For those who want to try it immediately

In this article, we will introduce the integration method using the no-code tool "Yoom".

No complicated settings or operations are required, and even non-engineers can easily achieve it.

You can start right away using the template below, so please give it a try!

When exchanging files, it is common to either attach them to an email or save them in a shared management file. In both cases, you need to "notify the relevant parties," right?
This time, we will introduce a method to simplify the notification process through app integration!
The apps used are Dropbox and Discord. If you are utilizing these two tools, be sure to try integrating them.

Recommended for

・Companies or departments that report new file uploads to Dropbox on Discord
・Departments that share Dropbox folders with team members and want to quickly inform them of new file additions
・Those who frequently exchange files such as documents or designs and want to simplify notification tasks using Discord

Benefits and Examples of Integrating Dropbox and Discord

Benefit 1: Promoting Information Sharing and Strengthening Team Collaboration

By performing this integration, when a new file is added to Dropbox, an automatic notification will be sent to Discord. This makes it easier for members to be aware of the existence of new files and may strengthen team collaboration.
For example, in projects involving multiple people, each person is expected to proceed with their tasks. In such cases, "how well information is shared and smooth collaboration is achieved" can often be a key point in leading the project to success.
This integration involves "automatically notifying about new file uploads." It has the potential to strengthen team collaboration and information sharing, making it beneficial.

Benefit 2: Shortening the Feedback Cycle

In the digital society, exchanging files is almost essential when providing feedback on materials or designs.
However, sending notifications with mentions to relevant parties each time may not be very efficient. This is where the integration of Dropbox and Discord comes in handy.
For example, illustrations or designs requested from the design team involve multiple exchanges of requirements, images, rough sketches, etc. Additionally, it is not uncommon to request detailed revisions on the finished product.
Having to mention each time during such exchanges can be a bit cumbersome. By implementing this integration, simply uploading a file to Dropbox will send a message to the other party, reducing the effort of notification tasks and potentially speeding up file exchanges.

Benefit 3: Avoiding Missed Notifications

Have you ever postponed notification tasks when overwhelmed with tasks?
For example, in tasks like "notifying relevant parties that a file has been uploaded," you might upload the file but plan to notify later, only to forget eventually.
However, by integrating Dropbox and Discord, messages are sent in real-time when a new file is added, making it easier to avoid such situations.

Now, let's introduce the flow of integrating apps using Yoom.
First, register with Yoom.
Yoom offers a two-week trial. You can actually operate it and check its usability.

Other Automation Examples Using Dropbox

There are many other examples of automation using Dropbox in Yoom, so here are a few to introduce.

1. Create a card in Trello when a file is added to Dropbox

When a file is uploaded, it will be added as a task, making it easier to prevent overlooking or missing checks on files.

2. Once the document signing is completed with GMO Sign, store the file in Dropbox

It is also possible to store contract documents. This eliminates the hassle of uploading documents after signing, making it easier to efficiently handle administrative tasks.

3. When an email with an attachment arrives, notify on Slack and upload the file to Dropbox

It is possible to automate the flow of uploading files attached in Slack to Dropbox and then notifying Slack about it.

Summary

Notifying each time a file is stored can feel a bit cumbersome, right? By implementing this integration, you can simplify the notification process.
The flow introduced here allows notifications to be sent to Discord when specific keywords are embedded in the file name, which should help prevent missed confirmations or reporting errors for important file exchanges.
Be sure to incorporate it into your daily operations to simplify your tasks!

After working as a general store manager, I started working from home as an SEO writer. Later, an outsourcing agreement was signed with a marketing startup for about 5 years. Surrounded by students at the University of Tokyo, I held a computer and spent my days studying various business terms and how to use SaaS tools. When I was a general store manager, time was taken over and over again by office work such as sales and inventory management, human resource management, and ordering, etc., and I was unable to serve customers and often missed sales times. Even when outsourcing, there are many detailed tasks such as input, etc., and “can't such monotonous tasks be automated?” I thought so, and I really sympathize with Yoom's vision!
