[No Programming Required] How to Automatically Integrate Microsoft SharePoint Data into Slack

h.hamada

Are you finding it time-consuming to share information even though you manage it with Microsoft SharePoint and communicate via Slack?

Manually updating information is inefficient, and without proper integration, you might miss important data.
By integrating Microsoft SharePoint with Slack, you can automatically notify everyone of the latest updates.
For example, when a list is updated in Microsoft SharePoint, a quick notification is sent to Slack, allowing you to share important changes immediately.

Why not try a method that eliminates unnecessary hassle and streamlines your workflow right away?

For those who want to try it as soon as possible

By using Yoom, you can easily integrate Microsoft SharePoint and Slack without any coding. Yoom provides templates for integrating Microsoft SharePoint and Slack, so you can achieve integration immediately just by signing up, even without API knowledge.

What You Can Do by Integrating Microsoft SharePoint and Slack

By integrating the APIs of Microsoft SharePoint and Slack, you can automatically transfer data from Microsoft SharePoint to Slack! For example, you can automatically execute data transfers like the ones below without any manual intervention.

Simply click "Try it out" on the automation example you're interested in and register an account to immediately experience the integration between Microsoft SharePoint and Slack.
Registration takes just 30 seconds, so feel free to give it a try!

Notify Slack When an Item is Added or Updated in a Microsoft SharePoint List

By linking data management in Microsoft SharePoint with communication in Slack, you can convey the latest information to the entire team. This flow is recommended for those who use Microsoft SharePoint for information management but find sharing with the team cumbersome.

Store Meeting Minutes Data Attached to Form in Microsoft SharePoint and Notify on Slack

Meeting minutes attached to the form are automatically saved to SharePoint, reducing the effort required for file management. Additionally, a notification is sent to Slack after storage. This flow is recommended for those who manage meeting minutes manually and wish to improve efficiency.

Let's Create a Microsoft SharePoint and Slack Integration Flow

Now, let's create a flow that integrates Microsoft SharePoint with Slack!
We'll proceed with the integration using Yoom without any coding, so if you don't have a Yoom account yet, please create one using this registration form.

[What is Yoom]

This time, we'll create a flow bot that sends notifications to Slack when an item is added or updated in a Microsoft SharePoint list!
The creation process is broadly divided into the following steps:

  • Integrate Microsoft SharePoint and Slack with My Apps
  • Copy the template
  • Set up triggers in Microsoft SharePoint and actions in Slack
  • Turn on the trigger to complete the flow setup

Step 1: Integrate My App

Here, we will integrate Yoom with each app to enable operations.
First, log in to Yoom, then press "My Apps" in the left menu and click the "Add" button on the right.

‍‍Integrate Microsoft SharePoint

1. Search
‍Enter Microsoft SharePoint in the search box and click the Microsoft SharePoint icon.

2. Select an Account
The screen will transition, so please select the account you want to sign in with.

Return to the Yoom screen, and if the following display appears, the integration is complete!

[Note]
There are personal and business plans (Microsoft 365 Business) for "Microsoft 365 (formerly Office 365)." If you do not have a business plan, authentication from Yoom may not work properly, so please be careful.

Integrate Slack

1. Search
‍Enter Slack in the search box and click the Slack icon.

2. Sign In
Enter the workspace URL and click "Continue."
The screen will transition, so please sign in with your registered email address.

3. Allow Integration
Integrate Yoom with Slack. After making the following settings, click the "Allow" button.

  • From the dropdown at the top right of the screen, select the Slack workspace to integrate.
  • From the dropdown at the bottom of the screen, set the channel to post to.

4. Add Yoom App to Channel
On the Slack service, open the Slack channel where you want to send messages from Yoom, and set up as shown in the diagram below, steps ① to ③ in order.
* Administrator approval may be required. For details, please refer to the official help.

Finally, the screen will transition, so click "Add" to add the Yoom app.

Return to the Yoom screen, and if the following display appears, the integration is complete!
* For more details on registering Slack's My Apps, please see this help page.

Step 2: Copy Template

Next, please copy the template to be used this time from below.

1. Click "View Details" on the banner above
2. When the screen changes, click "Try this template"
3. If you haven't registered with Yoom yet, please register
※ If you have already registered, the login screen will be displayed, so please log in.
4. The template will be copied to your Yoom management screen as shown below, so press OK to proceed with the settings.

Step 3: Setting the App Trigger

1. Click "When an item is added or updated in a list" in the red frame
The screen will transition, and the content you entered in Step 1 will be reflected. If no corrections are needed for the title, click "Next" as is.

2. API Connection Settings for the App Trigger

Set which Microsoft SharePoint list should trigger the addition or update.
If you haven't created a site and list in Microsoft SharePoint yet, please do so at this time. For this example, we created a site and list as shown below.

Return to the Yoom screen and enter the Site ID and List ID.

  • Site ID: Click the input field to display suggestions. Select the Microsoft SharePoint site you just created.
  • List ID: Similarly, click the input field to display suggestions. Select the Microsoft SharePoint list where you want to detect additions or updates.

Once the input is complete, click "Test".
If the test is successful, press "Next" to proceed.

3. API Connection Settings for the App Trigger
Before performing the test operation, you need to execute the event that triggers it.
Add a file to the Microsoft SharePoint list you just created.
For this example, we created a Microsoft Word document as shown below and added it to the Microsoft SharePoint list.

Return to the Yoom screen and press "Test".
If the test is successful, the retrieved values will be displayed as shown below.
Confirm that the Microsoft SharePoint data is reflected in the retrieved value and click "Save".

Step 4: Setting Up Slack App Integration

1. Click "Send message to channel" in the red frame‍
The screen will transition, and the content you entered in Step 1 will be reflected. If no corrections are needed for the title, click "Next" as is.

2. API Connection Settings
Set up the Slack channel you want to notify.
If you haven't created the target channel yet, please do so at this time.

Return to the Yoom screen and enter as follows.

  • Destination Channel ID: Click the input field to display candidates. Select the Slack channel you just created.
  • Message: Similarly, click the input field and select the Microsoft SharePoint resource ID from the retrieved values.
You can customize the notification message by changing the text or adding retrieved values. Set it as you like.

※ For more details about the retrieved value, please refer to here
※ For more details on how to obtain additional retrieved value, please refer to here

Once the input is complete, press "Test".
If the test is successful, the retrieved value will be displayed as shown below.

Once the retrieved value is displayed, a message will be sent to Slack, so let's check it.
If a message indicating that a list item has been added to Microsoft SharePoint is included, it's complete!

Finally, return to the Yoom screen and click "Save".

Step 5: Turn ON the Trigger and Verify Operation

Now that the setup is complete, turn the trigger "ON" and verify the operation.

That's how to "Automatically integrate Microsoft SharePoint data with Slack"!

If you want to integrate Slack data with Microsoft SharePoint

This time, we introduced how to integrate data from Microsoft SharePoint to Slack, but if you want to integrate data from Slack to Microsoft SharePoint, please also use the template below.
