"I have to check the Shopify admin panel again..."

"I didn't notice the order came in and my response was delayed..."

Are these small "chores" or "oversights" piling up and becoming a burden on your operations?
Wouldn't it be convenient if information about orders and shipments automatically arrived via chat or email?

Actually, you can integrate Shopify with various tools to automatically notify you of Shopify data!
For example, you can receive notifications via chat tools when products are ordered or shipped, or get immediate email alerts when new customer information comes in.

In this article, we will introduce how to achieve such convenient automatic notifications with no code.
We will also provide a detailed explanation of the actual setup process! Be sure to check it out until the end and experience the convenience of automatic notifications!

For those who want to try it out quickly

Yoom offers templates for automating workflows using Shopify.
If you want to try it out right away, click "Try it out" on the banner below and get started immediately!

Various Ways to Automatically Notify Shopify Data

There are several ways to automatically notify Shopify data. We've picked out a few methods for you to check out!

Simply click "Try it out" on the template you're interested in and create a Yoom account to immediately experience Shopify's automatic notifications. Registration takes just 30 seconds, so feel free to give it a try!

Automatically Send and Forward Shopify Data to Chat Tools

This is a flow that automatically notifies chat tools after Shopify product shipments or orders.
Since you can check shipping details and order information in chat in a timely manner, the entire team will be able to quickly confirm the latest information. You can expect to strengthen team collaboration and speed up response times.

Automatically Send and Forward Shopify Data via Email

This flow notifies you of Shopify customer information and order details via email.
It is useful for quickly understanding Shopify data or efficiently sending coupons without any omissions!

Let's Create a Flow to Automatically Notify Shopify Data

Let's get started with creating a flow to automatically notify Shopify data!
This time, we will proceed with the setup using Yoom in a no-code manner, so if you don't have a Yoom account yet, please create one from this registration form.

[What is Yoom]

This time, we will create a flow bot that "notifies Microsoft Teams when a product is shipped from Shopify".
The creation process is broadly divided as follows.

  • Register Shopify and Microsoft Teams as My Apps
  • Copy the template
  • Set up the Shopify trigger and Microsoft Teams notification
  • Set the trigger to ON and verify the flow bot operation

First, register your app with Yoom to integrate Shopify and Microsoft Teams.
Pre-registering your app makes it easier to proceed with the subsequent automation settings.

Let's proceed with the settings!
Click on "My Apps" on the left side of the Yoom screen, and then click on "+ Add" displayed on the right side.

How to Integrate Shopify

※Shopify is an app for those using the Team Plan or Success Plan.
Please note that using it with the Free Plan or Mini Plan may cause errors in Flowbot operations or data connections.
The paid plans (Team Plan and Success Plan) offer a 2-week free trial.
During the trial period, you can try Shopify, which is usually restricted, without any issues.
Take this opportunity to experience various features!

Find Shopify from the app list or use the search function to select Shopify.
Switch to the new registration screen for Shopify and enter the required information in the red box in the figure below.
For detailed settings, please refer to here!

※The required information can be verified from the Shopify admin panel.
Enter "Client ID" for "API Key" and "Client Secret" for "API Secret Key".
Click "Select Distribution Method" in the red box below for "Subdomain" and obtain it following the steps here.

How to Integrate Microsoft Teams

※"Microsoft 365 (formerly Office 365)" has personal and business plans (Microsoft 365 Business).
If you do not have a business plan, integration with Yoom may not work properly, so please be careful.

Similarly, look for Microsoft Teams in the app list or use the search function.
The integration screen will appear, so log in to the account you want to integrate with Yoom.

If Shopify and Microsoft Teams are displayed in the My Apps section, the integration is complete!

Step 2: Copy the Template

Now, let's set up the automatic notifications!
To make it easy, use a template. Click "Try it" on the banner below to copy the template.

When you click, the template will be automatically copied, and the following screen will be displayed.
※ The template will be automatically stored in "My Projects," so if you want to check it later, you can do so from there.
Click "OK" to proceed with the settings!

The "Title" and description fields of the template can be changed as you like to make it easier for you to use. Please change them as needed!

Step 3: Set the Trigger that Starts the Flow

First, set up the app trigger so that the flow bot automatically starts when a product is shipped in Shopify.
Click on "When an order is shipped (Webhook)" in the copied template.

The account information linked in Step 1 is listed. Confirm that it is the account you will use this time, keep the trigger action as "When an order is shipped (Webhook)," and click "Next."

Next, set up the Webhook. Click the red-framed part in the image below to copy the Webhook URL.

Move to the Shopify screen.
In the Shopify admin panel, open "Settings," select "Notifications," and click "Create Webhook."

The Webhook creation screen will be displayed, so paste the "Webhook URL" you copied earlier and set it as shown in the image below.

Once the setup is complete, create product information in Shopify for testing and mark it as shipped.

Return to the Yoom screen and click "Test." If the test is successful, the shipping information from Shopify will be extracted.

"Output" will be displayed below.
Output will be used when setting up automatic notifications, so please check if the information is correctly obtained. After confirming, click "Save."

Step 4: Set Up Automatic Notifications to Microsoft Teams

Next, set up automatic notifications of Shopify shipping information to Microsoft Teams.
Click "Send message to the channel."

The following screen will be displayed, so confirm that it is the account you will use this time and click "Next."

Set the "Team ID" for Microsoft Teams to receive automatic notifications.
Click the input field, and candidates will be displayed from the linked account, so select from the candidates.

Scroll down and select the "Channel ID" to receive automatic notifications.
Click the input field here as well, and candidates will be displayed, so select from the candidates!

Next is the "Message" setting. Here, set the content of the message to be automatically notified.

Parts that use the same text every time, such as "A product has been shipped in Shopify," should be entered as fixed values as templates.
Parts that quote Shopify data, such as "Order ID," should be entered using the output.

This time, I set it to automatically notify the "Order ID" as shown in the image below!

Once the setup is complete, click "Test."

If the test is successful, the message you set earlier will be sent to Microsoft Teams. Confirm that the notification is correctly received and click "Save."

Step 5: Turn on the Trigger Button and Check the Flow Bot Operation

All settings are now complete.
The following screen will be displayed, so click "Turn on the trigger" and check if the flow bot you set up is starting correctly!

This concludes the setup for the flow "Notify Microsoft Teams when a product is shipped in Shopify"!
