Add an item to a Microsoft SharePoint list when a ClickUp task is updated to a specified status

Add an item to a Microsoft SharePoint list when a ClickUp task is updated to a specified status

Launch this workflow to connect ClickUp & Microsoft SharePoint !

■Overview

Do you find it time-consuming to manually update information when sharing the progress of tasks managed in ClickUp with your team on Microsoft SharePoint?
By using this workflow, you can automate the integration between ClickUp and Microsoft SharePoint. Whenever a task’s status is updated, an item is automatically added to a Microsoft SharePoint list. This eliminates the effort of manual updates and the risk of missed information, enabling smooth information sharing.

■Who Should Use This Template

  • Anyone who manually transfers or reports ClickUp task progress to Microsoft SharePoint
  • Anyone who wants to connect ClickUp and Microsoft SharePoint to eliminate duplicate data entry
  • Anyone who wants to detect task status changes and automate real-time information sharing

■Benefits of Using This Template

  • When a ClickUp task status is updated, an item is automatically added to Microsoft SharePoint, reducing the time previously spent on manual updates
  • Reduce the risk of human errors, such as data entry mistakes and missed updates, caused by manual data transfer, and ensure accurate information sharing at all times

■Flow Bot Steps

  1. First, connect ClickUp and Microsoft SharePoint with Yoom
  2. Next, select ClickUp as the trigger and set the action to “When a task is updated”
  3. Next, configure the “Get a task” action for ClickUp as an operation to retrieve detailed information about the updated task
  4. Next, configure the branching feature as an operation and set a condition so that subsequent steps proceed only when the task reaches a specific status
  5. Finally, configure the “Add an item to a list” action for Microsoft SharePoint as an operation to create an item based on the retrieved task information

※“Trigger”: An action that starts the flow. “Operation”: An action that processes data within the flow after the trigger starts.

■Customization Options

  • With the branching feature, you can freely set conditions so that subsequent actions run only when a task changes to a specific status, such as “Completed”
  • Items added to a Microsoft SharePoint list can be customized freely. You can insert information retrieved from ClickUp, such as the task name and assignee, as variables, or add fixed text

■Important Notes

  • Connect both ClickUp and Microsoft SharePoint with Yoom.
  • Microsoft 365 (formerly Office 365) offers plans for home use and business plans (Microsoft 365 Business). Authentication may fail if you are not subscribed to a business plan.
  • Branching is an operation available on the Mini plan and above. On the Free plan, operations configured in the flow bot will result in errors.
  • Paid plans, such as the Mini plan, include a two-week free trial. During the free trial, you can use apps and features (operations) subject to plan restrictions.
