How to Create a B-Cart and freee Invoice Integration Flow

From here, we will explain the steps for app integration.
The general flow is as follows:
・Integrate B-Cart and freee Invoice with My Apps
・Copy the template
・Set a trigger in B-Cart and set an action in freee Invoice
・Turn on the trigger and get ready to operate the flow
If you are already registered with Yoom, log in. If not, register for free and proceed with the setup.

Step 1: Integrate B-Cart and freee Invoice with My Apps

First, integrate B-Cart and freee Invoice with My Apps.
After logging into Yoom, click "My Apps" on the left side of the screen and proceed with the setup from "+ New Connection".

Next, search for B-Cart and click on it.

The login page will be displayed. Enter the email address and password registered with B-Cart and click login.

After granting access, the My Apps integration will be complete.

Similarly, search for freee Invoice and click on it.

After logging in and granting access, the My Apps integration will be complete.

Next, proceed with the setup using the Flowbot template.
Log in to Yoom and click "Try it" on the banner below.

"Template has been copied!" will be displayed, so click "OK" to complete the copy.

Step 2: Set the Trigger

Set the trigger for B-Cart.
Click "When an order occurs".

Next, check the "Account information linked with B-Cart".
You can freely edit the title, but keep the trigger action as it is and click "Next".

Select the app trigger interval from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
Please note that the shortest trigger interval varies depending on the plan.
After setting, place a test order in B-Cart and click "Test".

If the order information is displayed in the output, the test is successful.

Step 3: Set Search and Branch for Clients

Set branching to change actions based on the presence of clients.
Click "Search for Clients".
*Branching is a feature (operation) available in Mini Plan or higher. If you are on a Free Plan, the operation set in the Flow Bot will result in an error, so please be careful.
*Paid plans like Mini Plan offer a 2-week free trial. During the free trial, you can use restricted apps and AI features (operations).

As before, freely edit the title and check the account information, keep the action unchanged, and click "Next" to proceed.

Next, set to check if the orderer information exists in freee Invoices.
For "Business ID", click the field and select the corresponding freee business from the displayed options.
For "Search Keyword", specify a keyword to search for the orderer information. This time, we specify "Orderer Company Name".
After setting each item, click "Test".

Check the information obtained from freee in the output and click "Save".

Next, click "Branch by Client Registration Status".

Check the branching conditions.
You can freely edit the title, but leave the other items as they are and click "Save".

Step 4: Set Subsequent Actions

Next, set to automatically create a client if there is no client registration in freee Invoices.
Click "Create Client".

Freely edit the title and check the account information, keep the action unchanged, and click "Next" to proceed.

For "Business ID", select the business where the client data will be created and saved from the options.
"Client Name" is the name of the client registered in the client data. To automatically create client data based on order information, refer to the information obtained from B-Cart. This time, we select "Orderer Company Name".

Similarly, set other items as desired. (Click the field and select the corresponding item from the displayed options)
After setting, click "Test" to check if a new client data is created.
After confirmation, if there are no issues, click "Save".

Next, set the invoice creation.
There are two "Create Invoice" settings, but both have the same content.
Once one setting is complete, set the other in the same way.
Then, click "Create Invoice".

Freely edit the title and check the account information, keep the action unchanged, and click "Next".

For "Business ID", click the field and select the business displayed as before.
"Invoice Date" can be specified as desired. This time, it is set to the end of the month.

Other required items, such as honorifics and calculation methods, can be changed as desired.

Set "Invoice Line Items (Specify in List)".
For items like product name and transaction date that change with each order, click the field and refer to the order information to set.

After setting each item, click "Test" to check if the invoice is created.
If there are no issues, click "Save" and set the other "Create Invoice" in the same way.

Click "Turn Trigger ON" to complete the preparation for flow operation.
Now, when an order occurs in B-Cart, the transaction information will be automatically added to freee Invoices.

1. Add B-Cart Order Information to Google Spreadsheet

B-Cart order information is automatically added to Google Spreadsheet, allowing you to organize information in a timely manner while reducing the hassle of data entry.
