In the business field, many companies use Google Forms to collect inquiries and surveys from customers. However, there may be cases where the collected response information is not automatically shared within the team, making it difficult to quickly move to action. Here, we introduce a method to integrate Google Forms with the internal chat tool direct, allowing automatic notifications when a form is submitted. This may speed up information transmission and improve work efficiency. This app integration can be easily implemented without programming. Please refer to this article and give it a try.

Recommended for

  • Customer support personnel collecting inquiries and surveys using Google Forms
  • Internal IT personnel using direct for work and looking to streamline information sharing between different departments
  • Marketing personnel aiming to utilize Google Forms data to enhance inter-departmental collaboration and speed up decision-making

Benefits and Examples of Integrating Google Forms with direct

Benefit 1: Speeding Up Information Sharing

Automatically notifying direct of information entered into Google Forms contributes to timely information sharing. This eliminates the need for manual notifications via email or chat, supporting smooth information transmission. For example, when information from a customer inquiry form is sent, the responsible person can quickly check the information and move to respond, enabling speedy service provision. This system is considered effective, especially in customer support and project management environments where quick responses are required.

Benefit 2: Streamlining Task Management

Notifying direct of content entered into Google Forms is expected to make it easier to quickly recognize tasks. Furthermore, notifications ensure that the responsible person does not miss the information, making it easier to take necessary actions and reducing the risk of work omissions. For instance, if you are operating an internal equipment failure report form, receiving notifications in direct allows repair personnel to quickly move to respond. This process may shorten the time to problem resolution and improve the overall work efficiency of the team.

Benefit 3: Enhancing Transparency in Information Sharing

Automatically notifying direct of information sent via Google Forms allows all stakeholders to check the content at the same time, enhancing transparency in information sharing. Notification content remains as a record, making it easy to check or review later. Additionally, quick information sharing through notifications supports efficiency in team communication and smooth decision-making. For example, if survey results for a new product are notified, both the marketing and sales departments can simultaneously grasp the information and develop effective strategies. Such a system is expected to not only enhance work efficiency but also improve inter-team collaboration.

Now, let's explain how to use the no-code tool Yoom to automatically notify direct of information sent via Google Forms.

[What is Yoom]

How to Automatically Notify direct of Information Sent via Google Forms

It is possible to achieve this by receiving information sent via Google Forms using the Google Forms API and notifying the specified talk in direct using the API provided by direct. Generally, programming knowledge is required to achieve this, but it can be easily implemented without programming knowledge by using the no-code tool Yoom.

We will create this in the following major processes.

  • Integrate Google Forms and direct with My Apps
  • Copy the template
  • Set up to receive information sent via Google Forms and notify direct
  • Set the trigger to ON and complete the preparation for flow operation

If you are registered with Yoom, please log in, and if you are not registered, please proceed with the settings after registering for free.

Step 1: Integrate Google Forms and direct with My App

First, integrate Google Forms and direct with My App.
After logging into Yoom, click on "My Apps" on the left side of the screen and search for Google Forms from "+New Connection".

Sign in with "Sign in with Google".

After signing in, you will see "Yoom is requesting access to your Google Account", so press "Continue".
This completes the integration of Google Forms.

Next, search for direct.

After registering the application with direct, enter the Client ID and Client Secret obtained in each field.
Then click "Add" to complete the integration with direct.

Next, let's proceed with the settings using a template.
Log in to Yoom and click "Try it" on the banner below.

A message saying "Template has been copied!" will be displayed, so click "OK" to complete the copy.

Step 2: Retrieve information submitted via Google Forms

Next, set up to retrieve information submitted via Google Forms.
Click "When a response is submitted to the form".

Next, check the "Account information to link with Google Forms".
The title can be edited, but do not change the trigger action and click "Next".

Select the "Trigger activation interval" from 5 minutes, 10 minutes, 15 minutes, 30 minutes, or 60 minutes.
Please note that the shortest activation interval varies depending on the plan.
Refer to the annotation for the "Form ID" and quote it from the URL of the Google Form from which you want to retrieve response information.
For how to retrieve response content when using Google Forms as a trigger, please refer to here.
Once all inputs are complete, submit a test response on the specified form and click "Test".
Confirm that the response information is displayed in the output and click "Save".

Step 3: Send notifications to direct

Next, set up to send notifications to direct.
Click "Notify to direct".

Edit the title as desired and check the account information, then click "Next".

On the next page, configure the API connection settings.
For "Talk ID", enter the talk ID where you want to post the message, as per the annotation.
The "Message content" can be edited as desired. Click the input field to set the response information from Google Forms. Choose according to the notification content.
Once each setting is complete, click "Test".
Confirm that the message has been sent to the specified talk and click "Save".

Click "Turn on trigger" to complete the preparation for flow operation.
Now, the information submitted via Google Forms will be automatically notified to direct.

Other Automation Examples Using Google Forms and Direct

There are many examples of automation using Google Forms and Direct in Yoom, so here are a few.

1. Register employees in Kaonavi based on information submitted via Google Forms and invite them to Direct group talks according to department information

Employees are registered in Kaonavi based on the submitted information, and invitations to Direct group talks reflecting department information are supported. This is expected to improve communication efficiency between departments.

2. When there is an inquiry via Google Forms, create a response with Dify and notify Chatwork

This is a system where a response to an inquiry is created with Dify and notified to Chatwork. By sharing information through notifications, an improvement in response speed can be expected.

3. Create documents in Microsoft Excel based on responses to Google Forms

Documents are created in Microsoft Excel based on the response data from Google Forms, supporting the organization and aggregation of information. This is expected to allow for more efficient utilization of the information collected through Google Forms compared to traditional methods.

Summary

By integrating Google Forms with direct, you can automate the process from information gathering to sharing, which is expected to improve information sharing and overall business efficiency.
By reducing the manual communication and confirmation tasks previously performed, you can create an environment that allows you to focus on more important tasks.
Smooth information sharing is also believed to strengthen team collaboration and lead to the provision of higher quality services.
