How to link Trello with Discord to receive notifications on Discord when a social media post schedule card is registered in Trello

a.ohta

This time, we are introducing the app integration of Trello×Discord for those who feel burdened by managing posting schedules while using multiple SNS for marketing and public relations!

First, let's look at the benefits of integrating Trello and Discord!

Benefits of Integrating Trello and Discord

1. Identify the content of cards created in Trello and notify specific cards to Discord!

When managing team tasks in Trello, various cards are added, so you need to set and manage task deadlines and labels.
Also, when searching, you need to apply filters.
In such cases, finding only specific cards among many can be a surprisingly cumbersome workflow.

In such a situation, by integrating Trello and Discord, it becomes possible to identify specific content from tasks added to Trello and immediately notify only that card to Discord, making task management easier!
For example, when a card with the word "SNS" is added, only that card can be notified to Discord.

By creating a thread on the content notified to Discord, it becomes easier to add the number of views after posting on SNS or to grasp the number of likes. It also makes it easier for the team to confirm!

2. Reduce the back-and-forth between multiple tools!

When using multiple SNS for attracting customers, the number of tools you handle becomes enormous. When scheduling posts one after another, doesn't the number of tabs open on your computer become overwhelming?
In addition to that, opening Trello and the main communication tool Discord, checking the post scheduling card in Trello, and then writing that in Discord before starting to schedule posts... can be quite a challenging task.

If you want to reduce even one tool open on your computer, integrate Trello and Discord.
By doing so, you only need to check the notifications of Discord, the main communication tool, reducing the back-and-forth between different tools and alleviating the burden of the workflow!

Benefits of Integrating Trello and Discord with Yoom

With Yoom, you can create Flowbots that automate workflows through app integration.
App integration is usually difficult for non-engineers. It requires programming knowledge, making it a high-barrier task.

However, Yoom allows app integration without programming knowledge!
By following the steps to set up a Flowbot, anyone can automate their workflow.

Moreover, templates that allow you to create Flowbots quickly are available, making it highly recommended for those new to app integration!

How to Create a Trello and Discord Integration Flow

Now, let's introduce the steps to create a Flowbot that notifies Discord when an SNS posting schedule card is registered in Trello.

This time, we will use a template that already has a flow set up, instead of creating a Flowbot from scratch.

Using a template makes it easier to integrate apps, so it's recommended!

Register for Yoom here. You can register easily in 30 seconds!

Official documentation about Yoom is here. Please take a look!

Once you have registered for Yoom, please click the banner below to proceed.

Next, let's integrate Yoom with each app. This is called "My App Integration".

My App Integration

Click on the template banner, and you'll find a "Try this template" button at the bottom of the screen. Click it.
This will take you to a page called "My Project", where you can select "My Apps" from the menu on the left side of the screen!

Let's start with My App Integration for Trello!
Click on "Create New" at the top right. Enter "Trello" in the search box, and the Trello icon will appear, so click it!

The above screen will be displayed. A separate page is prepared for My App Integration, so click on the red-framed Trello My App Integration Method and proceed according to the content!

Once My App Integration for Trello is complete, let's integrate Discord with Yoom next.
Enter "Discord" in the search box, and the Discord icon will appear, so click it!

This will transition to a screen like the one above, so press the red-framed approval.

With this, the two apps, Trello and Discord, have been integrated with Yoom, so let's proceed to set up the contents of the flow bot next.

Trello Trigger Settings

Click on "【Copy】Notify Discord when a social media post schedule card is registered in Trello" from My Project on the left side of the screen! Press Edit at the top right.

Press "When a card is newly created (Webhook)" on the Trello icon.
Since the necessary items are already entered by using the template, confirm that the account information linked with Trello is correct, and then click Next!

__wf_reserved_inherit

Enter the API key and API token. You can obtain these in the same way as when you did My App Integration earlier!

Continue by entering the username and board ID.
The board ID will be displayed in a list like the image by entering the username. Therefore, let's register the username first.

To confirm the username, click the round icon at the top right of Trello and select Profile and Visibility from the displayed list.

This will bring up a screen like this, so just copy and paste the username into the Yoom screen!

Once copied, move to the bottom of the screen and press the Test button. If it displays "Test Successful" in blue, it's OK, so press Next.

After moving to the next page, let's add a task to Trello.
This time, we are creating a flow bot that automatically recognizes the string "SNS" and sends a notification to Discord, so please include the string "SNS" in the card as shown in the image.

Once the card is added, press the Test button at the bottom of the screen again, and if it displays "Test Successful" in blue, save it.

Command Operation Settings

Press the arrow icon for "Command Operation".

Even if you think "Command Operation sounds difficult..." it's okay. Thanks to using the template, the settings are already complete!

Check if the branching condition in the red frame is set to SNS, and if so, press Save just below to finish this setting.
Thanks to this branching condition, only the cards for SNS post reservations are recognized, and immediate notifications are sent to Discord!

Discord Settings

Press "Notify Discord" on the Discord icon.
As with the previous steps, the necessary items are already entered by using the template, so confirm that the account information linked with Discord is correct, and then click Next.

Obtain Webhook URL and copy-paste it. You can obtain it from the red-framed Webhook URL Acquisition Method.
Even if it's a word you hear for the first time, it's okay. It can be completed in about two actions by opening Discord, so it will be done quickly!

The next step is the final setting! Let's decide the content to be notified to Discord in detail.

Click inside the message box, and the content you test-sent during the Trello settings will be displayed in a list, so just choose the content you want to notify to Discord.
Inserting item names or symbols like in the image is a tip. This makes the messages sent to Discord significantly easier to read!

Once you've decided on the message content, press Test at the bottom of the screen, and if it displays "Test Successful" in blue, it's OK. The test also sent a notification to Discord, right!
Once you've done this, press Save.

This concludes the integration of Trello and Discord. Good job!

Yoom offers a wide variety of templates that allow you to create flow bots quickly, so please take a look!

Summary

SNS is an indispensable tool not only for private use but also for companies. Especially for those in marketing and public relations, it can be a place to post advertisements and acquire valuable lead information.
Since companies often use more than one SNS, scheduling posts can become complex.
In such cases, try integrating Trello and Discord with Yoom to make task management a bit easier!

After working as a general store manager, I started working from home as an SEO writer. Later, an outsourcing agreement was signed with a marketing startup for about 5 years. Surrounded by students at the University of Tokyo, I held a computer and spent my days studying various business terms and how to use SaaS tools. When I was a general store manager, time was taken over and over again by office work such as sales and inventory management, human resource management, and ordering, etc., and I was unable to serve customers and often missed sales times. Even when outsourcing, there are many detailed tasks such as input, etc., and “can't such monotonous tasks be automated?” I thought so, and I really sympathize with Yoom's vision!
