■Overview
Do you find it time-consuming to manually manage and convert PDF files such as blueprints into DXF format? The process of launching specific software and manually storing the converted files in cloud storage not only takes time but can also lead to errors.
This workflow uses a PDF file upload to Box as the trigger, runs the file conversion using RPA, and automatically stores the converted file in a specified Dropbox folder. Automate this routine process and improve operational efficiency.
■Who Should Use This Template
- Design and manufacturing team members who regularly convert files
- Those who want to connect Box and Dropbox and automate everything from file format conversion to storage
- Team leaders who want to eliminate human errors in manual file conversion and standardize operations
■Benefits of Using This Template
- Conversion and storage in Dropbox are completed automatically as soon as a PDF file is added to Box, reducing the time spent on manual work
- Eliminating manual file conversion and upload tasks helps prevent human errors such as selecting the wrong file or storing it in the wrong location
■Workflow Steps
- First, connect Box and Dropbox to Yoom
- Select Box as the trigger, set the “When a file is uploaded to a folder” action, and specify the target folder
- Set Box’s “Download File” action as an operation to retrieve the uploaded PDF file
- Next, configure the branching feature so that subsequent steps run only when the file is a PDF
- Use the RPA feature’s “Operate Browser” action to record the steps for an arbitrary file conversion service and automate the conversion from PDF to DXF
- Use the data transformation feature’s “Replace Data Using Regular Expressions” action to format the output file name
- Finally, use Dropbox’s “Upload File” action to store the converted DXF file in the specified folder
※“Trigger”: An action that starts a workflow; “Operation”: An action that runs a process within a workflow after the trigger is activated
■Customization Options
- In the Box trigger settings, specify the ID of the folder where files will be uploaded
- With the branching feature, you can freely customize the execution conditions based on information obtained in previous steps, such as the file name or extension
- The RPA feature must be configured to match your environment, including the file conversion tool you use and the steps required to operate the website
- In the Dropbox file upload settings, you can specify the destination folder path and file name
■Notes
- Connect Box and Dropbox to Yoom.
- The maximum file size available for download is 300 MB. Depending on the app specifications, the limit may be less than 300 MB.
- For details on the file size limits supported by triggers and individual operations, see below. File size limits
- Branching is a feature (operation) available on the Mini plan and above. On the Free plan, operations configured in the workflow bot will result in an error.
- Paid plans, including the Mini plan, offer a two-week free trial. During the free trial, you can use apps and features (operations) that are otherwise restricted.
- The Operate Browser operation is available only on the Success plan. On the Free, Mini, and Team plans, operations configured in the workflow bot will result in an error.
- Paid plans, including the Success plan, offer a two-week free trial. During the free trial, you can use restricted apps and Operate Browser operations.
- For details on how to configure the Operate Browser operation, see below. How to configure the Operate Browser operation
