y.matsumoto

"Did I already share this file...?"
"Manually notifying each time is honestly a hassle..."

Have you ever felt this way when sharing files with your team members?
Especially when there are many team members, it becomes difficult to know if everyone is aware of the new file information, leading to information sharing gaps and increased verification efforts.

That's where the automatic integration of Dropbox and Microsoft Teams comes in handy!
By utilizing this system, notifications after adding files are automated, eliminating the need for manual communication.
<span class="mark-yellow">You can always share the latest information with your team quickly, significantly improving work speed.</span>

This time, we introduce the automatic integration flow of "Dropbox×Microsoft Teams" that can be easily implemented with no code.
If you want to achieve an efficient workflow by integrating Dropbox and Microsoft Teams, please check out this article!

For those who want to try it as soon as possible

By using Yoom, you can easily integrate Dropbox and Microsoft Teams with no code.
Yoom provides templates for integrating Dropbox and Microsoft Teams in advance, so you can achieve integration immediately just by registering, even without API knowledge.

What You Can Do by Integrating Dropbox with Microsoft Teams

By integrating the APIs of Dropbox and Microsoft Teams, you can automatically sync Dropbox data with Microsoft Teams!
For example, you can automatically perform data synchronization like the following without human intervention.

Notify Microsoft Teams When a New File is Added to Dropbox

By integrating Dropbox with Microsoft Teams, you can share file additions with your team.
This flow is recommended for those who want to quickly grasp the status of new file sharing!

Let's Create a Flow to Integrate Dropbox and Microsoft Teams

Let's get started by creating a flow that integrates Dropbox and Microsoft Teams!
This time, we will proceed with the integration using Yoom without any coding. If you don't have a Yoom account yet, please create one from the registration form.

[What is Yoom]

This time, we will create a flow bot that sends a notification to Microsoft Teams when a new file is added to Dropbox!
The creation process is broadly divided into the following steps.

  • Integrate Dropbox and Microsoft Teams with My Apps
  • Copy the template
  • Set the trigger for Dropbox and the action for Microsoft Teams
  • Set the trigger to ON and complete the preparation for flow operation

Step 1: Integrate My Apps with Dropbox and Microsoft Teams

1. How to Register Dropbox

Click on "My Apps" → "+ Add" and enter Dropbox in the search box.

When the above screen appears, enter your email address.

Next, enter your password and log in.
This completes the integration of Dropbox with My Apps!

2. How to Register Microsoft Teams
Similarly, click on "Add" and search for Microsoft Teams.

When the account selection screen appears, click on the account you want to integrate.
Once signed in, you will return to the My Apps screen, and Microsoft Teams will be displayed.

※Note: If you are not subscribed to a general corporate plan (Microsoft365 Business) for Microsoft365 (formerly Office365), authentication may fail.

This completes the integration of Microsoft Teams with My Apps!

‍Step 2: Copy the Template

Now, let's start creating the flow!
You can easily set it up using Yoom's template.
Log in to Yoom and click "Try it" on the banner below.

It will be copied to your Yoom management screen, so press "OK" to proceed with the setup!

Step 3: Setting up a trigger to activate when a file is created in a specific Dropbox folder

First, click on "When a file is created or updated in a specific folder" to set it up.

When the above screen is displayed, check the settings.
If there are no issues, proceed to the next page!

You can select the trigger interval from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
※Note: The shortest activation interval varies depending on the plan

Please refer to the annotations outside the frame to set the target folder path and file name.

Once the setup is complete, add a new test file to Dropbox.
(Any test file is fine as it will be used for the subsequent operation test!)

Once you've done this, press the "Test" button at the bottom of the screen.
If the information of the file you just added is displayed correctly in the retrieved value, save the settings!

Step 4: Setting up an action to send message to channel

Next, click on "Send message to channel" to set it up.

When the above screen is displayed, check the settings.
If there are no issues, proceed to the next page!

Set the team ID and channel ID for Microsoft Teams where you want to receive notifications.

Click inside the frame to display the retrieved value, and set it as desired.

You can freely set the message content.
You can input messages using retrieved values.
For example, by setting it as shown in the image above, you can automatically obtain the "path" and "file ID" and send a message automatically when a new file is added to Dropbox.
If there is other information you want to obtain from Dropbox, try selecting it from the retrieved value!

After completing the test, click "Save".

Step 5: Turn on the trigger

Finally, turn on the "Trigger" and perform an operation check.
This completes the flow of "Notifying Microsoft Teams when a new file is added to Dropbox"!
