How to Integrate Box and Outlook Without Code

Let's create a flow bot without any coding knowledge using Yoom, which allows you to automate tasks even if you have zero programming knowledge!
Once you've registered with Yoom, let's connect Yoom with each app.
This is called "My App Integration". My App Integration is very easy!

My App Integration for Box and Outlook

Select "My Apps" from the menu on the left side of the screen.

     ↓

Click on New Connection at the top right!

     ↓

Enter "Box" in the search window, and the Box icon will appear. Click on it.
A screen like the one below will be displayed, so please press Allow Access to Box.

Then you will return to the My Apps screen in Yoom. The My App Integration for Box is now complete. That was quick!!

     ↓

Next is the integration with Outlook.
Logging into Outlook is quick if you are already logged into Microsoft 365, so make sure to log in beforehand!

     ↓

Just like with Box, search for "Outlook" from My Apps.
The Outlook icon will appear, so click on it. The integration will be completed without switching screens.

Now, both apps are integrated with Yoom! Next, click on "Try it" in the banner below.

You will see "Template has been copied", so click "OK".

How to Integrate Box and Outlook

First, you will need to send a test during the stage of creating a flowbot.
Therefore, make sure to upload some folders and a few PDF or image files to Box in advance.

[Box Trigger Settings]

Once the My App registration is complete, click "My Projects" on the left side of the screen!

     ↓     

Enter the screen of the Box icon that says "[Copy] When a file is uploaded to Box, send an email to Outlook" and click edit in the top right corner!

     ↓

Press "When a file is uploaded" on the Box logo.

     ↓

Select the account information to link. Change the "Trigger Action" at the bottom to any desired action!
This time, we set it to "When a file is uploaded" as in the title.

     ↓

Press Next and enter the Folder ID. The Folder ID is within the red frame in the image.
Once entered, click the test button just below! If "Test Successful" is displayed in blue, it's OK.
Press Next, and another test button will appear, so press it. If "Test Successful" is displayed in blue as before, it's OK, so save it this time.

    ↓

Next, go to the settings for "Download File" on the Box logo!
Select the account information to link. Change the "Trigger Action" at the bottom to any desired action!
This time, we set it to "Download File" as in the title.
It's easier to understand if the title and action are aligned, so it's recommended to align them!

     ↓

When you press Next, you will see a screen similar to before, so enter the Content ID and press test.
There is one point to note here! The screen looks similar to before, but this time you need to enter the "File ID"!
The File ID is displayed in the same part as the Folder ID, so open any file and copy-paste it.

Once entered, press test and save!

[Outlook Settings]

Press "Send Email" on the Outlook logo.

     ↓

Select the account information to link. Change the "Trigger Action" at the bottom to any desired action!
This time, we set it to "When a file is uploaded" as in the title.

     ↓

Press Next to move to the screen where you decide the content of the email, and start setting it up.

The default state is as shown above.
Let's change this to any content you like! Move the cursor into the box you want to change and click...

The screen will look like this.
Since we are at the stage of choosing the content to display in the subject, let's try entering the author's name.
When you click on the author's name...

The author's name will be included in the subject! We added an underscore "_" between the file name and the author's name to make it clear.
Although this may seem like a unique notation, don't worry! We will show you the completed version when you send a test email later!

     ↓

Let's continue to change the body of the email! Similarly, click inside the box to add various contents and customize it.

I made it look like this. This way, when the email is sent, it should be clear what kind of image it is and when it was taken.
If the red-framed part matches the content of the image above, the automatically downloaded file will be sent, so be sure to check it!

     ↓

When you go to the next screen, a sample screen will be displayed like this.
Check it, and if it's OK, press test and try sending it!

This time, I set the recipient to Gmail! An email has been sent from the linked Outlook.
