How to Create a CloudSign and Garoon Integration Flow
This time, we will first create a flow where [a document is created when a workflow is approved in Garoon and sent via CloudSign]. Based on the information of the workflow approved in Garoon, a document is created and sent via CloudSign. Not only does it automate the cumbersome approval flow, but everything from document creation to electronic contract issuance is automated. By not relying on manual work, you can prevent document duplication and missing items.
With Yoom, you don't need to build from scratch if you copy a template, making it easy to create a flow. Start by copying a template and then begin the integration settings.
Preparation
Once you can log in to your Yoom account, the first step is to register the app you will use. 1. Click on "Register My App" and select "Create New". 2. Select the app you want to register (in this case, CloudSign and Garoon) and log in with the account you will use.
Once you have registered CloudSign, click "Create New" again to register Garoon. For more information on CloudSign app integration, please refer to this. Create a document and send it via CloudSign when a workflow is approved in Garoon
Let's get started with the detailed steps to create the flow!
1. Open the copied template from My Projects. 2. Click "Edit" in the top right corner. The title is filled in to make the content of the flow easy to understand. Details can also be changed. Modify it to make it easier to use.
3. Click "App Trigger: When the flow is approved".
4. Select the trigger action "When the workflow is approved" and click "Next".
5. Select the trigger interval and click "Test". The subdomain name is the part of the Garoon URL "https://●●●●●●●.cybozu.com/" where ●●●●●●● is the subdomain. The application form ID is the "fid=⚫️⚫️" part of the URL of the relevant application form. For example, if it is "fid=3", the application form ID is 3. If the test is successful, click "Save".
6. Return to the flow and click the icon "Issue Document: Create Document".
7. Link the pre-created template, specify the storage location for the issued document, and click "Next".
8. Click "Get Replacement Information". The strings enclosed in {} in the template document will be automatically retrieved as "strings to be replaced". For each replacement target, enter the "string after replacement". For list settings, set the string after replacement in list format (comma-separated). If you update the document content, click the "Retrieve Replacement Conditions" button. Click "Test", and if the test is successful, click "Save".
9. Return to the flow and click the icon "Register Document: Integrate with App".
10. Select the action "Create Document" and click "Next".
11. Enter the necessary information. Click "Test", and if the test is successful, click "Save".
12. Return to the flow and click the icon "Add Recipient: Integrate with App".
13. Select the action "Add Recipient" and click "Next".
14. Select the previously linked output information and enter the fields. Once entered, click "Test", and if the test is successful, click "Save".
15. Return to the flow and click the icon "Attach File to Document: Integrate with App".
16. Select the action "Attach File to Document" and click "Next".
17. Select and enter the output information. Keep the file attachment method as "Use Output" and "Issued Document", and click "Test". If the test is successful, click "Save".
18. Return to the flow and click the icon "Send Document: Integrate with App".
19. Select the action "Send Document/Remind" and click "Next".
20. Select and enter the output information, and click "Test". If the test is successful, click "Save".

21. Finally, switch the trigger to "ON" to activate it.
