You can start right away using the template below, so please give it a try!

With the integration of Airtable, which allows you to build databases, and OneDrive, which enables extensive data management, you might be able to manage data and share files quickly.
This article introduces methods to improve work efficiency without the need for programming.
Focusing on simplifying the folder creation process, it explains how to streamline team information management.

Recommended for

・Companies experiencing a rapid increase in customers and transactions
・Companies handling customer data across multiple departments
・Team leaders who need to access multiple apps for data management
・Programming beginners who want to streamline data management
・Those using Airtable and OneDrive and looking to integrate them to improve work efficiency

Benefits and Examples of Integrating Airtable and OneDrive

Benefit 1: Reducing Work Time

Integrating Airtable and OneDrive seems to reduce the hassle of manually creating folders for each client.
Additionally, by automatically adding information, it may prevent management errors in folder names or client-specific details.
For example, based on the information of new clients registered on the Airtable side, new folders are created on the OneDrive side, ensuring data is registered while maintaining information consistency.
This might help reduce the burden on the working staff.

Benefit 2: Streamlining Information Access

Automation through Airtable and OneDrive integration allows for quick saving and retrieval of necessary documents.
This enables different teams to proceed with their work smoothly, potentially improving work efficiency.
For instance, when the support team responds to sudden inquiries from new clients, they can check the same information from either Airtable or OneDrive.
Minimizing information discrepancies can also help prevent incorrect responses.

Benefit 3: Strengthening Team Collaboration

With app automation, folders are automatically created and can be shared on OneDrive, allowing related departments to access client information.
This can prevent delays in information sharing and duplicate responses, potentially improving work efficiency during team collaboration.

Now, let's create a flowbot using Yoom with the template "Create a folder for each client in OneDrive when a client is registered in Airtable."

[What is Yoom]

How to Create an Integration Flow Between Airtable and OneDrive

The process to complete the flow will proceed as follows.

Step 1: Connect Airtable and OneDrive to My Apps
Step 2: Set up a trigger in Airtable
Step 3: Set up a trigger in OneDrive

Let's start by using Yoom to create a flow bot.
Now, let's establish a new connection for the two apps you want to integrate.

Step 1: Connect Airtable and OneDrive to My Apps

(1) First, connect Airtable to My Apps.
After logging into your Yoom account, click "My Apps" on the left sidebar and search for Airtable from "New Connection".

When the Airtable app icon appears, click it, then select the relevant workspace from "Add Space" and click "Allow Access".

This completes the connection to Airtable.

(2) Next, connect the OneDrive app.
Select OneDrive in the same way as registering Airtable to My Apps.

Sign in when you transition to the following screen.

・Microsoft365 (formerly Office365) has both a home plan and a general business plan (Microsoft365 Business). If you are not subscribed to the general business plan, authentication may fail.

If the setup is successful, you will be redirected to the My Apps screen of your Yoom account.
This completes the connection of the two apps to your Yoom account.

After confirming that the new connection of the target app to your Yoom account is complete, click the icon for "Try This Template" in the template below.

The template will be copied, so click the "OK" button.
You will be taken to the "My Projects" screen of your Yoom account, so please check the template content.

There are two setup flows.

Step 2: Setting the Airtable Trigger

(1) The copied template can be found in the "My Projects" section on the left side of your Yoom account screen.
If you lose track of where it is saved when moving screens, check here.

Now, from the "My Projects" section on the left side of your Yoom account screen, click "【Copy】Create a folder for each client in OneDrive when a client is registered in Airtable".

(2) You will be taken to a screen like the one above, so let's start setting up the flow bot.
First, click on the first action that will be the trigger, "When a record is registered".

(3) Enter the information of the Airtable account you want to link on this screen and click [Next].
Keep the trigger action as "When a record is registered".

(4) On the next screen, select the desired "Trigger Interval" from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
*Note that the trigger interval varies depending on the plan.

Check the annotation section to set "Base ID", "Table ID", and "Field Name of Created Time".

If you want to increase the output you can get, it is recommended to obtain other values with 'JsonPath'.
If you obtain the value of the client (company name) in this step, you can set the "Folder Name" in step 2 as 【{{Company Name}}】.

After entering the information, click [Test], and if there are no problems, click [Save].

Step 3: Setting the OneDrive Trigger

(1) Next, set up the OneDrive app.
Click on the second action "Create Folder".

(2) Add the account information you want to link and click "Next".

(3) Enter the information such as the Drive ID where you want to create the folder according to the annotation.
You can quote information from the output obtained in the previous step or from the candidates.
Click the input bar and select the relevant information from the expanded content.

As mentioned in the previous step, if you want to increase the output you can get, it is recommended to obtain other values (e.g., client (company name)) with JSONPath, so that when setting the "Folder Name", you can set it as 【Example: {{Company Name}}】.
For more information on how to add output using JSONPath, please see here.

4) If necessary, perform a test, and if there are no issues, press "Save".
This completes the setup. By turning the trigger ON, the flow bot will start automatically.

The template used this time is as follows.

Other Automation Examples Using Airtable

There are other examples of automation using Airtable on Yoom, so here are a few introductions.

① Adding Product Information from Airtable to BASE

If you need to manually add product information registered in Airtable to BASE, it can be time-consuming.
By automatically adding product information from Airtable to BASE, manual work is streamlined, which may also help prevent input errors.
With product information being quickly added to BASE, the latest information is displayed in the online shop, which is expected to facilitate smooth sales of new products.

② Create an invoice in freee Invoices when the status is updated in Airtable

Recommended for those managing customer data in Airtable or accounting departments using freee Invoices.
With this automation, an invoice can be automatically created in freee Invoices when a status record is updated in Airtable.
This eliminates the need to manually enter Airtable information into freee Invoices, speeding up the invoicing process and improving operational efficiency.

③ Create a folder in Dropbox when a client is registered in Airtable

This flow creates a folder in Dropbox when a client is registered in Airtable.
Manually creating a folder for each client is a hassle, but by implementing this integration, you can automatically create a client folder in Dropbox every time a client is added in Airtable.

Summary

The integration of Airtable and OneDrive contributes to the efficiency of data management and file sharing.
Automation can eliminate the need for manual folder creation and information access, potentially improving the speed and accuracy of operations.
This allows teams to focus on more strategic tasks, which may enhance overall productivity.

Please consider utilizing Yoom's integration to aim for greater efficiency in your daily operations.
