saving it to Dropbox—to reduce manual work.
- Because the process is automated, it helps prevent human errors such as missed file conversions and accidentally saving files to the wrong folder, improving operational quality.
■Flowbot workflow
- First, connect Box and Dropbox to Yoom.
- Next, select Box as the trigger and set the action to “When a file is uploaded to a folder.”
- Set Box’s “Download a file” action as an operation to retrieve the uploaded file.
- Next, configure a branch so that the workflow proceeds only when the downloaded file is a TIFF file.
- Configure the RPA feature as an operation and record browser actions to convert the TIFF file to PDF using a file conversion tool of your choice.
- If needed, configure the data transformation feature to process the data, such as changing the file name using regular expressions.
- Finally, set Dropbox’s “Upload a file” action as an operation to save the converted PDF file in the designated folder.
※“Trigger”: An action that initiates a flow. “Operation”: An action that performs processing within a flow after the trigger is activated.
■Customization options
- In the Box trigger settings, specify the ID of the folder you want to monitor for files.
- With the branching feature, you can freely set conditions for branching the process based on information retrieved by preceding operations, such as the file extension.
- With the RPA feature, flexibly record and configure browser actions according to your environment, including the file conversion service you use.
- When uploading a file to Dropbox, you can specify the destination folder path and file name.
■Notes
- Connect both Box and Dropbox to Yoom.
- You can select a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest available trigger interval varies by plan.
- The maximum downloadable file size is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file sizes that can be handled by triggers and individual operations, see this guide
- Branching is an available feature (operation) on the Mini plan and above. On the Free plan, the configured Flowbot operation will result in an error.
- Paid plans such as the Mini plan include a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise restricted.
- Browser operation features are available only on the Success plan. On the Free, Mini, and Team plans, the configured Flowbot operation will result in an error.
