- First, connect Google Drive to Yoom.
- Next, select Google Drive as the trigger and set the action to “When a new file or folder is created in a specific folder.”
- To determine whether to continue, set up the “Branch” function as an operation and configure it to run subsequent processes only for specific file formats.
- Next, set up the “Download a file” action for Google Drive as an operation to download the file detected by the trigger.
- Next, set up the RPA feature to “Operate a browser” as an operation, then automate the process of opening an online PDF conversion site, uploading the file, and converting it.
- Next, set up “Extract data using regular expressions” as an operation to retrieve the download URL for the converted PDF file and other information.
- Finally, set up the “Upload a file” action for Google Drive as an operation to save the converted PDF file in the specified folder.

■Customization options
- In the Google Drive trigger settings, specify the folder you want to use to start the workflow.
- With the Branch function, you can freely customize the conditions for running subsequent processes based on information from previous steps, such as the file name and format.
- In the Google Drive file download settings, use the file ID obtained by the trigger as a variable to specify the file to download.
- With the RPA feature, you can freely customize the URL of the online tool you want to operate, the text you want to retrieve, and more to suit your environment.
- For data extraction using regular expressions, you can customize the rules used to extract specific text, such as a download URL, from the page information displayed by the RPA feature.
- In the Google Drive file upload settings, you can specify the destination folder and file name using fixed values or information obtained in previous steps as variables.
■Notes
- Connect Google Drive to Yoom.
- You can choose a trigger interval of 5, 10, 15, 30, or 60 minutes.
- Note that the shortest trigger interval varies by plan.
- Branching is a feature (operation) available on the Personal plan and higher. On the Free plan, operations configured in the flow bot will result in an error.
- Paid plans such as the Personal plan offer a two-week free trial. During the free trial, you can use restricted apps and features (operations). For details, see the Pricing plans page.
- Files up to 300 MB can be downloaded. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file size limits applicable to triggers and individual operations, see “File size limits.”
- The operation to control a browser is available only on the Success plan. On the Free, Personal, Mini, and Team plans, operations configured in the flow bot will result in an error.
- Paid plans such as the Success plan offer a two-week free trial. During the free trial, you can use restricted apps and browser operation features. For details, see the Pricing plans page.
- For instructions on configuring the operation to control a browser, see “How to configure “Operate a browser”.”
- Customize the browser operation to match the website you use.
- Flow bots with more than five operations can be created on the Personal plan and higher. On the Free plan, the flow bot will not start.
