How to integrate Asana with Zendesk to update the ticket status in Zendesk when a task is completed in Asana

m.i

If you're using Asana for team task management and Zendesk for customer support, wouldn't it be great if the progress could be automatically reflected in each app?
Manually entering progress is time-consuming and labor-intensive, and there's also the risk of errors such as missing updates.
The solution to these issues is the integration of Asana and Zendesk.
This article will introduce how to automatically reflect completed tasks in Asana to the ticket status in Zendesk.
※Zendesk is a feature available only in the Team Plan and Success Plan.
Please note that operations of the flow bot set in the Free Plan or Mini Plan will result in errors.
Additionally, paid plans such as the Team Plan and Success Plan offer a two-week free trial.

Benefits of Integrating Asana and Zendesk

Benefit 1: Reduction of Manual Work and Improvement of Operational Efficiency

Traditionally, once a task was completed, it needed to be manually entered into each app.
However, with this automation, there's no need to manually update the ticket status, preventing discrepancies due to input errors.
As a result, the accuracy and efficiency of operations improve.
This automation will be a significant advantage, especially when the support team handles many tickets.

Benefit 2: Quick Progress Management

By integrating Asana and Zendesk, task progress is quickly reflected, allowing all stakeholders to immediately grasp the progress.
Additionally, each member can smoothly check ongoing tasks and their statuses, reducing errors and wasted time due to information delays.
This feature will be particularly useful when managing several tasks simultaneously.

How to Create an Integration Flow for Asana and Zendesk

So far, we have introduced the benefits.
Let's quickly integrate the apps we'll use this time with Yoom!
Once the registration of My Apps is complete, create a flow bot to "Update Zendesk ticket status when a task is completed in Asana".

Step 1: Integrate My App

Integrating My App first will make the subsequent settings proceed smoothly.
First, let's integrate the Asana and Yoom you are using.
Select My App → New Connection from the left side of the Yoom page.

Please search for Asana.
When the following screen appears, please log in to Asana.

Next, integrate Zendesk.
You will need to register your account name and access token.
Please refer to this help page and enter the information.
Once the two apps are integrated into My App, proceed to the next setting.

Step 2: Set Triggers and Actions

This time, we will use this template.
Open the template page and click 'Try this template'.
If you are using Yoom, log in, and if you are new, please register as a member.
As you proceed, the template will be automatically copied to your workspace.
You can change the name of the template as needed.
Click My Projects on the left, and the template you just copied will appear.
Click the ellipsis (...) on the right and select Edit.

This time, there are two steps.
Let's set them up together!

Items to Prepare

Asana tasks and Zendesk tickets.
This time, we will use this ticket information.
In this case, the ticket ID is 1, and the status is other than resolved.

Please enter the ticket ID from Zendesk in the description field of Asana. (For use in Flowbot settings)

Once completed, return to the Flowbot settings.
Now, let's set the app trigger.
Select "When a task in a specific project is completed".
You can change the title to make it easier to understand.
Check the account information to be integrated.
Keep the action as it is and proceed to the next step.
Please set the required fields.

  • Trigger Interval: You can choose from intervals of 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
※ The selection of intervals varies depending on the plan.

Test and save if the Asana task information is reflected in the output.
Next, click "Update Ticket Status".
Again, check the account information to be integrated.
Keep the action as it is and proceed to the next step.
Please set the required fields.
This time, the status was set to resolved.

Select the ticket ID from the output as follows.

Once the selection is complete, test and save this as well.
Let's take a look at the Zendesk side.
The status in the red frame has been changed to resolved.

Finally, turn on the app trigger to complete.
Thank you for your hard work.
Even someone like me who is not familiar with programming was able to proceed easily.

Other Automation Examples Using Asana and Zendesk

1. When managing inquiries in Zendesk and tracking their status as tasks in Asana, there is the hassle of registering in each app separately.
By using this automation, the content of Zendesk tickets can also be registered in Asana.

2. Automatically stores Asana task information in Microsoft Excel.
By using this automation, you can prevent input errors caused by manual transcription.

3. A notification is sent to LINE WORKS every time a ticket is created in Zendesk, which helps prevent missing the creation of a ticket and enables customer support.
If you set it to notify in a group chat, another employee can take over the response even when the person in charge is absent.

Summary

This time, we introduced the "Flowbot that updates Zendesk ticket status when a task is completed in Asana".
By integrating Asana and Zendesk, you can expect to reduce manual work and improve operational efficiency.
Additionally, quick progress management becomes possible, which can prevent overlapping customer responses.
Especially by utilizing Yoom, you can easily create integration flows without any programming knowledge using no-code.
Please take this opportunity to try integrating Asana and Zendesk.

I have experienced finance-related work for about 3 years since I graduated as a new graduate. Due to the industry, there are so many tasks that are done manually, and I came across Yoom when I thought that if automated, I could do more other work. I'm impressed every day by the convenience of Yoom while writing a blog. I try to make the structure easy to understand.
