How to integrate Airtable with OneDrive to create a folder in OneDrive when a client is registered in Airtable

k.ueno

With the integration of Airtable, which allows you to build databases, and OneDrive, which enables extensive data management, you might be able to manage data and share files quickly.
In this article, we introduce methods to achieve work efficiency without the need for programming.
We focus on simplifying the folder creation process and explain how to streamline information management for your team.

Recommended for:

・Companies experiencing a rapid increase in the number of customers or transactions
・Companies handling customer data across multiple departments
・Team leaders who need to access multiple apps for data management
・Those who are beginners in programming and want to streamline data management
・Those using Airtable and OneDrive and want to integrate them to improve work efficiency

Benefits and Examples of Integrating Airtable and OneDrive

Benefit 1: Reduction of Work Time

By integrating Airtable and OneDrive, it seems possible to reduce the hassle of manually creating folders for each client.
Additionally, by automatically adding information, you might be able to prevent management errors in folder names or for each client.
As a specific example, a new folder is created on the OneDrive side based on the information of new clients registered on the Airtable side, ensuring data is registered while maintaining information consistency.
This might help reduce the burden on working staff.

Benefit 2: Efficiency in Information Access

Automation through Airtable and OneDrive integration allows for quick saving and retrieval of necessary documents.
This enables different teams to proceed smoothly with their tasks, potentially improving work efficiency.
For instance, when the support team responds to sudden inquiries from new clients, they can check the same information from either Airtable or OneDrive.
Minimizing information discrepancies can also help prevent incorrect responses.

Benefit 3: Strengthening Team Collaboration

With app automation, folders are automatically created and can be shared on OneDrive, allowing related departments to access client information.
This can prevent delays in information sharing and duplicate responses, potentially improving work efficiency during team collaboration.

Now, let's use Yoom to create a flowbot using the template "Create a folder for each client in OneDrive when a client is registered in Airtable."

[What is Yoom]

How to Create an Integration Flow between Airtable and OneDrive

The process to complete the flow will proceed as follows.

Step 1: Connect Airtable and OneDrive to My Apps
Step 2: Set up triggers in Airtable
Step 3: Set up triggers in OneDrive

Let's start by using Yoom to create a flow bot.
Now, let's establish a new connection between the two apps you want to integrate.

Step 1: Connect Airtable and OneDrive to My Apps

(1) First, connect Airtable to My Apps.
After logging into your Yoom account, click "My Apps" on the left panel and search for Airtable from "New Connection".

When the Airtable app icon appears, click it, then select the relevant workspace from "Add Space" and click "Allow Access".

Now Airtable is connected.

(2) Next, connect the OneDrive app.
Select OneDrive in the same way as registering Airtable to My Apps.

Sign in when you transition to the following screen.

・Microsoft 365 (formerly Office 365) has plans for home use and general business use (Microsoft 365 Business). If you are not subscribed to the general business plan, authentication may fail.

If the setup is successful, you will be redirected to the My Apps screen in your Yoom account.
Now both apps are connected to your Yoom account.

After confirming that the new connection of the target app to your Yoom account is complete, click the icon for "Try this template" in the template below.

The template will be copied, so click the "OK" button.
You will be taken to the "My Projects" screen of your Yoom account, so please check the template content.

There are two setup flows.

Step 2: Airtable Trigger Setup

(1) You can check the copied template in "My Projects" on the left side of your Yoom account screen.
If you lose track of where it is saved when moving the screen, check here.

Then, from "My Projects" on the left side of your Yoom account screen, click "【Copy】Create a folder for each client in OneDrive when a client is registered in Airtable".

(2) You will be taken to a screen like the one above, so let's set up the flow bot right away.
First, click on the first action that will be the trigger, "When a record is registered".

(3) Enter the information of the Airtable account you want to link on this screen and click [Next].
Keep the trigger action as "When a record is registered".

(4) On the next screen, select the "Trigger Interval" from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
*Note that the trigger interval varies depending on the plan.

Check the annotation section to set the "Base ID", "Table ID", and "Created Time Field Name".

If you want to increase the output you can get, it is recommended to obtain other values with 'JsonPath'.
If you obtain the value of the client (company name) in this step, you can set it as "Folder Name" in Step 2, like 【{{Company Name}}】.

After entering the information, click [Test], and if there are no issues, click [Save].

Step 3: OneDrive Trigger Setup

(1) Next, set up the OneDrive app.
Click on the second action, "Create Folder".

(2) Add the account information you want to link and click "Next".

(3) Enter the information such as the drive ID where you want to create the folder according to the annotation.
You can quote information from the output obtained in the previous step or from candidates.
Click the input bar and select the relevant information from the expanded content.

As mentioned in the previous step, if you want to increase the output you can get, it is recommended to obtain other values (e.g., client (company name)) with JSONPath, so that you can set it as "Folder Name" like 【Example: {{Company Name}}】.
For more information on how to add outputs using JSONPath, please see here.

4) If necessary, perform a test, and if there are no issues, press "Save".
This completes the setup. By turning on the trigger, the flow bot will automatically start.

The template used this time is as follows.

Other Automation Examples Using Airtable

There are other examples of automation using Airtable on Yoom, so here are a few.

① Add Product Information from Airtable to BASE

If you need to manually add product information registered in Airtable to BASE, it can be time-consuming.
By automatically adding product information from Airtable to BASE, manual work can be streamlined, which may also help prevent input errors.
With product information being quickly added to BASE, the latest information is displayed in the online shop, allowing for smooth sales of new products.

②Create an invoice in freee Invoice when the status is updated in Airtable

Recommended for those who manage customer data in Airtable and accounting departments using freee Invoice.
With this automation, you can automatically create an invoice in freee Invoice when a status record in Airtable is updated.
This eliminates the need to manually input Airtable information into freee Invoice, speeding up the invoicing process and improving operational efficiency.

③ Create a folder in Dropbox when a client is registered in Airtable

This flow creates a folder in Dropbox when a client is registered in Airtable.
Manually creating a folder for each client can be tedious, but by implementing this integration, you can automatically create a client folder in Dropbox every time a client is added in Airtable.

Summary

The integration of Airtable and OneDrive contributes to the efficiency of data management and file sharing.
Automation can eliminate the hassle of manual folder creation and information access, potentially improving the speed and accuracy of operations.
This allows teams to focus on more strategic tasks, possibly enhancing overall productivity.

Please consider utilizing Yoom's integration to streamline your daily operations.
